This screen displays all the outstanding invoices for both projects and customers. The information displayed in the table window is driven by the number of days outstanding as entered in the Days Outstanding field. If you leave this field blank, all outstanding invoices for the selected customer and/or project display.
The information displayed in this screen is stored in the Accounts Receivable History tables. If you need to initialize or edit Accounts Receivable History, use the Initialize A/R History screen (Accounting\Utilities\Transaction History). Please note that changes made directly into the Initialize A/R History screen do not update the General Ledger or Project Ledger balances.
This screen consists of two blocks, a table window and 13 subtasks that can be used as follows:
Use the Selection block to select the customer and/or project, to choose whether to include finance charges, and to select invoices over a specified number of outstanding days. Once you have made the selections, use the Execute icon in the toolbar to populate the table window.
The Functional Currency Totals group box displays uneditable totals for all invoices contained in the table window.
Use the Customer Notes subtask to enter notes about the invoiced customer.
Use the Contacts subtask to maintain contacts by invoice for the customer being invoiced.
Use the Exchange Rates subtask to review the currency in which the invoice was computed or entered, the rate group associated with the invoice, the date used to compute the exchange rates, and the exchange rates used to compute the transaction to functional currency amounts on the invoice. None of these fields is editable.
Use the Invoice Detail subtask to view the detail of the invoice, any cash receipts entered against the invoice, any computed finance charges on the invoice, and the exchange rate under which the invoice was entered. This subtask contains the fourth Exchange Rate subtask, which you can use to review the currency in which the invoice was entered, the rate group associated with the invoice, the date used to compute the exchange rates, and the exchange rates used to compute the transaction to functional currency amounts on the invoice. None of these fields is editabe.
Use the Cash Receipt Detail subtask (from the Invoice Detail subtask) to view the detail of the cash receipt applied to the selected invoice. There is a second Exchange Rate subtask under the Cash Receipt Detail subtask, which displays the currency used to pay the invoice, the rate group, and exchange date used to compute the displayed exchange rates.
Use the Finance Info subtask (from the Invoice Detail subtask) to view the finance charge stated in terms of the functional and transaction currency, if applicable, and the daily interest rate charged and the number of grace days past the due date allowed before the finance charge was applied. There is a third Exchange Rate subtask under the Finance Charges subtask, which displays the currency rate used to apply the finance charges (which is the currency in which the invoice was computed or entered). The same rate group will be used to compute the finance charges. The exchange rate used will be the exchange rate in effect at the time the finance charges were computed.
Use the Invoice Notes subtask to enter notes about a specific invoice, especially when using this inquiry screen for collections.
Use the Sales Tax subtask to view the sales tax code and sales tax amount for the invoice highlighted on the main screen.
You will normally use this screen after posting all of the cash receipts and invoices for the accounting period. It displays only invoices that have a balance due of greater than zero and that have been outstanding for at least the number of days entered in the Days Outstanding field. It does not show invoices or cash receipts that have not been posted.

Use the fields in this block to refine your search. After you have completed the criteria on which to search, select the Execute icon in the toolbar to populate the table window.
Enter, or use Lookup to select, a valid customer account ID. Once you tab out of this field, the short customer name displays.
Enter, or use Lookup to select, a valid customer name. This is the short name from the Customers screen (Accounting\Maintain\Customers).
Enter, or use Lookup to select, a valid project. All projects are available for Lookup even if they are not allowable or do not allow charges.
In order to include finance charge information on your invoices, you must have set up your customers to compute finance charges in the Credit Info tab of the Customers screen (Accounting\Maintain\Customers). Finance charges will apply to all eligible invoices based on the information entered in the Credit Info tab for the customer, the customer terms, and the age of the customer invoices.
Select this checkbox to display the value in the Finance Charge Computed field and include the finance charge in the Net Amount Due field in the table window.
Select the All radio button to display all outstanding invoices for the selected customer and/or project.
Select the At Least radio button and enter up to five digits. Due dates are compared to the system date to determine the number of days each invoice is outstanding. This value is inserted into the Days Over field in the table window and compared to the value entered in the Days Outstanding field to determine what invoices should be included.
Only invoices with a Days Over field equal to or greater than the number you enter display.
Once you have entered the number of days outstanding, use the Execute icon to populate the table window.
