Use this screen to identify ECNs requiring approval, screen them, and approve or reject them. You can load ECNs into this screen using only the Find or Query functions. You can load only those ECNs that you are eligible to approve.
Approvers who have been given authority in the EC Approval Processes screen can also change certain ECN data. If the Allow ECN Changes checkbox has been selected for you in the EC Approval Titles screen, you can change data only in the header of the main screen, and in the ECN Detail, Customer Information, ECN Notes, ECN Standard Text, and User-Defined Info subtasks. If the Allow ECN Configuration Changes checkbox has been selected for you in the EC Approval Titles screen, you can change data only in the Parts Impacted table window and the ECN Documents, Part Documents, Routings, MBOM Components, and MBOM Assembly subtasks.
You cannot use ECNs to create new provisional parts or maintain existing provisional parts. You cannot enter Provisional Parts in the Original Part and Change-To Part fields in the main screen. Therefore, if you would like to modify an existing provisional part, you must convert it to a standard part (in the Convert Provisional Part to Standard Part screen in Costpoint Product Definition) before calling it out in an ECN. However, you can use provisional parts within an Engineering BOM function for a standard part in an ECN.
Use this screen to approve ECNs. You cannot use it to create new ECNs or modify ECNs that have already been fully approved.
Use the fields in this group box to enter basic information about the ECN, including ECN type, class, and status.
This field displays the ID of the ECN being approved.
This field displays the ECN's revision number.
Enter, or use Lookup to select, the ECN type. This required field of up to six alphanumeric characters must be a valid type from EC Types screen. This can be used to determine the ECN Approval Process. For example, if you have selected the ECN Type radio button in the EC Settings screen, and you populate the Type field with an ECN Type code that is assigned to an approval process (in the Engineering Change Types subtask in the EC Approval Processes screen), that approval process code will default into the Approval Process field for the ECN and cannot be changed.
Use the drop-down box to select an ECN class, either "I," "1.5," or "II." This can be used to determine the ECN Approval Process. For example, if you have selected the ECN Class radio button is selected in the EC Settings screen, and you populate the Class field with an Engineering Change Class code (e.g., Class I, Class 1.5, or Class II) that is already selected for an approval process (in the Engineering Change Classifications group box in the EC Approval Processes screen), that approval process code will default into the Approval Process field for the ECN and cannot be changed.
This field displays the date on which the ECN originated.
Enter up to 60 alphanumeric characters in this required field to describe the engineering change.
Enter, or use Lookup to select, a code to identify the reason for the engineering change. This required field of up to three alphanumeric characters must be a valid reason code from the EC Reasons screen.
Enter, or use Lookup to select, a code for the priority of the engineering change. This optional field of one alphanumeric character must be a valid priority code from EC Priorities screen. The default value loads from the EC Types screen.
You can update this optional field only when you have selected the Manual radio button in the Approval Process Assignment group box in the EC Settings screen. In this case, this field will default with the approval process assigned in the EC Settings screen. However, you can enter, or use Lookup to select, an approval process this ECN will be required to pass through before implementation. This field of up to eight alphanumeric characters must have a valid Approval process ID from the EC Approval Processes screen. The approval process code can also default based on the Type, Class, or Organization that you enter and the radio button that is selected in the Approval Process Assignment group box in the EC Settings screen. For example, if the ECN Type radio button is selected in the EC Settings screen, and you populate the Type field with an ECN Type code that is assigned to an approval process (in the Engineering Change Types subtask in the EC Approval Processes screen), that approval process code will default into this field and cannot be changed.
This non-editable field displays the status of the ECN to be approved. The options for this drop-down box are "C - Closed," "D - Documents Updated," "I - In Approval," "M - Implemented," "P - Pending," "R - Rejected," and "V - Void." Once you have submitted an ECN for approval (i.e., set the Status field to "I - In Approval") in the Maintain ECNs screen, you can modify it only in the Approve ECNs screen or Maintain Approved ECNs screen. If the Approval Action is set to "R - Rejected," or if there is an Approval Title whose Action Code is "R" (Rejected) in the ECN Approval Detail subtask, you can modify the ECN in the Maintain ECNs screen and resubmit it for approval.
