The Current Situation tab on the Supervisor Review form is designed to quickly show a supervisor the current time status of their employees. Supervisors can also use this form to sign/unsign specific days, post time for their employees, and make timecard adjustments.

If you have been assigned a Supervision Date Policy, this policy will determine which of your employees and which dates you can view, sign, post events, or use the Edit Schedule button for in Current Situation. If you have not been assigned a Supervision Date Policy, the Current Situation form will only display the employees that you currently have authority over.

An employee must be assigned a Pay Policy in order to display information on the Current Situation form.

Use the Filter section at the top of the form to select which employees you want to view. The grid below the Filter section will display the employees, their names, employee, schedules, and current status.

Use the Period, Weekly, and Daily tabs to display an employee’s timecard for the entire pay period, one week, or a single day. The Punch Time tab shows the individual punch transactions for a single day. The Balances tab displays the employee’s balances for time off, such as vacation, sick, and personal days.

By default, the Current Situation form will display up to 500 records at one time. To change this maximum number of records, use the max_supervisor_records setting on the Application Settings form.

If you have been assigned a Supervisor Role, the actions that you can carry out on the Current Situation form will depend on the Functional Areas that have been assigned to your role.

Supervisors cannot post time for employees that are inactive or terminated. However, supervisors who have a Security Data Role with a SUPERVISOR_ADMIN item may modify and cancel inactive and terminated employees' transactions.

Using the Current Situation Form

Click the Filter button at the top of the Current Situation tab to display the filter fields. Use these fields to change the employees that display on the form.

The grid below the Filter section will display the employees, their names, person numbers, schedules, and current status.

When you select an employee record in the grid, the employee’s timecard displays on the Period, Weekly, Daily, and Punch Time tabs at the bottom of the form. You can click an employee record to select it, or you can use the keyboard arrow keys to select it. To select the next employee record on the form, press the down arrow on your keyboard or click the Next button.

The employee’s record will still be selected when you switch to the Time Card Review form, as long as the employee meets the Filter criteria in that form.

Current Situation Field Descriptions

Use the Filter section at the top of the form to select which employees you want to view. The grid below the Filter section will display the employees, their names, person numbers, schedules, and current status.

 

Filter Fields – Find Records

Click the Filter button at the top of the Current Situation tab to display the filter fields. Use these fields to change the employees that display on the form. Click Find after you define your filter settings. Click Clear to remove all the filter settings.

The fields below are enabled by default. See Optional Filter Fields for additional filter fields you can add via a Form Profile.

Posting Date

Posting Date is the date when events post to timecards. The Posting Date will be used to find the persons that the supervisor managed on that particular date, and their timecard transactions. The date can be in the past, present (today), or the future.

Click the and buttons to scroll to the previous or next day.

Click the button to display a calendar from which you can select another date.

Person

Use the Person field to search for employees by their First Name, Last Name, Person Number, or Login Name. For example, to find Person Number 1101 named Jane Doe who has Login Name JDOE001, you can enter 1101, Jane, Doe, or JDOE001 in the Person field.

You can also use the * or % wildcard symbol in this field to search using partial values. The wildcard symbol can be placed anywhere in your search value to represent unknown characters. For example, to find employees whose First Name, Last Name, Login Name, or Person Number starts with the letter b, enter b* in the Person field. To find employees whose First Name, Last Name, Login Name, or Person Number includes 007, enter *007* in the Person field.

Facility

To view only those persons assigned to a specific Facility, select the Facility from this drop-down list.

Supervision Type

Use this field to filter the person records by the type of supervisor the person has.

Include Direct

When this box is checked, persons that report directly to the logged in supervisor (are members of a Person Group of type DIRECT_MANAGER) will be displayed on the form. This box is automatically checked when you select Direct from the Supervision Type field.

 

Optional Filter Fields

The following filter fields can also be added to the Current Situation form. In the default Form Profiles, these fields are not enabled. You will have to create a custom Form Profile to enable these fields.

As Of Date

You can use this field to view the current situation of employees with schedules that cross midnight and have the clock out date as the Post Date. Because the Schedule Start Time and Schedule End Time on the Current Situation form are based on the Post Date, the employees described above may not display on the form. See Current Situation As Of Date Schedule Information.

You can also use the As Of Date field along with the As Of Timezone field to view the current situation of employees in a particular time zone for a particular date. See Viewing Employees in a Different Timezone.

