Use these screens to process requisition lines.
Processing requisition lines is a means by which they are finalized and prepared for purchase order generation. If you do not process requisition lines in these screens, you cannot create purchase orders.
The Process Purchase Requisitions by Line screens (Materials\Transactions\Purchase Requisitions) should be accessed solely by authorized users, such as buyers or purchasing managers.
These screens and the Enter Purchase Requisitions screens (Materials\Transactions\Purchase Requisitions) function similarly; both allow you to enter requisitions. However, the Process Purchase Requisitions by Line screens also allow you to enter and (ultimately) process requisition lines so they can be generated into purchase orders.
Although you can add, edit and/or view requisition lines in this application, the Process Purchase Requisitions by Line screens (Materials\Transactions\Purchase Requisitions) function primarily as processing tools.
Requisition lines that are not processed in this application will maintain their current status, thus preventing purchase order generation.
It is a good practice to allow solely buyers and purchasing managers to access these screens because, commonly, issues arise and requisition line adjustments have to be made that require the authority of specific personnel within your company. For example, if the requisition line indicates that "50" business telephones are needed and the preferred vendor has a pre-packaged set of "100" available (and the cost per unit for "100" is significantly less than the cost per unit for "50"), someone must determine how to proceed with the purchase. If no other vendors can provide this product, authorized personnel must decide if it is in the best interest of the company to order 50 additional business telephones. This decision may be a critical one if the requested date (the date the requisitioner needs the item) is fast-approaching.
In addition, once the requisition lines have been processed, they can be generated into purchase orders; therefore, only designated users should have the authority to determine when/if requisition lines should be processed. If you select the Ready for PO checkbox in the Assign PO subtask, a flag is set internally, indicating that the purchase order can be created. If you do not select this checkbox, the requisition line will maintain a "wait" state. In this circumstance, the purchase order will not be created until you select this checkbox, which finalizes requisition processing.
The Process Purchase Requisitions by Line screens (Materials\Transactions\Purchase Requisitions) display a table window and several subtasks. You can use these fields as follows:
Use the Hdr Text subtask to enter requisition line standard text codes.
Use the Hdr Approvals subtask to view approval process details.
Use the Exchange Rates subtask to add, edit, and/or view exchange rates.
Use the Accounts subtask to distribute line charges against projects, accounts, and organizations.
Use the Currency Line subtask to view transaction and functional currency information.
Use the Line Text subtask to assign requisition line standard text codes.
Use the Line Charges subtask to enter estimated charges.
Use the Ref Quotes subtask to enter vendor quote information.
Use the RFQs subtask to enter vendor quote information.
Use the Assign PO subtask to assign purchase order numbers.
Use the Line Approvals subtask to view requisition approval status information.
You can use these screens to process requisition lines.
You must initialize the Employee User Flow (People\Maintain\Employee), Buyers (Materials\Configure\Purchasing), Project User Flow (Projects\Maintain\Project), Accounts (Accounting\Maintain\Accounts), Organization Elements (Accounting\Maintain\Organizations), Procurement Types (Materials\Configure\Purchasing), and the G/L Settings screens before you add records in this application.
Enter, or use Lookup to select, up to 12 alphanumeric characters to designate the ID of the buyer whose requisition lines you want to process.
If you do not enter data in this field, you can use the Execute or Query icon to access specific requisitions, based on your selection criteria.
The data available in the Lookup originates from the Buyers screen (Materials\Configure\Purchasing).
This group box displays the Approved, In-Approval, and Pending checkboxes. You can use these options to select the approval status for requisition lines to be processed in this screen.
Select this checkbox to view only requisition lines with an approval status of "A" (Approved).
You must select the Execute icon to retrieve records that meet your selection criteria.
Select this checkbox to view only requisition lines with an approval status of "I" (In-approval).
You must select the Execute icon to retrieve records that meet your selection criteria.
Select this checkbox to view only requisition lines with an approval status of "P" (Pending).
You must select the Execute icon to retrieve records that meet your selection criteria.
This non-editable field displays the requisition ID for this requisition line.
This non-editable field displays the system-assigned requisition line number.
This field displays the status of the requisition line.
Use the drop-down box to make a selection. Your choices are "Approved," "Pending," "In-Approval," "Rejected," "Closed," and "Void."
