Use this screen to create ECNs and submit them for approval. You can use ECNs to identify and process changes to design and processing information. ECNs can affect the part master, documents, bills of material, and routings information. Once you have submitted an ECN for approval (i.e., the Status field is set to "I - In Approval"), you cannot modify it in this screen unless it is rejected later in the Approve ECNs screen. Also, authorized users who are assigned to the Approval Process can maintain approved ECNs in the Maintain Approved ECNs screen, depending on the settings in the EC Approval Titles screen. Once all ECN information is approved, you can implement the ECN in the Implement ECN Changes screen. All applicable parts, MBOM assemblies and components, EBOM assemblies and components, documents, and routings will be changed throughout Costpoint in accordance with the configuration changes in the Maintain ECNs and Approve ECNs screens.
You cannot use ECNs to create new provisional parts or maintain existing provisional parts. You cannot enter provisional parts in the Original Part and Change-To Part fields in the main screen. Therefore, if you want to modify an existing provisional part, you must convert it to a standard part (in the Convert Provisional Part to Standard Part screen in Costpoint Product Definition) before calling it out in an ECN. However, you can use provisional parts within an Engineering BOM function for a standard part in an ECN.
Use this screen to create and submit ECNs before they have been approved.
Use the fields in this group box to provide basic information about the ECN, including ECN type, class, and status.
Required. Enter up to 15 alphanumeric characters for a new ECN. You can leave this field blank for auto-assignment if there is an ECN ID in the Last ECN ID field in the EC Settings screen.
Required. This field displays zero when you enter a new ECN and save it (select the Save button on the toolbar). Whenever you change the ECN Status from "R - Rejected" to "P - Pending," "I - In-Approval," or "A - Approved," the system increments this number by 1.
Enter, or use to select, the ECN Type for which the ECN is being created. This required field of up to six alphanumeric characters must have a valid type from EC Types screen. This can be used to determine the ECN Approval Process. For example, if you selected the ECN Type radio button in the EC Settings screen, and you populate the Type field with an ECN Type code that is assigned to an approval process (in the Engineering Change Types subtask in the EC Approval Processes screen), that approval process code populates the Approval Process field for the ECN and is non-editable.
From the drop-down list, select an ECN Class, either "I," "1.5," or "II." This can be used to determine the ECN Approval Process. For example, if you select the ECN Class radio button in the EC Settings screen, and you populate the Class field with an Engineering Change Class code (e.g., Class I, Class 1.5, or Class II) that is already selected for an approval process (in the Engineering Change Classifications group box in the EC Approval Processes screen), that approval process code populates the Approval Process field for the ECN and is non-editable.
Enter the date on which the ECN originated in this required field. This field is populated by default with the current date.
Required. Enter up to 60 alphanumeric characters to describe the engineering change.
Required. Enter, or use to select, a code for the reason the engineering change was made. You must enter up to three alphanumeric characters, and the code must be a valid reason code from the EC Reasons screen.
Enter, or use to select, a code for the priority of the engineering change. This field accepts a value of one alphanumeric character, which must be a valid priority code from the EC Priorities screen. The default value loads from the ECN Types screen.
You can update this field only when you have selected the Manual radio button in the Approval Process Assignment group box in the EC Settings screen. In this case, this field is populated by default with the approval process assigned in the EC Settings screen. However, you can enter, or use to select, an approval process this ECN is required to pass through before implementation. This field accepts values of up to eight alphanumeric characters, which must be a valid Approval Process ID from the EC Approval Processes screen.
The approval process code can also default based on the Type, Class, or Organization that you enter and the radio button that is selected in the Approval Process Assignment group box in the EC Settings screen. For example, if you select the ECN Type radio button in the EC Settings screen, and you populate the Type field with an ECN Type code that is assigned to an approval process (in the Engineering Change Types subtask in the EC Approval Processes screen), that approval process code populates this field and is non-editable.