As Of Timezone

Use this field (along with the As Of Date field) to view the current situation of employees in a particular time zone for a particular date. See Viewing Employees in a Different Timezone.

Badge Number

Use this field to find employees with a particular Badge Number.

You can use the * or % wildcard symbol in this field to search using partial values. The wildcard symbol can be placed anywhere in your search value to represent unknown characters. For example, to find employees whose badge number starts with the number 1, enter 1*. To find badge numbers that include 007, enter *007*.

Current Emp Status

Use this field to find employees with a particular Employment Status on the current date. The Employment Status is defined in the person’s Employment Profile.

If a person does not have an Employment Profile record for the current date, the person can display on the form if you leave the Current Emp Status filter field empty. However, if you select any Current Emp Status filter option (Active, Inactive, or Terminated), this person cannot display on the form.

The Current Emp Status options are explained below. Refer to the Employee form for information on how each status affects a person’s use of the application.

Home Loc. Type

Select HOME_LOCATION_HR, HOME_LOCATION_FINANCIAL, or HOME_LOCATION_MANUFACTURING.

The Home Loc. Type determines the available Home Locations (see below).

The Home Loc. Type and Home Location fields allow you to filter employees based on the Home Location (HOME_LOCATION_HR, HOME_LOCATION_FINANCIAL, or HOME_LOCATION_MANUFACTURING) in their Employee Assignment.

You must select a Facility in order to select a Home Loc. Type and Home Location. The Facility’s Hierarchy Name and Hierarchy Level settings will determine which Home Locations are available.

Home Location

The Home Loc. Type and Home Location fields allow you to filter employees based on the Home Location (HOME_LOCATION_HR, HOME_LOCATION_FINANCIAL, or HOME_LOCATION_MANUFACTURING) in their Employee Assignment

The available Home Locations will depend on the Facility and Home Loc. Type you select. For example, if you select HOME_LOCATION_HR as your Home Loc. Type, the available Home Locations will be based on the Facility’s HR Hierarchy Name and HR Hierarchy Level settings. These settings are defined on the Employee Group Setting form.

Policy Group

Use this field to find employees that are members of a particular Policy Group. Policy Groups are Employee Groups with the type POLICY_GROUP. They are defined on the Employee Group form.

Classification Type

Use this field to find only hourly, salaried, or non-exempt employees. A person’s Classification Type is defined in their Employment Profile.

HOURLY employees are paid by the hour.

SALARIED employees are paid a salary instead of an hourly rate.

NONEXEMPT refers to employees who are entitled to overtime pay.

Time Entry Type

Use this field to find only employees with a certain Entry Type as defined in their Employment Profile. Time Entry Type defines how employees can post time in the application.

PUNCHED employees post time on the Web or a client terminal using the punch type entry or elapsed type entry method:

EXCEPTION employees do not punch or add elapsed. Instead, employees are clocked in and out each day by the ATTENDANCE service. Exception employees are only required to enter exceptions to the work schedule, such as vacation and sick days.

ELAPSED employees can post time only via the Web application and can only use the elapsed type entry method. With this method, employees enter time after the time has been worked. This is a method typically used by salaried employees.

Employees whose Time Entry Type is NONE cannot post time.

Default Shift

Use this field to find employees who have been assigned particular shift. The available options are defined on the Shift Definition form.

Default Schedule

Use this field to find employees who have been assigned particular schedule. The available options are defined on the Schedule Cycle form.

 

Grid Fields

The grid below the Filter section will display the employees, their names, person numbers, schedules, and current status.

Employee

Employee's person number as defined on the Employee form.

Full Name

Full name of the employee as defined on the Employee form.

Current Status

The employee’s Current Status is based on the specified Posting Date and the current time (or the As of Date and time, if that field is visible).

Scheduled: The employee is scheduled to work but has not yet clocked in. The employee is considered Scheduled when the Posting Date and the current time (or the As of Date and time) are before the Schedule Start Time (plus any Start Late Margin) and the employee has not yet clocked in.

Not Scheduled: The employee does not have a schedule on the Posting Date.

Absent: The employee is scheduled to work but is absent. The employee is considered Absent when the Posting Date and the current time (or the As of Date and time) are after the Schedule Start Time (plus any Start Late Margin) and the employee has not yet clocked in.

In: The employee has clocked in as of the Posting Date and the current time (or the As of Date and time).