A - Approved. This status indicates the requisition has been approved and can be processed into a purchase order. You cannot modify requisitions with this status in this screen.
P - Pending. This status indicates the requisition line is pending approval and is not ready to be processed or sent through the approval process. This status will exist until the requisitioner submits the requisition for approval or freezes it from further changes, if no approvals are required.
I - In-Approval. This status indicates the requisition has been submitted for approval and is in the process of being reviewed. You cannot modify requisitions with a status of "In-Approval" in this screen.
R- Rejected. This status indicates the requisition line has been rejected during the approval process (or by a buyer in the Requisition Processing screen - Materials\Transactions\Purchase Requisitions) and can be corrected and resubmitted for approval.
C- Closed. This status indicates a requisition has been processed by specific Receiving and/or Accounting applications. These applications include a "closing" process which, when executed, systematically closes the requisition.
V - Void. This status indicates the requisition line has been voided and no further processing will occur.
This non-editable field displays the line type. Line types include "P" (Part), "G" (Good), "S" (Service), or "M" (Miscellaneous).
This field displays the item ID for the requisition line.
Enter, or use Lookup to select, up to 30 alphanumeric characters to designate a different item ID.
The data available in the Lookup originates from the Parts User Flow, Goods User Flow, and Services User Flow screens (Materials\Maintain\Items).
This field displays the revision number.
Enter, or use Lookup to select, up to 3 numeric characters to identify a different revision number.
The data available in the Lookup originates from the Parts User Flow screen (Materials\Maintain\Items).
If the item you selected has revision information associated with it, default data will automatically display in this field.
The revision number represents engineering or design modifications for the part selected by the manufacturer.
If you are using multiple part revisions, you can change this field to another valid revision for that item. If you are not using multiple revisions, you can change the last revision to any value.
This field displays the miscellaneous type for the requisition line.
Enter, or use Lookup to select, up to six alphanumeric characters to identify a different requisitioned line charge type for the miscellaneous line.
The data in the Lookup originates from the PO Line Charge Types screen.
Line charge types are entered in the PO Line Charge Types screen and can also be maintained in the Sales Order Line Charge Types screen.
This field is required for requisition lines with a type of "M" (Miscellaneous).
This field displays the description for the item ID or miscellaneous type you selected.
This field may be modified if you selected the Parts or Goods and Services checkbox in the Allow Modifications to Descriptions on PO/Requisition Lines group box of the Product Definition Settings screen (Administration\Configure\Materials).
This non-editable field displays the date by which the requisitioner requires the line item.
This field displays the requisition unit of measure code for the requisition line, and is required if both a quantity and a unit price are entered on the requisition line.
This code will default into this field based on the item selected, or the requester of the item can enter, or use Lookup to select, up to three alphanumeric characters to identify a different unit of measure code for the requisitioned quantity on this line.
The data in the Lookup originates from the Units of Measure screen.
This non-editable field displays the quantity to be requisitioned; the quantity is displayed in the unit of measure for this item.
Completion of this field is a required for parts and goods; however, field completion is optional for services and miscellaneous lines.
This field displays the inventory abbreviation code for the requisition line.
Enter, or use Lookup to select, up to six alphanumeric characters to identify a different inventory abbreviation for which this line item is being requisitioned.
The data available in the Lookup originates from the Inventory Projects screen.
Your selection will default the appropriate project, account, and organization into the Accounts subtask.
This checkbox displays the taxable status for the requisition line item.
If you select this checkbox, the requisition line item will maintain a "taxable" status. If you do not select this checkbox, the requisition line item will maintain a "non-taxable" status.
Your selection will dictate the application of taxes that will be applied to any purchase order line generated from this requisition line.
This field displays the ship ID for the requisition line.
Enter, or use Lookup to select, up to 20 alphanumeric characters to designate the ship ID where this requisitioned item is to be delivered.
The data available in the Lookup originates from the Ship ID table. The table information is compiled from the Branch Locations, Vendor User Flow (Materials\Maintain\Vendors), Customers (Materials\Maintain\Customers), and Warehouses screens.
The Ship ID field is required for parts, goods, and taxable items.
This non-field displays the sales tax/VAT (value added-tax) rate that is assigned to the ship ID.
