Offline Time Entry

The Offline Time Entry feature enables you to record timesheet charges while your mobile device is disconnected from the Internet. When you get back online, you can synchronize your offline timesheet charges to the Costpoint Time & Expense database.

To use this feature, your system administrator must provide you the timesheet offline access through the Allow Offline Access option in Costpoint Time & Expense. If this option is selected, the Make Timesheets Available Offline item displays on the Costpoint Mobile T&E application menu upon login.

The Offline Time Entry feature consists of two processes:
  • Make Timesheets Available Offline
  • Sync Records

Tapping Make Timesheets Available Offline displays the Make Available Offline Screen, which you use to download your timesheet data for the current, previous, and next periods to Costpoint Mobile T&E and make them available to you offline. Timesheets with Open, Signed, Approved, Rejected, or Processed status or with the period flag set to Closed are available for download. Timesheets that are not yet created for a timesheet period or with no lines saved are not available for download.

Note:
  • You must create at least one timesheet line to the current period timesheet in order to complete the Make Timesheets Available Offline process.
  • You must download the timesheets that you will use for time entry every time before you go offline. Otherwise, you will not be able to log into the application and use it while offline.

Whenever you go offline, Costpoint Mobile T&E displays . If you see this upon login and you previously downloaded timesheets for offline time entry, only the offline timesheets on the Timesheet screen are available in the application. You can view your timesheet information on the Timesheet screen, add hours or edit hours of existing timesheet lines, and add or edit comments.

Note: Adding a new timesheet line, charge, or favorite, editing existing charges, and deleting comments are currently not supported.

When you get back online, Costpoint Mobile T&E prompts you to sync or discard offline timesheet data through the Sync Records screen. You can choose to sync offline timesheet data right away or at a later time. If you choose to sync offline timesheet data at a later time, Costpoint Mobile T&E always notifies you that there are offline timesheet data available to sync or discard during login or when you prepare for an offline time entry again. When you choose to discard the offline timesheet data, Costpoint Mobile T&E will purge the offline data entered.

Note: You will not be able to sync records for timesheets with the period flag set to Closed or in a Processed status if you make changes to them when offline.