This non-editable field displays the average number of days that the selected customer invoices are overdue based on the system date.
Note: You can set up the functional currency for a company in the G/L Settings screen. This is the currency in which the company's financial statements and general ledger reports are expressed. |
This non-editable field displays the total of the Func Invoice Amount field for all invoices in the table window.
This non-editable field displays the total of the Func Discount Taken field for all invoices in the table window. You can enter discounts on invoices in the Enter Cash Receipts screen (Accounting\Transactions\Cash Receipts).
This non-editable field displays the total of the Func Amount Received field for all invoices in the table window.
This non-editable field displays the total of the Func Adjustment Amount field for all invoices in the table window. Adjustments are computed and posted in the Adjust A/R Underpayment Amounts screen (Accounting\Transactions\Cash Receipts).
This non-editable field displays the total of the Func Balance Due field for all invoices in the table window.
This field displays the invoice number. The invoice number is a unique identifier that is used to identify the receivable amounts for projects and customers.
The invoice number was assigned when invoices were entered or computed in the system. It can also be entered when invoice history is entered in the Initialize A/R History screen (Accounting\Utilities\Transaction History).

This field displays the abbreviation of the transaction currency. It is the currency in which the invoice was entered or computed.
The currency names are maintained in the Currencies (Administration\Maintain\Multicurrency) screen.
This field displays the gross amount of the invoice stated in the transaction currency of the customer. The Balance Due field reflects the invoice amount less amounts received and adjustment amounts.
This field displays the amount of cash received for this invoice stated in the pay currency of the customer.
The system calculates this field by subtracting the sum of the values of the following fields: Amount Received plus the Discount Taken plus the Adjustment Amount from the Invoice Amount.
This field is stated in the transaction currency of the customer.
This field displays the finance charge that was computed for this invoice. Finance charges are computed by customer in the Compute Finance Charges screen. In the Credit Info tab of the Customers screen (Accounting\Maintain\Customer), the customer must have the Apply Finance Charges checkbox selected and the Number of Grace days and Annual Percent fields completed in order to compute finance charges. Finance charges are computed in the transaction currency of the customer and the functional currency of the company. The Finance Charge Computed field is stated in the transaction currency of the customer.
This field displays the finance charge that was received for this invoice when the invoice was paid in the Enter Cash Receipts screen (Accounting\Transactions\Cash Receipts).
This field is stated in the pay currency used when the cash receipt was entered.
This field displays the net amount due stated in the transaction currency of the customer. The system calculates this value by adding the invoice Balance Due to the Finance Charge Computed and subtracting the Finance Charge Received.
This field displays the project number used when the invoice was entered, computed, or initialized in the system.
This field displays the General Ledger account to which the invoice was posted during billing.
When posting customer invoices, the system checks the Project Account Groups table for the receivable account to be used in posting if a project exists on the invoice.
If no project exists, the customer default accounts will be used to determine the default receivable account used for posting.
If there are no default accounts in the customer setup, the default receivable account will be used from the A/R Settings screen (Administration\Configure\Accounting).
This field displays the organization to which the invoice was posted.
If a project exists on the invoice, the owing organization of the project will be used.
If no project exists, then the customer default accounts will be used to determine the organization used for posting.
If there is no customer receivable account in the customer setup, then the default receivable organization is used from the A/R Settings screen (Administration\Configure\Accounting).
This date was entered in the Enter Customer Product Bills (Projects\Transactions\Billing), Enter Project Product Bills (Projects\Transactions\Billing), Enter Manual Bills (Projects\Transactions\Billing), Enter Milestone/Percent Complete Bills (Projects\Transactions\Billing), or the Calculate Bills (Projects\Process\Billing) screens.
If you do not enter a date, the system date will be used.
Please note that the due date, rather than the invoice date, is used when calculating the value in the Days Outstanding field.

This field displays the due date. The system computes this date based on the payment terms you established in the Customers screen (Accounting\Maintain\Customers).
If you enter a customer PO number on the billing, the system posts it into the accounts receivable history, and displays it here.
You can only enter customer PO numbers on project product bills, customer product bills, edit milestone percent complete bills, and sales order invoices.
This field displays the original discount offered to the customer for the invoice shown. The value in this field is stated in the transaction currency of the customer.
This field displays the bill number.