This field displays the estimated cost type for the requisition line.
Enter, or use Lookup to select, up to two alphanumeric characters to identify a different cost type code for this requisition line.
The data available in the Lookup originates from the Purchase Requisition Cost Types screen.
This field displays the estimated unit cost for the requisition line.
You must enter a value in this field if the requisition line item is a part or good. If the requisition lines pertains to services or a miscellaneous item, this field is optional and does not require data.
Enter the estimated extended cost amount for this requisition line. This amount should exclude any additional charges.
This field is only editable if the Line Type field displays "S" (Services) or "M" (Miscellaneous), and there is no data in the Quantity and Est Unit Cost Amt fields.
If the Quantity and Est Unit Cost Amt fields display data, this field will be non-editable and display a value that is computed by multiplying the value in the Quantity field by the value in the Est Unit Cost Amt field.
This non-editable field displays the sum total of all line charges entered in the Line Charges subtask for this requisition line.
This non-editable field displays the sum total of sales tax/VAT (value-added tax) for the line item and any line charges assigned if the Taxable field displays "Y" (Yes).
This non-editable field displays the sum of the values in the Est Ext Cost Amt, Est Line Charge Amt, and the Est Sales Tax/VAT Amt fields.
This non-editable field displays the transaction currency code that is specified for this requisition line in the Exchange Rates subtask.
All amounts on this screen will display in terms of this currency.
This non-editable field displays the date the requisition was created.
This non-editable field displays the date on which the requisition line was entered.
This non-editable field displays the date the requisition line was approved, if applicable.
Select this checkbox to combine this requisition with other requisitions having the same vendor and buyer.
By selecting this checkbox, this data can be associated with one purchase order.
If you selected the Combine Requisition checkbox in the Defaults block of the Requisition Settings screen (Administration\Configure\Materials), the Combine with Other Requisitions checkbox in this screen will already be selected; however, you can deselect the "combine" feature for this requisition line.
This non-editable field displays the employee ID of the requisitioner for this line.
This non-editable field displays the employee name of the requisitioner for this requisition line.
This non-editable field displays the organization ID of the requisitioner for this requisition line.
This non-editable field displays the phone number of the requisitioner for this requisition line.
This non-editable field displays the phone number extension of the requisitioner for this requisition line.
This field displays the buyer ID for the requisition line. You can modify this field only if it is blank.
Enter, or use Lookup to select, up to 12 alphanumeric characters to designate the ID of the buyer for the requisition line.
The data available in the Lookup originates from the Buyers screen (Materials\Configure\Purchasing).
Based on your setup in the Requisitions Settings screen (Administration\Configure\Materials) or your designation of data in the Parts User Flow screen (Materials\Maintain\Items), this field might display default data.
For example, if you did not select the Manual radio button in the Buyer Assignments group box of the Requisition Settings screen (Administration\Configure\Materials), this field will default based on the setting configuration.
In addition, if you linked a buyer to a specific "part" in the Parts User Flow screen (Materials\Maintain\Items), a buyer name will automatically display in this field.
This field displays the date this requisition was assigned to a buyer.
This field displays the target place date for the requisition line.
You can modify this field if it displays no data.
Enter, or use Calendar Lookup to select, the target place date. You must enter this date in the MM/DD/YYYY format.
The target place date represents the date the buyer should generate the purchase order in order to receive the requisitioned item by the requested date.
Typically, this date is only relevant if the requisitioner has specified a preferred vendor; in this circumstance, the Target Place Date is established based on the shipment and delivery lead times specified by the vendor.
This field displays the preferred vendor for the requisition line.
You can modify this field only if it is blank. Enter, or use Lookup to select, up to 12 alphanumeric characters to designate the ID of the preferred vendor for this requisitioned item. The vendor must not be flagged as a payroll vendor, and its Approval Code must not be Not Approved. If the vendor has an Approval Code of Pending, you will receive a warning.
The lookup data originates from the Vendor User Flow screen (Materials\Maintain\Vendors).
This non-editable field displays the preferred vendor name.
This non-editable field displays the vendor part for the requisition line.
The system will load the vendor part that has been identified in the Alternate Parts screen (Materials\Maintain\Items).
