Consultant Pay When Paid report

Use this report to monitor if you have received payment from your client for the consulting services before you choose to pay the consultant.

This report displays outstanding billable consultant invoices and client receipts that have been used to pay for the consultant’s services.

Note: If the consultant transaction status is Defer or Hold in > Manage > Client Invoices, it does not show on the report.

You can summarize information for a vendor, and drill down to the associated client invoice and receipt information.

From the > Reports menu, click Vendor > Consultant Pay When Paid.

Report options

Option Description

Company

Multi-company only. The report contains information for all companies in your organization, unless you select a specific company in this field.

Vendor

The report contains information for all consultant type vendors unless you select a specific client in this field.

After changing report options, click (Refresh). 

Customize options

Option Description

Report title

You can change the title of the report.

Unpaid vendors only

If selected, it prints only unpaid vendors. Otherwise, all vendors are included in the report.

Use drilldown

If selected, you can drill down to further detail on the report. If cleared, all information, including the lowest level of detail, prints on the report.

Print report file location

If selected, it prints the location and file name of the report.

Print customize options on report

If selected, it prints a list of the options that you select.

Received Client Payment If selected, the report will be filtered to show consultant invoices that have received client payments.

Column Description

Vendor

The vendor or consultant

Received Client Payment

Indicates if you received payment from the client for the vendor’s work

Invoice

The vendor invoice number

Date

The date of the vendor invoice

Amount

The amount of the vendor invoice

Write-off

Any amount written-off on the vendor invoice

Payments

Any amount you already paid on the vendor invoice, including write-offs

Latest Receipt Date The latest receipt date for the client invoice

Balance

The vendor invoice amount adjusted for any write-offs and payments

When this amount appears in red, it indicates that the client was invoiced but no payment was received.

Drilldown:

Client / Project

The client and project associated with the client invoice

Billed as

The billing type of the project

Invoice

The client invoice number, or the word Draft if the final invoice has not been printed

Date

The client invoice date

Consultant amounts:

Amount

The amount of all consultant’s work billed on the client invoice

Write-off

Any write-off amounts on the client invoice that pertain to this consultant’s work

Payments

Any receipts on the client invoice that pertain to this consultant’s work

Note: The report recognizes a client receipt for a fee-based invoice only after the consultant activity is billed on the invoice.
Receipt Date The receipt date for the client invoice

Balance

The amount of this consultant’s work as reflected on the client invoice, adjusted for write-offs and prepayments

When this amount appears in red, it indicates that the client was invoiced but no payment was received.

Cost amount

The cost of the consultant’s work as invoiced from the vendor

% received

The percentage of all consultant’s work already paid by the client:

(Payments + Write-offs) / Amount * 100

Suggested payment

Based on the amount the client has paid, this column contains the suggested payment to the consultant:

(% Received * Cost Amount) - (Vendor Payments + Vendor Write-offs)

Amount to pay

This space is blank for you to write in the amount you want to pay the consultant.
