Use this inquiry application to view information about items appearing on purchase orders. This screen is non-editable; refer to the Enter POs screen to locate and maintain purchase order information. You can also access this screen in Costpoint Purchasing and Materials Estimating.
Enter the Item, item Description, Misc Type, Commodity code, Manuf Part, or Vendor Part, and then select the Execute button on the toolbar to populate the table window.
Enter, or use Lookup to select, an item ID or the beginning of an item ID for which information is required. For example, if you enter "A," select the Contain In radio button, and then select Execute, the table window will populate with all purchase order IDs that contain parts, goods, and services that contain "A."
Enter, or use Lookup to select, the revision and description of the item. If you selected the Allow Multiple Revisions For Each Item checkbox in the Product Definition Corporate Settings subtask of the Product Definition Settings screen in Costpoint Product Definition, you can retrieve multiple revisions of the same item.
This field displays the default unit of measure when you enter an Item ID.
Enter, or use Lookup to select, a miscellaneous charge type code and description on which information is required. You can enter this in place of an item. Establish this type in the PO Line Charge Types table and enter it in the Enter POs screen in Costpoint Purchasing.
Enter, or use Lookup to select, a specific commodity code and description on which to search. Enter commodity codes in the Commodity Codes screen in Costpoint Product Definition.
Enter the manufacturer part number for which PO item information is required.
Enter the vendor part number for which PO item information is required.
Enter, or use Lookup to select, the industry classification code for which PO lines are to be viewed. Maintain industry classifications in Costpoint Purchasing and Product Definition, and assign them in the Vendor Classification Codes subtask of the Maintain Vendors screen in Costpoint Purchasing, Procurement Planning, and Accounts Payable.
Use this group box to view data based on the status of the purchase order lines.
Select this checkbox to view PO lines with the status of "Pending." This status means that the line is pending approval and cannot be received or invoiced until it has changed to open status.
Select this checkbox to view PO lines with the status of "Closed." This status means that the line is closed.
Select this checkbox to view PO lines with the status of "Open." This status means that the line is open and ready for receipts and invoices to be entered against it.
Select this checkbox to view PO lines with the status of "Void." This status means that the line has been voided and no processing will occur. There have not been any receipts entered. This allows the system to show that a quantity was ordered but was later canceled.
Select this checkbox to view PO lines with the status of "System" or "Manually Closed."
Select Exact Match to select items matching the value entered, Begin With to select items beginning with the value entered, End With to select items ending with the value entered, or Contain In to select items containing the value entered.
This column displays the date on which the purchase order was entered.
This column displays the ID of the purchase order on which the item appears.
This column displays the release number of the release order made against a blanket order.
This column displays the line number of the purchase order.
This column displays the change order if the purchase order had a change order created in the Create PO Change Orders screen in Costpoint Purchasing. The last change order number is displayed.
This column displays the type of order. The system-defined types are "Purchase Order," "Blanket," "Release," and "Subcontract PO."
This column displays the vendor name for this order.
This column displays the buyer ID assigned to this order.
This column displays the item ID and is visible only if the item ID in the search criteria is not selected.
This column displays the item revision and is visible only if the item revision in the search criteria is not selected.
This column displays the description of the item.
This column displays the miscellaneous charge type code for the PO line.
This column displays the overall status of the purchase order. The status can be one of the following: "Pending," "Open," "Void," "Closed," or "System Closed."
This column displays the order unit of measure of the item.
This column displays the quantity open. Open quantity is order quantity less the received quantity plus the rejected-replacement quantity.
This column displays the quantity ordered.
This column displays the quantity received. Enter received quantities in the Receive Purchase Order screen in Costpoint Receiving. The received quantity decreases the Open Quantity amount for the PO line.
This column displays the quantity accepted from the Receive Purchase Order screen (or the Enter QC Inspections screen if QC Inspections are required for the PO line) in Costpoint Receiving.
This column displays the quantity rejected from the Receive Purchase Order screen (or the Enter QC Inspections screen if QC Inspections are required for the PO line) in Costpoint Receiving.
This column displays the date on which the item is due.
This column displays the transaction currency for the purchase order. The invoice for these materials will be in this transaction currency.
This column displays the net unit cost of the item in the transaction currency for this purchase order. This is the cost of one unit of the item after the volume discounts have been applied. The invoice for these materials will be in this transaction currency.
This column displays the net unit cost of the item in the functional currency for this purchase order. This is the cost of one unit of the item after the volume discounts have been applied. Functional currency is the currency used to initialize Costpoint and is the currency in which your financial statements are prepared.
This column displays the manufacturer part number.
This column displays the revision of the manufacturer part.
This column displays the vendor part number.
This column displays the revision of the vendor part.
The commodity code cited on the purchase order for this item will be displayed.
This field displays "Y" (Yes) if the Active checkbox is selected for the item in the Maintain Parts screen (for standard parts), Services screen (for service items), or Goods screen (for goods) in Costpoint Product Definition. If the Active checkbox is not selected for the item, this field will display "N" (No). This field will be hidden for miscellaneous line types.
This field displays the "P" it the item is a standard part, "S" if the item is a service, or "G" if the item is a good. This field will be hidden for miscellaneous line types.
This field displays the item's product class that is assigned in the Maintain Parts screen (for standard parts), Services screen (for service items), or Goods screen (for goods) in Costpoint Product Definition. This field will be hidden for miscellaneous line types.
If the item is a standard part, this field will display the planner ID assigned to the part in the Maintain Parts screen in Costpoint Product Definition. This field will be hidden for miscellaneous line types.
If the item is a standard part, this field will display "M" (Make) if the part is made, or "B" (Buy) if the part is bought. The value that displays in this field is assigned in the Make/Buy drop-down box in the Maintain Parts screen in Costpoint Product Definition. If the item is a Service or Good, this field will display as "B" (Buy). This field will be hidden for miscellaneous line types.
This column displays the deliver to information.
This column displays the planner ID for the item.
This column displays the warehouse ID.
This column displays the ship ID.
If applicable, this column displays the industry classification code of the item for this purchase order line.
If applicable, this column displays the business size of the vendor for this purchase order line.