This non-editable field displays the vendor part revision, per the assigned vendor part, for the requisition line.
This non-editable field displays the manufacturer ID of the purchased item.
You can modify this field only if it is blank.
This non-editable field displays the manufacturer part for the requisition line.
You can modify this field only if the field is blank.
The system will load this field from the Alternate Parts screen (Materials\Maintain\Items), if one was assigned for this item.
The system-loaded value can be changed as needed.
This non-editable field displays the manufacturer part revision, per the assigned manufacturer part, for the requisition line.
The system will load the revision based on the manufacturer's part selected.
This field displays the preferred quote for the requisition line.
You can modify this field only if it is blank.
This field displays the suggested blanket purchase order ID for the requisition line.
You can modify this field only if it is blank.
Enter, or use Lookup to select, up to 10 alphanumeric characters to designate the purchase order ID of the existing blanket to be used to be used as the source for this item.
The data available in the Lookup originates from the Enter Purchase Orders screen (Materials\Transactions\Purchase Orders).
Blanket orders are entered in the Enter Purchase Orders screen (Materials\Transactions\Create Blanket PO Releases). The requisition may be used to create releases against the designated blanket order.
A blanket purchase order typically represents a standard purchase order that you issue to a vendor for products, goods, or services that are needed on a regular basis.
This field displays the procurement type for the requisition line.
You can modify this field only if it is blank. In this circumstance, you can enter, or use Lookup to select, up to two alphanumeric characters to identify the procurement type code.
The procurement type code represents the reason your company has selected a specific vendor from which to purchase the product, good, or service.
"CB" (Competitive Bid) and "SS" (Sole Source), for example, might represent a procurement type codes.
The data in the Lookup originates from the Procurement Types screen.
The Procurement Types screen (Materials\Configure\Purchasing) allows you to enter the code, description, and required number of vendor quotes associated with the purchase of the product, good, or service as designated in the Procurement Types screen (Materials\Configure\Purchasing).
If the requisition does not have the appropriate number of vendor quotes (as specified in the Procurement Types screen (Materials\Configure\Purchasing)), the system will display a warning message when you attempt to save records in the Process Purchase Requisitions and Process Requisitions by Line screens (Materials\Transactions\Purchase Requisitions).
The display of this warning message, however, does not prevent you from ultimately creating a purchase order. The warning message, therefore, is strictly informational.
This field displays the purchase order number assignment option.
Use the drop-down box to make a selection.
Your choices in this drop-down box are "Manual," "Assign Now," and "Assign in PO Creation."
Manual - Use this option to manually assign a purchase order number.
Assign Now - Use this option to allow Costpoint to assign the next purchase order number in sequence.
Assign in PO Creation - Use this option to combine requisitions that have the same vendor and buyer assignment. In order to use this option, you must have selected the Combine Requisitions checkbox in the Requisition Settings screen (Administration\Configure\Materials).
This checkbox displays the indicator which determines if the request for quotes data will be automatically added to the requisition line.
If you select this checkbox, data from the RFQs (Request for Quotes) subtask will display on this requisition line.
This field displays the QC inspection required value for the requisition line.
Your selection indicates whether or not a quality control inspection is required upon receipt of the requisitioned line item.
This field displays the source inspection required indicator for the requisition line.
Your selection indicates whether or not a government source inspection is required.
A source inspection normally requires the vendor to obtain approval from a government inspector before shipping materials.
Certificate of Conformance Reqd
This field displays the Certificate of Conformance indicator for the requisition line.
Your selection indicates whether or not a Certificate of Conformance is required.
This certificate is a legal document issued by the vendor, which certifies that the material conforms to certain specifications and requirements.
This field displays the warehouse ID for the requisition line.
Enter, or use Lookup to select, up to eight alphanumeric characters to designate the warehouse ID to which this inventory part will be delivered.
The data available in the Lookup originates from the Warehouses screen.
This field will be hidden if you did not purchase the Inventory module.
This field displays the shipping method for the requisition line.
Enter up to 15 alphanumeric characters to identify the shipping method/company by which the requisitioned item should be shipped.
This field displays the delivery destination for the requisition line.
Enter up to 25 alphanumeric characters to identify the name or location the requisitioned item is to be delivered.
This checkbox displays the drop ship indicator for the requisition line.
