Document Management Tab of Roles

Use the Document Management tab to ensure that documents are accessible only to the appropriate roles, and to define specific document editing and management tasks that those roles can perform. You must establish proper security access to the Info Centers to have access to the individual Document Management tabs in the Info Centers.

Site Permissions Grid

Use the Site Permissions grid to enter the browse rights and library permissions for Document Management sites. While using the Info Centers, you can link a single document to just one record, or to multiple records in multiple Info Centers.

Field Description
Site Permissions Drop-down Click the drop-down arrow on a grid header to complete any of the following actions:
  • To print grid data, click Print. When the Print Preview form displays, click File > Print to send the grid data to your default printer.
  • To export grid data to an Excel spreadsheet, click Export to Excel. When Microsoft Excel opens, use its features to modify, print, or email the data, or to save the spreadsheet file locally.
  • To turn on grouping for a grid, click Enable Grouping. When a field displays with the instruction: "Drag a column header here to group by that column," drag and drop column headers into this field, in the sequence that you want them to display.

Not all options are available on all grids.

Assign Rights Select this option to update multiple sites and the libraries in those sites at one time. Select multiple rows in the grid by using the CONTROL and SHIFT keys or the Select All option, then click Assign Rights. Vision displays the Browse Rights dialog box, which you use to update the permissions of the selected sites.
Select All Select this option and click Assign Rights to set default permissions or browse rights permissions for all sites on the grid at one time.
Deselect All Select this option to clear all selected sites on the grid at one time.
Title A site is the top level of document storage. Select the title of the site for which you want to establish access rights.
Browse Rights Select the browse rights for the site. Browse rights allow you to browse the site in SharePoint or only through Vision.
  • Browse Site — This option gives the role rights to browse sites and documents external to the Vision database.
  • Vision Only— This option gives the role rights to documents through the Vision database only. The user will not be able to view/edit the documents directly in SharePoint.
Default Permission for New Libraries Select the default library permissions for the role.
  • Read/Add/Edit — This option gives the role read, add, and edit rights to the document management library.
  • Read/Edit/Delete — This option gives the role, read, edit, and delete rights to the document management library.
  • No Rights — This option gives the role no rights to the document management library.
  • Read Only — This option gives the role read only rights to the document management library.
  • Read/Edit — This option gives the role read and edit rights to the document management library.
  • Full — This option gives the role full access to the document management library.

Library Permissions Grid

Use the Library Permissions grid to set access for the SharePoint libraries in Document Management.

Assign Rights Select multiple rows in the grid and then click Assign Rights to display the Assign Library Rights dialog box, on which you update the permissions of all the selected libraries.
Select All Select this option and click Assign Rights to set default permissions for all libraries on the grid at one time.
Deselect All Select this option to clear all selected sites on the grid at one time.
Title Select the title of the library for which you are changing access for the role. The library can contain many folders of data. Folders in the library receive the same permissions as their parent library. You cannot set permissions at the folder level, only at the library level. Access rights defined for a library are applied to the folders in that library.
Permissions Select one of the following access override options for the library. The system administrator can override a role's access to specific libraries within a site.
  • Read/Add/Edit — This option gives the role read, add, and edit rights to the document management library.
  • Read/Edit/Delete — This option gives the role read, edit, and delete rights to the document management library.
  • No Rights — This option gives the role no rights to the document management library.
  • Read Only — This option gives the role read only rights to the document management library.
  • Read/Edit —This option gives the role read and edit rights to the document management library.
  • Full — This option gives the role full access to the document management library.
