Supervisor Role

The Supervisor Role form is used to define the functions a supervisor can perform for the employees he or she supervises.

A Supervisor Role is assigned to a supervisor via the Person Group Manager tab of the Person Group form or the Hierarchy Elements form. A supervisor can have only one role for a Person Group. However, a supervisor can have different roles for the different Person Groups they supervise.

If a supervisor does not have an assigned Supervisor Role, then that supervisor has access to all functional areas for the employees he or she supervises. If a supervisor has authority over the same employee in multiple Person Groups, that supervisor may have different roles for each group. In this case, the supervisor will have access to the functional areas of all the roles for that employee.

Example: A facility has three Managers (M1, M2, and M3). Each Manager directly supervises five employees; for these employees the supervisors can Approve Time Cards, Payroll Lock, and Approve Time Off. Each Manager can also Reset the PIN of the employees that are supervised by the other Managers. For example, M1 can approve the timecards of his or her employees, and can reset the PIN of M2 and M3’s employees. Two Supervisor Roles need to be created. The Primary role includes the functional areas Approve Time Cards, Payroll Lock, and Approve Time Off. This role is assigned to the Person Group that includes the employees that the manager directly supervises. The Secondary role includes only the Reset PIN functional area. This role is assigned to the Person Group that has all the employees as members and has M1, M2, and M3 as managers. When M1, M2, or M3 are supervising their own employees, they have access to the functional areas of both roles (Primary and Secondary).

Note that a Supervisor Role is different from a Security Role. A Security Role determines which modules are available, which forms a manager can see and which actions a manager can do on a form, regardless of the employee for whom they are performing these actions. A Supervisor Role determines which functions a supervisor can perform for the employees he or she supervises.

Role Name

Name of the Supervisor Role.

Description

Description of the Supervisor Role.

All Functional Areas

Check this box if you want this supervisor role to have access to all functional areas. The functional areas (approve timecard, payroll lock, etc.) determine what actions a supervisor can perform for the employees they supervise. Refer to the above example for more information.

When All Functional Areas is checked, you do not need to add functional areas to the supervisor role. The Capacity for these functional areas will be set to “Responsible For” if the functional area has this Capacity option. See Functional Area for more information.

When All Functional Areas is not checked, you must use the Functional Area tab to add functions to the supervisor role.

Update Date, Updated By

These fields display when the record was created or updated, and the person who created or updated the record.

 

Add a Supervisor Role

  1. Click Main Menu > Configuration > Security > Supervisor Role.

  2. Click Add.

  3. Enter a Role Name and Description.

  4. If you want this supervisor role to have access to all functional areas, check the All Functional Areas box.

  5. Click Save.

If you did not check All Functional Areas, you need to use the Functional Area tab to add functions to the supervisor role.

 

Modify a Supervisor Role

You can change the All Functional Areas check box setting for a Supervisor Role only if the role has no functional areas assigned to it.

  1. Click Main Menu > Configuration > Security > Supervisor Role.

  2. Select a Role Name and click Modify.

  3. Change the Description and the All Functional Areas check box setting as necessary.

  4. Click Save.

 

Delete a Supervisor Role

You cannot delete a Supervisor Role if it has been assigned to a supervisor.

  1. Click Main Menu > Configuration > Security > Supervisor Role.

  2. Select the Role Name that you want to remove and click Delete.

  3. Click OK to confirm the action.

 

Copy a Supervisor Role

  1. Click Main Menu > Configuration > Security > Supervisor Role.

  2. Select the Role Name that you want to duplicate and click Copy.

  3. Change the Role Name, Description, and All Functional Areas check box setting as necessary.

  4. If you want to make another copy of the supervisor role, click Save and Add to save your settings and keep the Copy Supervisor Role window open. Or click Save to save your supervisor role and return to the main form.