Select this checkbox if the item is to be drop-shipped to an outside location.
This information is used primarily for sales order transactions. The drop-ship information will allow users to identify which orders were drop-shipped directly to a customer as opposed to being delivered to a company delivery address.
This checkbox displays the overship indicator for the requisition line.
If you select this checkbox, overshipments of this requisitioned line item are allowed.
This field displays the receipt tolerance percentage.
If you select the Overshipments Allowed checkbox, enter the overshipment tolerance percentage for this requisition line.
"0%" indicates there is no overshipment allowed; therefore, a zero percentage will restrict the overship amount or quantity.
You cannot enter data in this field unless you selected the Use Receipt Tolerance checkbox in the Product Definition Settings screen (Administration\Configure\Materials) and the Overshipments Allowed checkbox.
This non-editable field displays the approval process code.
Approval process codes represent the manner in which a requisition must be approved before you can generate a purchase order.
Once you have submitted a requisition line for approval, you cannot change this code unless the requisition has been rejected.
This field will be hidden based on your company's business practice regarding the approval process, as defined in the Requisition Settings screen (Administration\Configure\Materials).
This field displays the commodity code for the requisition line.
You can modify this field only if it is blank.
Enter, or use Lookup to select, up to eight alphanumeric characters to identify the commodity code for the requisitioned item.
The data available in the Lookup originates from the Commodity Codes (Materials\Configure\Items) screen.
This field displays the operation code associated with the manufacturing order for this requisition.
If there is a subcontract for the manufacturing order, this field will display "S."
Enter, or use Lookup to select, up to 12 alphanumeric characters to identify the routing operation code.
This code identifies the manufacturing process and, typically, is not entered here. The code represents the segment of the assembly process (or work instruction) where the part is being used.
This field may be populated when a requisition is created in the MRP (Material Review Board) or Production Control module.
This field displays the planner for the requisition line.
Enter, or use Lookup to select, up to 12 alphanumeric characters to designate the ID of the planner who is responsible for controlling the availability of this item.
The data available in the Lookup originates from the Planners screen.
The planner schedules manufacturing orders and determines the availability of materials in order to meet production and sales order demands.
The planner also works with buyers to coordinate and expedite the ordering of materials.
This field displays the industry classification code associated with this requisition line.
Enter, or use Lookup to select, up to eight alphanumeric characters to identify the industry classification code for this requisition line.
The data available in the Lookup originates from the Industry Classifications screen.
This field displays the BOM (Bills of Material) configuration needed to determine requirements for a specific configuration for this line.
Enter, or use lookup to select, up to 10 alphanumeric characters to designate the BOM configuration ID needed to determine requirements for a specific configuration.
The data in the Lookup originates from the Configuration Identifiers screen.
This field displays the national stock number for the requisition line.
Enter up to 20 alphanumeric characters to identify the national stock number assigned to the part being requisitioned.
This field displays the military specification number for the requisition line.
Enter up to 20 alphanumeric characters to identify the military specification assigned to the part to be requisitioned.
This value will default from the Parts User Flow screen (Materials\Maintain\Items), if applicable.
This field displays the order reference for the requisition line. This field can be modified if it was not automatically loaded by the system.
Enter, or use Lookup to select, up to 10 alphanumeric characters to designate a different order reference.
The data available in the Lookup originates from the Enter Sales Orders screen.
Contingent upon your approval settings in the Processes Assignments group box of the Requisitions Settings screen (Administration\Configure\Materials), you may be required to enter an approval process code.
If the process assignments are global, the approval process selected in this group box will automatically default into the Approval Process field.
This non-editable field displays the order reference type.
"S" indicates the line costs were recorded against the sales order line referenced in the Order Reference field.
This non-editable field displays the revision for this requisition.
This non-editable field displays the line revision number.
This is a sequential number assigned by the system to track when the requisition line has been rejected and resubmitted for approval.
This field displays the requisition header notes for the requisition line.
Modifying one requisition line will modify all lines of that requisition when you save the record.
This field displays the line notes for the requisition line.
You can enter additional notes, as needed.
These notes will print on the requisition.
This field displays the internal line notes entered by the requisitioner.
You can enter additional notes, as needed.
These notes will not print on the requisition.
