OT Response Policy

When an employee refuses an overtime offering, the employee's OT Response Policy determines if a Refusal Code is required. If a Refusal Code is required or optional, the policy also determines which codes the employee can use.

Refusal Codes are created in the Charge Code form and then assigned to a Charge Group. The Charge Group is assigned to the OT Response Policy.

Note: When a supervisor refuses an OT offer on behalf of the employee, the supervisor's OT Response Policy applies.

This policy can be assigned to a single Employee/Person via the Employee Setting form, to an Employee Group with type POLICY_GROUP or FACILITY via the Employee Group Setting form, or to all users via the System Settings form. An Employee setting overrides an Employee Group setting, which overrides a System Setting. See Settings Precedence for more details.

The SYSTEM_DEFAULT OT Response Policy is assigned to System Settings by default. With this policy, a refusal code is optional when refusing an overtime offer.

OT Response Policy Field Descriptions

Response Policy Name

Name of the OT Response Policy.

Description

Description of the OT Response Policy.

Refusal Code Req.

Indicates whether a Refusal Code is mandatory, optional, or not used.

Charge Group

When Refusal Code Req. is set to Optional or Mandatory, this field identifies the Charge Group containing the OT_REFUSAL Charge Codes that the user can select when refusing an overtime offer.

OT_REFUSAL Charge Codes are defined on the Charge Code form and assigned to a group on the Charge Group form.

The Charge Group field is not available when Refusal Code Req. is set to Not Used.

Auto Refuse Code

This field is only available when Refusal Code Req. is set to Optional or Mandatory.

If an employee has not responded to an overtime offer by the cutoff date, the EXPIRE_OFFERS service will use the Auto Refuse Code when marking the offer as REFUSED_AFTER_CUTOFF.

Available options are OT_REFUSAL Charge Codes defined for the selected Charge Group (see above).

Note that overtime offers with a status of REFUSED_AFTER_CUTOFF can still be accepted. See OT Response for more information.

Update Date, Updated By

These fields display when the record was created or updated, and the person who created or updated the record.

 

Find, Add, Modify, Delete, or Copy an OT Response Policy

To find a specific OT Response Policy, click the Filter area at the top of the form to display the Response Policy Name filter field. Select the policy you want to view, copy, delete, or modify and click Find.

To add a new OT Response Policy, click Add. Enter values in the fields and click Save.

You can modify all the fields in the OT Response Policy except the Response Policy Name. To do so, select the policy and click Modify.

You can copy an OT Response Policy and save the duplicate with a new name. To do so, select the policy and click Copy. Change the Response Policy Name, modify the other fields as necessary, and click Save.

You can delete an OT Response Policy if it is not assigned to a Person, Person Group, or a System Setting.
