Syncing projects to CRM manually

To sync projects to CRM manually

  1. Click > Setup > Utility > Synchronize with CRM.
Note: This option will sync all records.
  1. To sync mapped projects, and other records in Ajera like employees, contacts, and clients, click Synchronize.
  2. To sync unmapped Ajera projects to existing CRM projects, check the Map unsynced Ajera projects to existing CRM projects check box.
Note:

When you check this box, Ajera will look at all projects that are not currently set to sync to CRM and look for a project with the same name in CRM. If a match is not found, checking the box activates the sync between Ajera and CRM and the project will be added to the CRM mapping table.

  • If the project description in Ajera is more than 40 characters, a project with the same Project Long Name in CRM will be mapped to the Ajera project.
  • If the project description in Ajera is 40 characters or less, a project with the same Project Short Name in CRM will be mapped to the Ajera project.
  • If no matching project description is found, the projects in Ajera that are not currently synced to CRM will not be added to the CRM mapping table.
  1. To sync closed projects, check the Sync closed projects check box.
Note:

When you check this box, closed projects that are marked to Sync to CRM are updated in CRM. This includes changes made to the project in CRM and any additional time added by the employees since the last time the project synced.

Only projects that have had changes made in the Project Command Center or that have had transaction information changed (time and/or expenses entered, invoices finalized, or receipts entered) since the last closed project sync will be updated to CRM.

If the amount of projects that need to be synced from Ajera to Vantagepoint CRM exceeds 500, the projects will sync in batches of 500 at a time. This means the sync process will need to be run multiple times to completely sync all of the projects. The Integration Log will track your progress. For example, if you have 1600 projects to update from Ajera to CRM, your Integration log will contain a message like:

"The sync contained more than 500 projects. Please re-run the manual or auto sync 3 more times to sync all remaining projects."

You will need to finish syncing all of the project batches before the normal project syncing will proceed. Once all the batches have been synced, a ‘Sync Completed’ message will appear on the Integration Log and there will be no mention of additional batches. Additional processing involving projects being created in CRM or information updated from CRM will also have occurred.
