Customizing of a Spreadsheet View

This topic discusses how to customize a spreadsheet view.

Spreadsheet Display Options

You can customize how a spreadsheet presents information by using the Spreadsheet Preferences dialog box that you display by opening a spreadsheet view and clicking Preferences on the View tab or right-clicking on the view and selecting Preferences.

In addition, if the displayed view is an activity spreadsheet, you can enable grouping or outlining to display the data at an appropriate level of detail.

Customizing Spreadsheet Columns

You can customize the spreadsheet view columns in a number of ways:

  • You can add or insert a new column or update an existing column using the Insert Column dialog box. The only difference between the Add Column, Insert Column, and Edit Column dialog boxes is the name of the dialog box.
  • You can display or remove multiple columns, rearrange the column display order, rename columns, and filter columns in the spreadsheet using the Organize Spreadsheet Columns dialog box. You can also use this dialog box to add fields, such as calculated field expressions, to be included in the Available Fields and Display these fields panes.
  • Define the formatting for a column
  • Delete a column
  • Change the column width or heading
  • Move the position of a column

You can also customize columns in a spreadsheet view using a mouse.

You can display the column header field name when you hover your mouse over the column header. This is particularly useful when you have renamed the column in the view and want to find the source field.

Using the Fill Column Down Command

This command is available in both spreadsheet views and in the spreadsheet pane of a barchart view.

The Fill Column Down command allows you to fill a spreadsheet column (or a selected range of cells in a column) with a single operation. To use this command, enter the value you want to apply to other cells in a spreadsheet column. Select a range of cells that includes the target cell as the topmost cell. Select Fill Column Down and Open Plan responds by filling all the selected cells with the value contained in the top cell of the range.

Note: If you want to fill an entire column with the information in its first cell, right-click the column heading, and click Fill Column Down on the context menu.

Updating Cells with Editable Data

 You can update a cell with editable data in two ways:

Note: Corresponding options (such as a selection dialog box, a drop-down list, a pop-up calendar, or available values for selection) display, depending on the data type of the entry you are updating.
  • Click the cell and then enter a value manually or select from available options in the area above the spreadsheet. In the following example, clicking a cell in an editable date column displays a field where you can enter a date.
  • You can update values within or close to an editable cell in a spreadsheet. When you click the cell, a button (either or ) displays at the right side of that cell (if the cell is currently editable). Below is an example of an editable date column.

Editable date columns include Actual Start, Actual Finish, Target Start, Target Finish, Expected Finish, and user-defined date fields. For non-editable date columns, the button is not available.