Select this checkbox to put the ECN on hold.
Use the fields in this group box to enter basic information about the ECN originator.
Enter, or use Lookup to select, the employee ID of the person originating the ECN. This optional field of up to 12 alphanumeric characters must be a valid employee ID from the Basic Employee Info screen in Costpoint Employee.
Enter up to 25 alphanumeric characters in this required field for the name of the person originating the ECN. The default is the name associated with the employee ID in the Basic Employee Info screen in Costpoint Employee.
Enter, or use Lookup to select, up to 20 alphanumeric characters for the organization to which this ECN is linked. This field is optional. This field is required if Org Security is on in Costpoint System Administration for Costpoint Engineering Changes Notices. The Organization can be used to determine the ECN Approval Process. For example, if the Organization radio button is selected in the EC Settings screen, and you populate the Organization field with an organization that is assigned to an approval process (in the Link Organizations subtask in the EC Approval Processes screen), that approval process code will default into the Approval Process field for the ECN and cannot be changed.
Enter, or use Lookup to select, up to 20 alphanumeric characters in this optional field. The default value is based on employee ID and the ECN Originator Phone Type Code field in the EC Settings screen.
Enter, or use Lookup to select, up to six alphanumeric characters in this optional field. The default value is based on employee ID and the ECN Originator Phone Type Code field in the EC Settings screen.
Use this drop-down box to select the approval action that applies to this ECN, either "A - Approved," "P - Pending," or "R - Rejected." If you are rejecting the ECN, you must open the ECN Approval Detail subtask and add a Rejection Reason code. You can also add approval notes in that subtask. If Approval Action is set to "R - Rejected," you can modify the ECN in the Maintain ECNs screen, and resubmit it for approval. However, even if this field is "A – Approved," but there is an Approval Title whose Action Code is "R" (Rejected) in the ECN Approval Detail subtask, you will still need to modify the ECN in the Maintain ECNs screen, and resubmit it for approval.
Use the fields in this group box to provide basic information about parts that are involved in this ECN.
This field is numbered automatically.
Select an action code for the ECN in this required field: "A - Add," "C - Change," "R - Replace," "V - New Rev," or "O - Obsolete." If you select "O - Obsolete," the default value for the Original Part Status column will also be "O." If you change the Action Code to "V - New Rev" after saving the record, you must re-enter the Original Part and tab out of the column to have the Change-To Part default with the new revision. If the Action Code is "R - Replace" or "V - New Rev," the Change-To Part (and Change-To Rev) must be different from the Original Part (and Original Part Rev).
Enter, or use Lookup to select, the ID of the existing part to be affected by the ECN. This optional field of up to 30 alphanumeric characters must be a valid part ID from the Basic Part Data screen in Costpoint Product Definition. You should leave this column blank if the Action Code is "A - Add." If the Action Code is "R - Replace" or "V - New Rev," the Change-To Part (and Change-To Rev) must be different from the Original Part (and Original Part Rev). You cannot enter provisional part IDs in this field.
Enter, or use Lookup to select, the part revision to be affected by the ECN. This optional field of up to three alphanumeric characters must be a valid Part Rev from the Basic Part Data screen in Costpoint Product Definition. You should leave this column blank if the Action Code is "A - Add."
This column displays the description of the part.
Enter, or use Lookup to select, the status the original part will be assigned by the ECN. This required field of one alphanumeric character must be "E" (Estimating), "O" (Obsolete), "P" (Pre-Release), "R" (Released), or "S" (Phase-Out). This field defaults with the original part's Part Status from the Basic Part Data screen in Costpoint Product Definition.
Enter "Y" (Yes) to make this part active.
This field displays the original part Commercial and Government Entity (CAGE) ID.
Enter, or use Lookup to select, the ID of the original part the ECN will add to or replace. This optional field can contain up to 30 alphanumeric characters. If the Action Code selected is "V- New Rev," the default will be the original part ID. This field is required if the Action Code is "A - Add," "R - Replace," or "V - New Rev." You must leave this field blank if the Action Code is "C - Change," "D - Delete," or "O - Obsolete." If the Action Code is "R - Replace" or "V - New Rev," the Change-To Part (and Change-To Rev) must be different from the Original Part (and Original Part Rev). You cannot enter provisional part IDs in this field.
