Participating in a Review

A Review is a request for users to give feedback and/or approvals on asset(s) by a specific date.

Note: A user's task/s in a review may vary depending on their review role.

A. Open a Review

There are several ways to access the reviews you are part of.

Option Steps
Open a Review from the Reviews Screen
  1. Log into your account.
  2. In the Navigation panel, click Reviews.
  3. On the Reviews screen, click a review to open it in the Proofing Workspace.
Open a Review from an Email
  1. Open the notification email from ConceptShare.
  2. Click the link to open the review in the Proofing Workspace.

    If the email link is pre-authenticated, ConceptShare will log you in as the user that the email was sent to, and load your review. If the email link is not pre-authenticated, ConceptShare will take you to the login page. Enter your credentials or use the Single Sign-On option (if enabled for your account) to load the review.

Open a Review from the Work Screen
  1. Log into your account.
  2. In the Navigation panel, click Work.

    ConceptShare displays the reviews you, your role, or team are a part of.

  3. Click the name of the review to open it in the Proofing Workspace.
    Note: If you are part of a team or role assignment, you can choose to Take Ownership of a review/to-do. This action removes the work item from everyone else's queue and assigns it to yourself. For instructions, see Take Ownership of a Review or Take Ownership of a Review from the Proofing Workspace.

    You can also Reassign the review or to-do to another user within your team or role assignment. For instructions, see Reassign a Review.

    If you do not Take Ownership or Reassign the review or to-do, you will not be able to submit responses.

Open a Review from the Global Activity Feed
  1. Log into your account.
  2. In the Navigation panel, click Activity.
  3. On the Activity screen, click the name of the review to launch it into the Proofing Workspace.
Open a Review from the Project Activity Feed
  1. Log into your account.
  2. In the Navigation panel, click Projects.
  3. On the Projects dashboard, click a project, and then click the Activity tab.
  4. On the Activity screen, click the name of the review to launch it into the Proofing Workspace.
Open a Review from a Smart Folder
Important: Smart Folders are available only in the Enterprise Edition of ConceptShare.
  1. Log into your account.
  2. In the Navigation panel, click a Smart Folder created based on the type: Reviews.

    ConceptShare displays the list of items that meet the criteria that you or another user had set for that folder.

  3. Click the review name to open it in the Proofing Workspace.
Open a Review from the Reviews Screen using ConceptShare Mobile
  1. Log into your account from your mobile device.
  2. Tap the Options menu on the upper-left of the screen, and then tab Reviews.
  3. On the Reviews screen, tap a review to open it in the Proofing Workspace.

B. Add Feedback

You can add new feedback to a review and have other participants reply to it.

  1. Click the Feedback side panel, and then click to display the Add Feedback field.
  2. Enter your comment and use the markup tools to clarify your comment.
  3. Click Publish to make your comment visible to other reviewers.

    Click Clear to delete your comment and markup.

    Click Save Draft to store your feedback privately.

    Note: For Publish and Save Draft options, ConceptShare displays a green Feedback published notification box, which indicates your successful entry.

You need to publish any draft feedback so other reviewers can view it. Draft feedback is not carried over if the asset is versioned unless the author promotes the feedback.

C. Indicate Responses

Depending on your review role, you may be required to submit a response in a review. Responses may be one of the following: Approve, Reject, Defer, or Complete Feedback.

  1. Click the Responses side panel, and then choose your response:
    Option Description
    Approve Click Approve if the asset meets the criteria specified.
    Reject Click Reject if the asset does not meet the criteria specified.
    Defer Click Defer if the review requires the attention of someone else, if your feedback is not applicable, or if you are comfortable with the group consensus. You may or may not be prompted to identify a Resource to defer to depending on the Review settings.

    The Defer option will only display when it is enabled in the review settings. Guest reviewers do not have the option to defer.

    Complete Feedback Click Complete Feedback if you are finished adding feedback and responses.
Note: If applicable, provide your response for each asset in the review. To access an asset, click the folder icon at the bottom of the screen to see the thumbnails of the assets in the review.

Assets in the asset explorer will be marked with a green check mark (for Completed Feedback or Approved submissions), a red X for a rejection, or a curved arrow in a gray circle for a deferral.

D. Submit Responses

Once you have indicated your responses, ConceptShare prompts you to submit your responses.

  1. When prompted for confirmation, click Submit Now to lock in your responses and make them visible to other users.
    To have the opportunity to change your response later, click Later.
    Note: Other users will not see draft responses.

In the Responses section, an exclamation mark indicates that there are unsubmitted responses. A check mark replaces it once all responses have been submitted. Your submitted responses are visible to all reviewers and time-stamped.

The review also disappears from your Work screen once you have submitted your responses.

Participating in Reviews on Mobile

You can submit a response to a review through a mobile device.

  1. Go to your email and open the review notification email from ConceptShare.
  2. On the Sign In page, enter you credentials.
  3. In the Activity Feed, tap options menu, and then select Reviews to display reviews you are part of.
  4. Click the thumbnail of the review.
  5. At the bottom of the page, indicate your response by tapping any of the following options:
    • Accept
    • Reject
    • Review Info