The bill number is a second invoice identifier, separate from the system invoice number. It is usually used to track project-specific billing items required by a particular job.
You established the bill number in the Project User Flow (Projects\Maintain\Projects) field.
This field displays the customer account number to which the invoice was sent.
This field displays the address code to which the invoice was billed.
The default address code will default onto computed, entered, or initialized bills. You can change the default address code to a customer address code if the value in the Bill Code field is "Y" in the Customer screen (Accounting\Maintain\Customers).
You defined the default address code as the address code in the Customers screen (Accounting\Maintain\Customers) by placing a value of "D" in the Bill Code field.
This field displays the reference number to which this invoice or cash receipt was posted, if reference numbers are used in data entry.
This field displays the sales order number if an invoice is created after entering a sales order (Materials\Transactions\Sales Orders), creating a sales order invoice (Materials\Transactions\Sales Order Invoices) and posting it.
This field displays the reference number to which this invoice or cash receipt was posted, if reference numbers are used in data entry.
This field displays the rate group code that is used for this customer's invoices and cash receipts.
These rate groups identify the transaction currency, pay currency, and exchange rates that are used to compute the functional currency amounts.
This field displays the customer name associated with the customer account.
The name used in Lookup or entry is the short name from the Customers screen (Accounting\Maintain\Customers).
This field displays the discount taken by the customer for this invoice.
The discount taken is entered in the Enter Cash Receipts screen (Accounting\Transactions\Cash Receipts).
This field is stated in the pay currency of the customer.
This field displays the adjustment amount that was written off using the Adjust A/R Underpayment Amounts screen (Accounting\Transactions\Cash Receipts).
The adjustment is computed in the transaction currency of the customer and the functional currency of the company.
This field is stated in the transaction currency of the customer.
This field displays the last date a cash receipt was recorded against this invoice. It is updated when posting cash receipts.
This field is used by all types of invoices and is updated during the posting process.
If the invoice is a standard bill (calculate bills, customer product bill, project product bill - not designated as a delivery invoice), sales order invoice, or manual bill, this field will contain an "S."
If the invoice is a progress payment bill (calculate progress payment billings), the invoice type will be "P."
If the invoice is a delivery bill (project product bill designated as a delivery invoice or a sales order invoice designated as a DD250), the invoice type will be "D."
You must initialize projects using progress payment bills with the correct invoice types in the Initialize A/R History screen (Accounting\Utilities\Transaction History). The calculation process for both progress payment bills and delivery invoices relies on these values.
This field is used by delivery invoices for projects that bill using progress payments. It contains the full amount of the shipped finished good.
This field is updated when you post delivery invoices from the Enter Project Product Bills screen (Projects\Transactions\Billing) - if designated as a delivery invoice or post DD250 invoices from Costpoint Sales Order Entry.
This field is used by delivery invoices for projects that bill using progress payments.
It is updated when delivery invoices are posted through the Enter Project Product Bills screen (Projects\Transactions\Billing) in or by DD250 invoice postings from Costpoint Sales Order Entry.
This field represents the total calculated amount of progress payments liquidated against the delivery invoice. Liquidation amounts are progress payments that have been paid by the customer. They reduce the delivery amount to arrive at the net invoice amount.
This field is used by delivery invoices for projects that bill using progress payments.
The value in this field should always represent the liquidation taken when the cash is received. It should differ from the liquidation amount only when the payment of an invoice has been adjusted to reflect a different liquidation amount than invoiced.
This field is used by delivery invoices for projects that bill using progress payments. It displays the account that was used to record the liquidation. The account used will be the account linked to the project in the Project Accounts Group screen with a Function Code of "PRGRSS-Liquid" in the Account Functions groupbox.
It is updated when delivery invoices are posted through the Enter Project Product Bills screen (Projects\Transactions\Billing) or by DD250 invoice postings from Costpoint Sales Order Entry.
This field displays the account that was used to record the unliquidated amount. This is the amount billed on the progress payment that has not yet been delivered. Progress payment invoices use this field.
This field is updated when progress payment bills are posted.
If the balance due is greater than zero, the value in this field is calculated by subtracting the Due Date from the system date.
If the Balance Due field is less than zero, the Days Outstanding field is set to zero.
Please note that only invoices that have a Balance Due field not equal to zero will display on this screen.