Enter, or use Lookup to select, the part revision of the original part the ECN will add to or replace. This optional field of three alphanumeric characters must be a valid part revision from the Basic Part Data screen in Costpoint Product Definition. If the Action Code is "V - New Rev," default value will be the next revision letter/number. You must leave this field blank if the Action Code is "C - Change," "D - Delete," or "O - Obsolete."
Enter up to 60 alphanumeric characters in this optional field to describe the part to be added by the ECN. If you selected "V - New Rev" for the Action Code, the default will be the original part description. This field is required if the Action Code is "A - Add," "R - Replace," or "V - New Rev." Enter, or use Lookup to select, a status the change-to part will be assigned by the ECN. You can enter one alphanumeric character in this optional field; you can enter "E" (Estimating), "O" (Obsolete), "P" (Pre-Release), "R" (Released), or "S" (Phase-Out). If the Action Code is "A - Add," "R - Replace," or "V - New Rev," the default value will be "R" (Released); however, the selection in this field will default to the Part Status drop-down boxes in the MBOM Components, MBOM Change-To Part Assemblies, EBOM Components, and EBOM Change-To Part Assemblies subtasks when you save the record with one of these three action codes.
Use the drop-down box to select the MBOM status the change-to part will be assigned by the ECN. The choices are "R - Released," "P - Partially Released," and "U - Unreleased." If the Action Code is "A - Add" or "R - Replace" and the change-to part is an MBOM assembly, the change-to part's MBOM Status will default in this field but can be changed. If the Action Code is "V - New Rev" and the original part is an MBOM assembly, the original part's MBOM status will default in this field but can be changed. When you add a new line, this field is blank if the part is not an MBOM assembly, or if no component lines exist in the MBOM Components subtask. The value in the MBOM Status drop-down box in the MBOM Components subtask also defaults into this field when you save the record, depending on the Action Code.
Use the drop-down box to select the EBOM status that the ECN will assign to the change-to part. The choices are "R - Released" and "U - Unreleased." If the Action Code is "A - Add" or "R - Replace" and the change-to part is an EBOM assembly, the change-to part's EBOM status will default in this field but can be changed. If the Action Code is "V - New Rev" and the original part is an EBOM assembly, the original part's EBOM status will default in this field but can be changed. When you add a new line, this field is blank if the part is not an EBOM assembly, or if no component lines exist in the EBOM Components subtask. The value in the EBOM Status drop-down box in the EBOM Components subtask also defaults into this field when you save the record, depending on the Action Code. You cannot select "R - Released" if there are provisional component parts in the EBOM Components subtask.
Enter, or use Lookup to select, the CAGE code for the part to be added by the ECN. You can enter six alphanumeric characters in this optional field. If the Action Code is "A - Add," "R - Replace," or "V - New Rev," the default is the original part's CAGE ID.
Enter "B" if the change-to part is normally purchased or "M" if it is normally manufactured. If the Action Code is "A - Add," "R - Replace," or "V - New Rev," the default is the original part's make/buy code.
Enter "Y" (Yes) in this required field to copy all part information from the original part to the new change-to part. You can change this option when the Action Code is "R - Replace" or "V - New Rev."
Enter "Y" (Yes) to replace the original part with the change-to part wherever it is found as a component in a BOM. The default is "N" (No). You can change this option when the Action Code is "R - Replace" or "V - New Rev."
Enter the date on which the proposed part changes are to become effective. This field is optional. When you add a new line, this field defaults with the Suggested Effective Date from the ECN Detail subtask.
Enter "Y" (Yes) to increase the revision of all assembly parts that call out the original part as a component. This option is currently available only if you did not select the Allow Multiple Revisions for Each Item checkbox in the Product Definition Corporate Settings subtask of the Product Definition Settings screen in Costpoint Product Definition.
Use the drop-down box to select the disposition of the existing inventory for the affected parts. Options include "S - Scrap," "R - Rework," "I - Reinspect," "No Change," and "V - Update Rev." The default is "No Change."
