Step 2: Choose what to sync from CRM

Not available in ajeraCore or ajeraCore + add-ons

Before you begin

Choose which:

Projects to sync

Project contacts to sync

Contacts to sync

Firms to sync

Firm contacts to sync

Set up project templates

  1. Verify the integration to Ajera is turned on in UtilitiesIntegration > Ajera.
  2. Open CRM.
  3. From Settings > Labels and Lists > Lists tab.
  4. Hover on the Ajera Project Template Row and select the gear icon. Select Add Entry to add templates to the list.

Note:

The Description of the project template must match the name of the project template in Ajera.

Turn on other lists (types)

Ajera does not automatically create Type information in CRM. Make sure you set up Types like Project Type (Project Type in CRM), Client Type (Company Market in CRM), and Employee Type (Employee Role in CRM) in CRM.

This is done from Settings > Labels and Lists > Lists tab.

Turn on employee auto-numbering (Ajera CRM/CRM Plus only)

  1. Verify the integration to Ajera is turned on in UtilitiesIntegration > Ajera.
  2. Open Ajera CRM/CRM Plus.
  3. Navigate to Settings > Workflow > Numbering.
  4. Click on the auto-numbering source column on the Employee row and select Expression.
  5. Click on the Auto-number format and enter a default sequence number length.

To choose which projects to sync

  1. Verify the integration to Ajera is turned on in UtilitiesIntegration > Ajera.
  2. Open CRM.
  3. In the Projects Hub, select Project and navigate to the project you want to sync.
  4. On the Overview tab, check the box next to Ajera Sync.
  5. Select a project template if applicable.
  1. Click Save.

The next time the service runs, it will sync.

Note:

Any firms assigned to a project that do not already exist in Ajera will be created.

If the item already exists, a duplicate item will not be created.

The Projects tab on the Employees hub will be updated during the sync with projects that an employee has entered time.

The client from CRM will be mapped to the client from Ajera.

Closed projects will not sync.

  1. Check the Integration Log for status.

To choose which project contacts to sync

  1. Verify the integration to Ajera is turned on in UtilitiesIntegration > Ajera.
  2. Open CRM.
  3. In Projects > Team tab, navigate to the project contacts.
  4. Check the Ajera Sync check box in the row of the contact you want to sync.
Note:

You can select up to 20 contacts to sync per project.

  1. Click Save.

The next time the service runs, it will sync.

The contacts will be associated with the project in Ajera.

To choose which firms to sync

  1. Verify the integration to Ajera is turned on in UtilitiesIntegration > Ajera.
  2. Open CRM.
  3. Navigate to the firm.
  4. Select to edit the record and navigate to the Sync to Ajera checkbox in the Other Information section.

  5. Check the Ajera Sync check box in the row of the firm you want to sync.
  1. Click Save.

The next time the service runs, it will sync.

To choose which firm contacts to sync

  1. Verify the integration to Ajera is turned on in UtilitiesIntegration > Ajera.
  2. Open CRM.
  3. Navigate to the Firms Hub > Contacts tab.
  4. Check the Ajera Sync check box in the row of the firm contact you want to sync.
  1. Click Save.

The next time the service runs, it will sync.