Out: The employee has clocked out as of the Posting Date and the current time (or the As of Date and time).

Sick, Vacation, etc. (Event Name): A time off event (ATTENDANCE type event with sub-type HOLIDAY, SICK, TIME_OFF, or VACATION) has posted or has been approved in a time off request. The Current Status field will display the name of this event provided it is included in the Current Situation Status Event Group setting for the supervisor who is viewing the time card.

Person Sign

Identifies whether the employee has signed the day () or not (). If the employee's Sign Policy does not require an employee signature (the EMPLOYEE Sign Mode is Disabled), the icon will display in the Person Sign column.

Sup. Sign

Identifies whether the supervisor has signed the day () or not () If the employee's Sign Policy does not require a supervisor signature (the SUPERVISOR Sign Mode is Disabled), the icon will display in the Sup. Sign column.

Activity

The Activity field displays what the employee is performing as of the Posting Date and the current time. This field will show the event name and the key values of the activity (such as the Work Order and Operation number).

Schedule Start Time

Displays the employee's schedule start time, based on the earliest schedule for this Posting Date.

Schedule End Time

Displays the employee's schedule end time, based on the latest schedule for this Posting Date.

Rounded Clock In

Displays the employee's rounded clock in time as defined in the employee's Rounding Policy. The Rounding Policy determines how and when activities are rounded to a certain point in time, based on configured grace periods and rounding rules.

Rounded Clock Out

Display's the employee's rounded clock out time as defined in the employee's Rounding Policy. The Rounding Policy determines how and when activities are rounded to a certain point in time, based on configured grace periods and rounding rules.

Activity Start Time

The Activity Start Time field is not visible in the Default Form Profile. You may need to enable this field if you want to view it on the form.

Activity Start Time is the timestamp of the current Activity. This field will be blank if the Activity field is blank.

Actual Clock In

The Actual Clock In field is not visible in the Default Form Profile. You may need to enable this field if you want to view it on the form.

Actual Clock In displays the raw clock-in time that was entered when the clock-in was posted.

Actual Clock Out

The Actual Clock Out field is not visible in the Default Form Profile. You may need to enable this field if you want to view it on the form.

Actual Clock Out displays the raw clock-out time that was entered when the clock-out was posted.

Loan Status

The Loan Status field is not visible by default; you must enable it in your Form Profile.

Indicates whether the person is Loaned to or Borrowed from the supervisor identified in the Loan To/From field. A person's Loan Status is based on the Posting Date in the filter. See Employee Loan Feature for more information.

If the Loan Status is blank, the person is neither loaned nor borrowed on the Posting Date in the filter.

Loan To/From

The Loan To/From field is not visible by default; you must enable it in your Form Profile.

If the Loan Status is Loaned, this field identifies the borrowing supervisor (the supervisor to whom the person was loaned).

If the Loan Status is Borrowed, this field identifies the loaning supervisor (the supervisor who loaned the person to you).

If the Loan To/From field is blank, the person is neither loaned nor borrowed on the Posting Date in the filter.

Login Name

The Login Name is not visible by default; you must enable it in your Form Profile.

The Login Name is the name the person will use to log in to the application. It is defined on the Employee form.

As Of Date Sch Start
As Of Date Sch End

These fields are not visible by default on the Current Situation form. You must enable them in a custom Form Profile in order to view them. You must also enable the As Of Date filter field.

Normally, the Schedule Start Time and Schedule End Time columns on the Current Situation form show a person’s schedule based on the Posting Date you select in the Filter area. However, these fields may not show the schedule times for a person whose schedule crosses midnight, and whose Post Date Policy is configured to determine the post date based on the schedule. The supervisor will mistakenly think the person is not scheduled to work.

When you enable the As Of Date fields, you will be able to view an employee’s schedule start and end on the Current Situation form based on the As Of Date and time selected in the filter area.

Viewing Employees in a Different Timezone

The As Of Timezone and As Of Date fields are optional filter fields that you can display on the filter area of the Current Situation form. You can use these fields to find the current situation of employees in a particular time zone for a particular date.

To use the “As Of” fields:

  1. From the As Of Timezone field, select the time zone for the employees whose current status you want to view. The default value is the web server’s time zone.

