Time Card Summary Report

The Time Card Summary Report lists the amount of hours that have posted on employee timecards for a given date range. The hours are listed by employee and hours classification, as configured in each employee's Hours Class Group.

Supervisors can only view information that applies to the employees they supervise.

Note: Due to a limitation with Crystal Reports, if you try to export the Time Card Summary Report to a CSV file, the file will be blank. If you want the report to be a CSV file, you need to first export it as a Microsoft Excel (97-2003) Data Only file, open the file in Microsoft Excel, then save it as a CSV file.

Run the Time Card Summary Report

To run the Time Card Summary Report:

  1. Click Main Menu > Reporting > Reports.

  2. Find the Time Card Summary Report.

  3. Click Select Report or double-click the report name.

  4. Enter the report parameters.

  5. Click Run Report or Run and Save Report.

    The report data appears on the screen.

Parameters for the Time Card Summary Report

Start Date

Enter or select the start date of the range you want to view. This is a required field. The default date is the current date.

End Date

Enter or select the last date in the range you want to view. This is a required field. The default date is the current date.

Premium Pay Only

Check this box if you want to display only hours that have a Premium Coefficient higher than 1. Typically, this includes Overtime (Time and a Half) and Double Time. Premium Coefficients can be viewed in the time reporter's Hours Class Group Detail. The coefficient is the multiplier of the base pay rate. For example, a 1.5 coefficient means the hour is paid at time and a half, a 2.0 coefficient means the hour is paid at double time, etc. A person's base rate is defined in the Pay Class form and assigned to the person via the Pay Scale tab of the Employee form.

Cancelled Records*

Check this box if you want to include records that were posted but cancelled.

Facility

Select a facility record if you only want the report to include employees from a specific facility.

Employee

Leave this field blank if you want to run the report for all your employees.

To run the report for a single employee, enter the employee number in the Employee field. You can also lookup an employee number by clicking the quick link button to display the Employee form. On the Employee form, you can use the Supervision Type Filter to find a specific employee. Once you have selected the employee for whom you want to run the report, click OK on the Employee form.

If you left the Employee field blank, you can still narrow down the person records by supervisory type from the Supervision Type drop-down menu.

Include Direct

When this box is checked, person records that report directly to the logged in Supervisor via Employee Group type DIRECT_MANAGER are included in the results.

 

Data in the Time Card Summary Report

The Time Card Summary Report contains the following data:

Start Date, End Date: Date range entered into the Report Parameters when the report was generated.

Print Date: Date and time the report was generated.

Employee, Employee Name: Identifies the employee whose hours classifications are shown in this report.

Hours Classification: Each hours classification will have its own column in the report. For each employee, the total number of hours posted for each hours classification will be shown.

Total Column: The Total column displays the total number of hours posted by each employee in the date range given. It will always display in decimal format, regardless of the Duration Format setting in the Preferences form.

Total Row: The Total row displays the total number of hours posted for a specific hours classification in the date range given. It will always display in decimal format, regardless of the Duration Format setting in the Preferences form.