Use this drop-down list to select a status for this ECN. The options are "A - Approved," "C - Closed," "D - Documents Updated," "I - In Approval," "M - Implemented," "P - Pending," "R - Rejected," and "V - Void." The default value is "P - Pending." Once you have submitted an ECN for approval, that is, the Status field is set to "I - In Approval", only an authorized user (one who is assigned to the Approval Title) can modify it in the Approve ECNs screen or Maintain Approved ECNs screen.
Select this check box to put the ECN on hold. This prevents the ECN from being implemented.
Use the fields in this group box to provide basic information about the ECN originator.
Enter, or use to select, the employee ID of the person originating the ECN. This field accepts a value of up to 12 alphanumeric characters, which must be a valid employee ID from the Basic Employee Info screen in Costpoint Employee.
Required. Enter up to 25 alphanumeric characters for the name of the person originating the ECN. This editable field is populated by default with the name when you enter the Employee ID.
Enter up to 20 alphanumeric characters for the organization to which this ECN is linked in this optional field. If Org Security is on for Costpoint Engineering Change Notices, this field is required. The Organization can be used to determine the ECN Approval Process. For example, if you selected the Organization radio button in the EC Settings screen, and you populate the Organization field with an Organization that is assigned to an approval process (in the Link Organizations subtask in the EC Approval Processes screen), that approval process code populates the Approval Process field for the ECN and is non-editable.
Enter up to 20 alphanumeric characters for the phone number of the ECN originator. Enter up to six alphanumeric characters for the extension in the unlabeled field to the right of the phone number. The default value is based on the employee ID and the ECN Originator Phone Type Code from the EC Settings screen.
Use the fields in this table window to provide basic information about parts that are involved in this ECN.

Use the drop-down box in this required field to select a code for the action the ECN will perform to either add a new part, change an existing part, replace an existing part with another part, create a new revision of an existing part, or make an existing part obsolete. Choices are "A - Add," "C - Change," "R - Replace," "V - New Rev," and "O - Obsolete." If the selection is "O - Obsolete," the default value for Original Part Status will be "O - Obsolete." If you change the Action Code to "V - New Rev" after saving the record, you must re-enter the Original Part and tab out of the field in order to have the Change-To Part default with the new revision. If the Action Code is "R - Replace" or "V - New Rev," the Change-To Part (and Change-To Rev) must be different from the Original Part (and Original Part Rev).
Enter, or use Lookup to select, the existing part ID to be affected by the ECN. This optional field of up to 30 alphanumeric characters must be a valid part ID from the Basic Part Data screen in Costpoint Product Definition. You should leave this field blank if the Action Code is "A - Add." If the Action Code is "R - Replace" or "V - New Rev," the Change-To Part (and Change-To Rev) must be different from the Original Part (and Original Part Rev). You cannot enter provisional part IDs in this field.
Enter, or use Lookup to select, the part revision to be affected by the ECN. This optional field of up to three alphanumeric characters must have a valid part revision from the Basic Part Data screen in Costpoint Product Definition. You should leave this field blank if the Action Code is "A - Add."
This field displays the description of the Original Part.
Enter, or use Lookup to select, the status that the ECN will assign to the Original Part. This required field of one alphanumeric character must be "E" (Estimating), "O" (Obsolete), "P" (Pre-Release), "R" (Released), or "S" (Phase-Out). This field defaults with the original part's Part Status from the Basic Part Data screen in Costpoint Product Definition.
Enter "Y" (Yes) to make this part active. Enter "N" (No) if the part is inactive.
This field displays the Commercial and Government Entity (CAGE) ID for the Original Part.
Enter, or use Lookup to select, the part ID for the original part this ECN will add to or replace. This is an optional field of up to 30 alphanumeric characters. If the Action Code is "V - New Rev," the default value will be the Original Part ID. This field is required for action codes "A - Add," "R - Replace," or "V - New Rev." You must leave this field blank for action codes "C - Change" or "O - Obsolete." If the Action Code is "R - Replace" or "V - New Rev," the Change-To Part (and Change-To Rev) must be different from the Original Part (and Original Part Rev). You cannot enter provisional part IDs in this field.
