Operations

When working with Open Plan data, you can perform the following operations:

Create new files

You can create a project or data file using any of the following methods:

  • Click New on the File menu.
  • Click the New button on the Quick Access Toolbar.
  • Press CTRL+N.

Open existing files

You can open a file using any of the following methods:

  • Right-click its icon in the Open Plan Explorer and click Open in the context menu.
  • Select the file in the Open Plan Explorer and click Open on the File menu.
  • Click Open on the File menu and select the file in the Open File dialog box.

Save files

You can save files at any time using either of the following methods:

  • Click the Save command on the File menu.
  • Click the Save button on the Quick Access Toolbar.

Copy files

You can copy a file by opening it, clicking Save As on the File menu, and giving your file a new name.

Close files

You can close a project file in either of the following ways:

  • Right-click the file and click Close on the context menu.
  • From within the open project, click Close on the File menu.

You can close a data file by displaying a window with information from the file and clicking Close on the File menu.

Back up files

The backup function enables you to copy a project for archival purposes. When you back up a project, Open Plan copies all the files associated with the project to a file with the extension .bk3. You can also back up individual resource, code, and calendar files. You can save this backup file onto any drive or directory you select. You can also use any data compression utility to compress the BK3 file.

Restore files

The restore function provides a reverse of the backup function, enabling you to restore the files you previously archived.

If you have compressed a backup file using a compression utility such as WinZip, you must decompress it using the same utility before running the Open Plan restore command.

Delete files

You cannot delete a file that is open, referenced by another file, or to which you do not have the appropriate rights.

There are two ways to delete a file:

  • Select the file and press the DELETE key. When you use this method, the manner in which Open Plan interprets the deletion depends on where the file reference is located in the hierarchy pane of the Open Plan Explorer:
    • My Folder: Deleting a file from within this folder deletes the link to the file. In the case of a project, the links to ancillary files are deleted in addition to the link to the project. No actual data is deleted from the data source.
    • Projects: Deleting a project from within this folder deletes the links to any assigned ancillary files and deletes the project itself from the data source. Deleting just an ancillary file or view from this folder deletes only the link to the file. Neither the ancillary file nor the view is deleted from the data source.
    • Open Plan Library: Deleting an ancillary file or view from within this folder deletes the actual data from the data source.
  • Use the Select File to Delete dialog box that you can access by pointing to Manage Files on the File menu and clicking Delete File. When you use this method, the data is deleted from the data source regardless of where the file reference is located in the hierarchy pane of the Open Plan Explorer.

There is also a third method of performing a deletion that pertains only to views. You can right-click a view and click Delete on the shortcut menu. The manner in which Open Plan interprets the deletion performed using this method depends on the context of where the view is accessed:

  • If you delete a view from within the context of a project, Open Plan deletes only the link to the view.
  • If you delete a view from within the Open Plan Library, Open Plan deletes the view itself from the data source.

Change the access mode

Open Plan supports the following access modes:

  • Exclusive: In this mode, you have exclusive access to the file. Other users can open the file only in read-only mode (regardless of their access rights to the file).
  • Read Only: In this mode, you can view the data in the file and copy the file using the Save As command. However, you cannot modify the original file in any way.
  • Shared: In this mode, you can read and write to the original project file. More than one user may have shared access to a file at the same time.

When you open a file by right-clicking an icon in the Open Plan Explorer, Open Plan also enables you to select Default. This option opens the file in the access mode that was identified as the default on the General tab of the Properties dialog box.

Refresh from the database

You can refresh the contents of the Projects and Open Plan Library folders as well as the options on the menus as configured in EPM Security Administrator (EPM SA) from the database by clicking .

Moreover, you can refresh code data in code files opened in Shared or Read Only mode on a project opened in Shared mode.

  • When you open the code files in Shared mode and another user updates or adds code values, Open Plan enables all users who are working on a project simultaneously to see the updated code values. You can only view the updated values, however, when you refresh the project data.
  • When you open the code files in Read Only mode and another user makes changes to the code file, you can still refresh the project data. Open Plan refreshes the read only code data as well.
