Moving to Vantagepoint CRM

The integration with Vantagepoint CRM syncs clients, contacts, and projects. There are two versions of Vantagepoint CRM: Simple CRM and CRM Plus. The location of certain settings may vary depending on which version you are using. If you are on Vantagepoint 2.0 and higher and Ajera 9.3, you can take advantage of new sync options available. Update your integration to use the latest Vantagepoint API's and sync list table information for Project Template, Employee Type, Client Type, and Project Type, reducing the duplicate entries made between the products.

Using your Vantagepoint Preview environment to test the sync from Ajera

You can use the Vantagepoint preview environment and a test copy of your Ajera data to test the Vantagepoint Integration. See the Vantagepoint Portal for more information on gaining access to a Preview environment.

Once you have the Preview environment, update the Integration settings in Ajera with the preview URL and database name.

Setting up the integration with Vantagepoint CRM

If you are on Vantagepoint 2.0 and higher and Ajera 9.3, you can take advantage of new sync options available. Update your integration to use the latest Vantagepoint API's and sync list table information for Project Template, Employee Type, Client Type, and Project Type, reducing the duplicate entries made between the products.

 

To use the new API's, update the Vantagepoint URL to the URL you use to access Vantagepoint:

  1. In Company > Preferences > Integrations (or if using multi-company, Company > Companies), enter your new Vantagepoint URL.

  2. In the Database Name, enter the new database name for your Vantagepoint data. You can find the database name in Vantagepoint > ? > About.

  3. In Vantagepoint API Authorization:

  1. Select Enable Vantatepoint API.
  2. Enter Server URL for Vantagepoint. This is typically your URL to access Vantagepoint (http://servername/Vantagepoint).
  3. Enter Client ID and Secret. This information is available in Vantagepoint > Utlities > Integrations > API Authorizations.
  4. Click Test CRM Settings.
  5. Optionally, select to Map List Information which will sync Project Template, Project Type, Employee Type, and Client Type from Ajera to CRM.

In Vantagepoint:

  1. Verify the integration to Ajera is turned on in UtilitiesIntegrationAjera.
  2. View the default dashboard for Ajera CRM Projects in My Stuff > Dashboards. Share with the appropriate roles in your company.

Important changes to note in Vantagepoint

  1. Simple CRM: The Organization Format (companies & departments) is now defined in Settings > GeneralOrganization.

Note: If upgrading from Ajera CRM or DPS, these should be set and no changes are necessary.

  1. Employee Numbering is now defined in Settings > Workflow > Numbering.

  1. List Values for Project Templates, Employee Roles, Project Types, Market, Employee Title and Contact Title, States, and Countries are now set up in SettingsLabels and Lists > Lists.

Changes from Ajera CRM & DPS

  • The Budget & Revenue tab and Ajera Totals tab are no longer available in the Project Hub.
    • This information is now available in dashboard format in My StuffDashboards using the Project Base.
    • A default dashboard for Ajera CRM Projects is available.

Syncing to Ajera with Vantagepoint CRM

Firms (Clients)

  • Clients are called Firms in Vantagepoint.
  • Firms set to sync will create and map to Clients in Ajera.
  • Clients are now set to sync to Ajera in Hubs > Firms > Overview tab > Other Information section by default.

Contacts

  • Select contacts associated with a firm to sync in HubsFirms > Contacts tab.
  • Select up to 20 contacts associated with a project in HubsProjects > ProjectTeamTeam Members grid.

Projects

  • Project and Opportunity information are now combined into the Project Hub in Vantagepoint.
  • Projects can be set to sync to Ajera while in the Pursuit stage. Make sure to use a Project Template with a marketing phase if you are going to sync projects in the Pursuit stage.
  • Set a project to sync and assign a Template to use in HubsProjectsProject > Overview tab.

Default Dashboards and Dashparts Available in Vantagepoint

  • Ajera CRM Projects Dashboard
  • Ajera CRM Budget & Revenue Dashpart- Shows Information updated from Ajera including Reported Percent Complete, OH Rate and Total Compensation Amounts (compensation, direct, and reimbursable)
  • This dashpart is filtered to only projects set to sync to Ajera.
  • Ajera CRM Dashparts- Separate dashparts to view the totals that update from Ajera for cost, WIP, billed, spent, and received.
    • These dashparts are filtered to only projects set to sync to Ajera.

    • Spent
    • Received
  • CRM Dashboard- View information about your pipeline, milestones, activities, and pursuit projects.

  • BD Active Pursuits Dashboard- View your active pursuits in ways that make it easy to manage and identify trends and pursuits that need your attention.

      • Weighted Fee by Project Type
      • Top 10 Pursuits (by Weighted Fee)
      • Top 10 Pursuit Clients - Pursuits by Weighted Fee

  • BD Hit Rate Analysis Last Quarter Dashboard - View the success of pursuits that were won or lost last quarter.
    • Dashparts available:

      • Hit Rate by BD Lead Last Quarter
      • Hit Rate by Project Type (Pursuits Won/Lost Last Quarter)