Enter, or use Lookup to select, the part revision for the original part the ECN will add to or replace. This optional field of up to three alphanumeric characters must have a valid part revision from the Basic Part Data screen in Costpoint Product Definition. If the Action Code is "V - New Rev," the default value will be the next revision letter/number. You must leave this field blank for action codes "C - Change" or "O - Obsolete."
Enter up to 60 alphanumeric characters in this optional field to describe the part to be added by the ECN. If the selection for Action Code is "R - Replace," the default will be the Original Part description. This field is required for action codes "A - Add," "R - Replace," or "V - New Rev." It must be blank for action codes "C - Change" or "O - Obsolete."
Enter, or use Lookup to select, the status code that the ECN will assign to the change-to part. This is an optional field of one alphanumeric character. The values for this field are "E" (Estimating), "O" (Obsolete), "P" (Pre-Release), "R" (Released), or "S" (Phase-Out). If the Action Code is "A - Add," "R - Replace," or "V - New Rev," the default value will be "R" (Released); however, the selection in this field will default to the value in the Part Status drop-down box in the MBOM Components, MBOM Change-To Part Assemblies, EBOM Components, and EBOM Change-To Part Assemblies subtasks when you save the record with one of these three action codes.
Use the drop-down box to select the MBOM status that the ECN will assign to the change-to part. The choices are "R - Released," "P - Partially Released," and "U - Unreleased." If the Action Code is "A - Add" or "R - Replace" and the change-to part is an MBOM assembly, the change-to part's MBOM status will default in this field but can be changed. If the Action Code is "V - New Rev" and the Original Part is an MBOM assembly, the original part's MBOM status will default in this field but can be changed. When you add a new line, this field will be blank if the part is not an MBOM assembly, or if no component lines exist in the MBOM Components subtask. The value in the MBOM Status drop-down box in the MBOM Components subtask also defaults into this field when you save the record, depending on the Action Code.
Use the drop-down box to select the EBOM status that the ECN will assign to the change-to part. The choices are "R - Released" and "U - Unreleased." If the Action Code is "A - Add" or "R - Replace" and the change-to part is an EBOM assembly, the change-to part's EBOM status will default in this field but can be changed. If the Action Code is "V - New Rev" and the Original Part is an EBOM assembly, the original part's EBOM status will default in this field but can be changed. When you add a new line, this field will be blank if the part is not an EBOM assembly, or if no component lines exist in the EBOM Components subtask. The value in the EBOM Status drop-down box in the EBOM Components subtask also defaults into this field when you save the record, depending on the Action Code. This field cannot be "R - Released" if there are provisional component parts in the EBOM Components subtask.
Enter, or use Lookup to select, the CAGE code for the part to be added by the ECN. This optional field is six alphanumeric characters. If the Action Code is "A - Add," "R - Replace," or "V - New Rev," the default is the original part's CAGE ID.
Enter "B" (Buy) if the change-to part is normally purchased and "M" (Make) if it is normally manufactured. If the Action Code is "A - Add," "R - Replace," or "V - New Rev," the default is the original part's make/buy code.
Enter "Y" (Yes) in this required field to copy all part information from the original part to the new change-to part. You can change this option when the Action Code is "R - Replace" or "V - New Rev."
Enter "Y" (Yes) to replace the original part with the change-to part wherever it is found as a component in a BOM. The default is "N" (No). You can change this option when the Action Code is "R - Replace" or "V - New Rev."
Enter the date on which the proposed part changes are to become effective. This is an optional field. When you add a new line, this field defaults with the Suggested Effective Date from the ECN Detail subtask.
Use the drop-down box to select a code to indicate the disposition of the existing inventory for the affected parts. Options include "S - Scrap," "R - Rework," "I - Reinspect," "N - No Change," and "V - Update Rev." The default is "N - No Change."