    The As Of Timezone field will only contain the time zones that have been configured in the system. These time zone options are obtained from the following forms:

    Terminal Profile form

    Employee Setting form

    Employee Group Setting form

    System Settings form 

  2. When you change the As Of Timezone, the As Of Date will change to the current date and time in the As Of Timezone.

    For example, the As Of Timezone is America/New_York and the current date/time (in the As Of Date field) is 05-07-2012 at 11:00 a.m. If you change the As Of Timezone to America/Los Angeles, the As Of Date changes to 05-07-2012 at 8:00 a.m.

  3. You can change the As Of Date to a date/time in the past but not in the future. If the As Of Date changes to a time in the future, you will receive an error message when you click Find.

    Continuing with the above example, suppose you change the As Of Date from 8:00 a.m. to 10:00 a.m. When you click Find, you will receive an error message. The time you entered is a future time based on the selected time zone.

  4. Once you have selected your As Of Timezone and As Of Date, click Find. The Current Situation form will display the status of the employees as of the specified timezone and date/time you selected.

 

Displaying the "As Of" Fields

To display the As Of Timezone and As Of Date fields, you need to modify the Form Profile assigned to the supervisors who will be using the Current Situation form. You will need to create a custom Form Profile that has these fields enabled, and then assign this Form Profile to the supervisors who will be using the fields in Current Situation.

If you do not display the As Of Timezone and As Of Date fields, the Current Situation form will use the supervisor’s assigned Timezone and the Posting Date displayed in the filter area to find the current status of the employees.

To display the As Of Timezone field, you must enable both the As Of Date and As Of Timezone fields in your Form Profile. If you enable only the As Of Timezone field, but not the As Of Date field, then the As of Timezone field will not display on the Current Situation form.

 

Download Records

To download the employee records on the Current Situation form, click the Download button. Your web browser will display a message asking if you want to open or save the .csv file. Open the file to view it immediately or click Save to save it to disk.

 

Sign a Day

  1. Click Main Menu > Manage > Supervisor Review.

  2. Click the Current Situation tab.

  3. Click the Filter button to display the filter fields. Select the Posting Date and other criteria of the employees you want to view.

  4. Click an employee record to select it. You can also use the keyboard arrow keys or the Next button at the top of the form to select a different record.

    A red X appears in the Sup. Sign column if the day has not yet been signed. If the employee's Sign Policy does not require a supervisor signature (the SUPERVISOR Sign Mode is Disabled), the icon will display in the Sup. Sign column.

  5. To sign the day for the selected employee, click Sign Day.

  6. You can also click Sign and Next to sign the day for the selected employee and then select the next employee in the list to view their timecard.

  7. To sign the day for multiple employees, press the CTRL key as you click to select the employee records, or click the icon to select all the employees. Then click Sign Day.

  8. If you are using the Time Card Check feature, and there are hours exceptions in the day, such as underreported or overreported hours, the Time Card Check pop-up form will appear. This form will list any error or warning messages that resulted from the hours exceptions for any of the selected employees. If there are any error violations in this form, the day will not be signed.

  9. If a password is required (the Supervisor Authentication on Sign setting is enabled), a pop-up form will display. Enter your login password and click OK.

    Once the day is signed, the Sup. Sign column displays the icon.

    If the person has a 9-80 schedule, you can sign each half of the split day separately. See Sign and Payroll Lock in a 9-80 Schedule.

 

Unsign a Day

  1. Click Main Menu > Manage > Supervisor Review.

  2. Click the Current Situation tab.

  3. Click the Filter button to display the filter fields. Select the Posting Date and other criteria of the employees you want to view.

  4. Click an employee record to select it. You can also use the keyboard arrow keys or the Next button at the top of the form to select a different record.

    When a day is signed, the Sup. Sign column displays the  icon.

  5. To unsign the day for the selected employee, click Unsign Day.

  6. To unsign the day for multiple employees, press the CTRL key as you click to select the employee records, or click the icon to select all the employees. Then click Unsign Day.

  7. If a password is required (the Supervisor Authentication on Sign setting is enabled), a pop-up form will display. Enter your login password and click OK.

  8. Once a day is unsigned, the Sup. Sign column displays the  icon. If the employee's Sign Policy does not require a supervisor signature (the SUPERVISOR Sign Mode is Disabled), the  icon will display in the Sup. Sign column.

 

Display Last Message

Click the icon to display the last on-screen message that was shown on the Current Situation form or the timecard tabs.
