Submittals View

Use this view to upload (or re-upload) your schedule, see the status of an uploaded schedule, and select benchmark attribute options, among other things.

This grid displays projects and programs to which you have access. It is sorted by the Window Close Date with the most recent at the top. You cannot sort the grid by other columns. Click the arrow next to a program name to see the associated projects.

Project Submittals Grid

The grid header includes the following icons:
  • : Click Refresh to refresh the data in the grid.
  • : Click Maximize / Minimize to hide the Navigation pane so that more of the grid is visible. When you click the icon again, the grid returns to the original size and the Navigation pane displays again.
  • : Click Export to download all data in the grid to a .csv file.
  • : Click Grid Settings to add or remove columns from the view or to rearrange the order of the columns. Click on a column to sort by that column or to change from ascending to descending and vice versa.
Field Description
<Benchmark Attribute Columns>

Click Grid Settings to add benchmark attribute columns to the grid.

You can select benchmark attributes in this view if you have write access to the project and have a named user license.

You can only select attribute values for the benchmark attributes that have been added to the Overview tab Benchmark Attributes grid for the associated Program.

You can view the average benchmark attributes on the Programs Overview tab in the Benchmark Attributes grid.

Acceptance Criteria Template This is the name of the acceptance criteria template that is associated with the project.
Baseline Finish

This is the project planned finish date or the latest activity baseline finish date if the project does not have a baseline finish date.

For Primavera P6, this date comes from the Planned Finish Date.

Baseline Start

This is the project planned start date or the earliest activity baseline start date if the project does not have a baseline start date.

For Primavera P6, this date comes from the Planned Start Date.

Activity Count

This is the total number of activities in the project based on data from the latest snapshot. It is calculated by counting activities of all tasks that are not summaries.

This field is blank until at least one snapshot is uploaded.

Current Projected Cost This is the sum of the budgeted cost for all activities.
Finish This is the project actual finish date or the latest activity finish date if the project does not have a finish date.
Last Updated This is the date that the project was last changed. This takes into account any snapshot uploads and changes to benchmark attributes. When a new project is created, this column is blank until the first change.
Program This is the name of the program. Programs display in alphabetical order.
Project This is the name of the project. The list includes all of the projects to which you have access. Projects are sorted in alphabetical order under each program.
Project % Complete

This is the amount, in percent, that the project is complete. It is calculated using the following calculation: (Sum of Original Duration - Sum of Remaining Duration) / Sum of Original Duration

For a missing snapshot, this column is blank.

Schedule When a schedule is uploaded, it displays as a hyperlink in this column. You can click the link to download a copy of the schedule.
Score

The ability to score schedule quality, execution performance, risk modeling, use of logic and more is a key feature of Touchstone and allows project teams to determine how best to assess their portfolio or schedule health.

Touchstone calculates this score for the uploaded schedule based on the acceptance criteria metrics that are defined at the project level. The score determines whether an uploaded schedule is accepted or rejected.

Click on the hyperlink in the Score column to download an Excel report that provides information about the score. For more information about the report, see Scoring Analysis Report.

You can see the name of the acceptance criteria template that was used for scoring on the Projects Configuration tab. If a schedule is not uploaded for the current period, this column is blank.

Start This is the project actual start date or the earliest activity start date if the project does not have a start date.
Status
This is the condition of the schedule:
  • <Blank>: There is no uploaded schedule and today's date is before the Window Close Date.
  • Accepted: Touchstone checked the uploaded schedule against the acceptance criteria and it scored the same or greater than the Minimum Acceptance Score. A message displays letting you know that the schedule has been accepted. You can click the link in the Score column (Submittals hub > Submittals view or Projects hub > Snapshot tab) to view a Microsoft Excel report where you can see how the schedule scored for each metric.
  • Rejected: Touchstone checked the uploaded schedule against the acceptance criteria and it scored less than the Minimum Acceptance Score. A message displays letting you know that the schedule failed. You can click the link in the Score column (Submittals hub > Submittals view or Projects hub > Snapshot tab) to view a Microsoft Excel report where you can see how the schedule scored for each metric.

    If the Window Close Date has not yet passed, the issues can be corrected and the schedule can be uploaded again.

  • Missing: No schedule has been uploaded and the Window Close Date has passed. In this case, you will need to contact the Scheduler to discuss what to do, or if you have the right permissions, you can hover over the line and use the icon that displays to the left of the project to upload the missing schedule.
  • Failed: The schedule was uploaded and there was an error with the scoring. For example, an issue with the file. Try submitting the schedule again, or save it to a different file name and submit again.
  • Processing: The schedule has been uploaded and the scoring is not yet completed (it is in the process of being completed).

You can see the name of the acceptance criteria template that was used for scoring on the Projects Configuration tab.

