General Ledger Balance View

Use this view to display all finance accounts, including potential debit or credit balances, and the voucher details for each account. You can also create and delete accounts in this view.

Top Grid

The top grid displays all finance accounts in WorkBook.

Field Description
Account Number Account numbers must be unique. They can contain numbers, letters, and special characters. They are used as references on financial postings. This field must contain a value.
Account Type An account must have one of the following types: Balance Sheet Account, Header, Operating Account, or Sum from. You cannot change the account type after there are postings on the account. When the Account Type is Sum from, the Sum from Account field identifies the account from which accounts are summarized.
Account Name This is a descriptive name for the account. This field must contain a value.
Sum from Account If the account type is Sum from, this field identifies the account from which accounts are summarized. This field must contain a value if the account type is Sum from. If the account type is any type other than Sum from, the Sum from Account field is disabled.
Balance Debit The debit balance of the account (assuming that debits are greater than credits) for the period that is selected in the period selection fields. If the account is a Balance Sheet account, this balance includes any brought-forward balance on the first day of the period in the period selection fields.
Balance Credit The credit balance of the account (assuming that credits are greater than debits) for the period that is selected in the period selection fields. If the account is a Balance Sheet account, this balance includes any brought-forward balance on the first day of the period in the period selection fields.
Line No. This number controls the order in which accounts are listed in the Chart of Accounts (COA) when the COA is displayed on-screen and in reports, even if the line number itself is not displayed. This field must contain a value, and the value must be unique.

Middle Grid

The middle grid displays the vouchers associated with the account selected in the top grid. To display the middle grid, click Show/Hide Subgrid on the top grid toolbar.

The middle grid contains the same information as the top grid of the Account Statement tab. For more information, see Account Statement Tab.

Bottom Grid

The bottom grid displays the details of the voucher selected in the middle grid. To display the bottom grid, click Show/Hide Subgrid on the middle grid toolbar.