Submitter This is the name of the person who uploaded the schedule snapshot and is from the user information in EPM Security Administrator (EPM SA).
Submitter Email

This is the email address for the person who uploaded the schedule snapshot and is from the user information in EPM Security Administrator (EPM SA).

The emails that are sent from Touchstone use the settings on the Configuration tab in Settings > General

To send an email to the submitter, click on the link in this column to display a new email message window.
  • The From field is populated with your (the logged in user) email address that is listed in EPM SA, and is read only. If you do not have an email address in EPM Security Administrator, you will need to enter one into EPM SA before you can send an email.
  • The To field is populated with the submitter email address. If there are multiple submitters, this field contains a delimited list of the email addresses. If needed, you can add multiple email addresses separated by semicolons. If the email address is invalid, Touchstone will not display an error message.
  • The CC field is populated with your (the logged in user) email address that is listed in EPM SA, and is read only.
  • The Subject line is populated base on the status and is editable.
    • If the project status is Rejected, the subject displays the following: "Touchstone Alert: Project <project name> was rejected. Window closes on <date> in <number of days> days."
    • If the project status is Accepted, the subject displays the following: "Touchstone Alert: Project <project name> was successfully uploaded. Window closes on <date> in <number of days> days."
    • If the project status is Missing, and the window to upload has not closed, the subject displays the following: "Touchstone Alert: Project <project name> is missing. Window closes on <date> in <number of days> days."
    • If the window has already closed, the subject displays the following: "Touchstone Alert: Project <project name> is missing and the window closed on <date>, <number of days> ago."
If one or more submitters do not have an email address, Touchstone displays the Missing Email Addresses message box (for multiple submitters) or the Email Address Missing message box (for a single submitter) in these scenarios.
  • Submittal records with Missing status
    • Since there has not been a submittal for a missing entry, when you click the Email Submitters hyperlink, Touchstone checks if a submitter in the Projects Hub > Submitters Grid, the user currently logged in, or the project owner does not have an email address.
  • Submittal records with Accepted, Rejected, or Failed status
    • When you click the submitter's email address under the Submitter's Email column, Touchstone checks if the submitter, the user currently logged in, or the project owner do not have an email address.

When you click Send, if a current period report exists, it is automatically attached to the email.

Submitter Phone This is the phone number for the person who uploaded the schedule snapshot and is from the user information in EPM Security Administrator (EPM SA).
Time Now

This is the Time Now date from the latest snapshot.

Time Now is called Data Date in P6 and Status Date in Microsoft Project.

Uploaded

If a schedule has been uploaded, this column displays the date that the schedule was last uploaded to Touchstone.

If a schedule has not yet been uploaded for this period, and today's date is before the Window Close Date, this column displays an Upload Now link that you can click to upload a schedule.

Note: If a user or group has Read Only access to a project (set on the Project's Access Control tab), they cannot upload a schedule for that project and the Upload Now button does not display.

If the schedule is past due (that is, you have missed the Window Close Date), this column is blank and you can no longer upload a schedule.

You can upload a Deltek Open Plan .bk3 file, a Primavera P6 .xer/.xml file, or a Microsoft Project .mpp file. The maximum file size is set by the Touchstone Administrator (see the Touchstone Installation Guide for more information). If the file upload is successful, a message displays letting you know that the schedule uploaded and that you will receive an email when the scoring is complete.

You can upload and re-upload your schedule as many times as you want to before the Window Close Date; however, only one schedule per period is accepted so each time you upload, the previous snapshot/schedule is overwritten. For example, you may have uploaded your schedule and then realized that there was an error in it. You can upload a new one which will overwrite the previous one.

Window Close Date

This is the date by which you must have your schedule uploaded. That is, you have until 11:59pm the day before this date to upload your schedule.

Use the Projects Configuration tab to specify how often you want schedules for each project to be uploaded and the length of each reporting period.

The Window Close Date is calculated by taking the close date of the Reporting Period (Projects Configuration tab) and adding the number of days listed in the Upload Window field (Projects Configuration tab).

For example, on the Projects Configuration tab you set the Reporting Period to Weekly and the Upload Window to 3. The Window Close Date will always be Monday at 11:59pm (the weekly reporting period closes every Friday plus the three days you specified in Upload Window equals Monday).

When the Reporting Period field on the Projects Configuration tab is set to:
  • Weekly: The reporting period always starts on Saturday and ends on Friday.

  • Biweekly: You set the reporting period start date. The reporting period end date is calculated by subtracting 1 from the Start date of the biweekly periods date to get the first end date. After that, the reporting period end date is every 14 days.

  • Month End: The reporting period starts on the first day of the month and ends on the last day of the month.
