Password

A password is needed to log into the web application.

Normally, a password is created when the person record is created, either by an Employee Import or by the Add button on the Employee form.

If a person record is created on the Employee form, the person may have a temporary password that comes from the Default Password in the Password Profile that is assigned as a System Setting. The person must change the temporary password using the Change Password option in the Login screen. See Create a New Password After Reset or Expiration.

If the system-assigned Password Profile does not have a Default Password, or the Employee Import does not include a password (PIN), the new person record will not have a password. In this case, a supervisor must reset the person’s password. The reset creates a temporary password which the person must change using the Change Password option in the Login screen.

Note: A password cannot be changed or reset if the person's Web Authentication Profile is LDAP User/Password Validation.

Create a New Password After Reset or Expiration

Once your password is reset or expires, you must change it using the Change Password option in the Log In page.

The steps below explain how to change your password in the web application. If you are using the Mobile Web Application, click here.

If the Change Password option is not visible on the Log In page, you need to set login_page_change_password_enabled to True in the Application Settings form.

  1. Open your web browser and enter the address of the application (as specified by your company).

    The Log In page appears.

  2. Click the Change Password option.

  3. Enter your Login Name in the User Name field.

  4. If your password expired, enter your expired password in the Old Password field.

  5. If your password was reset, enter the temporary password in the Old Password field. The supervisor or administrator who reset the password can tell you the temporary password.

  6. Enter your new password in the New Password field.

  7. Re-enter the new password in the Confirm Password field.

  8. Click the button.

    If the password change was successful, you will be logged into the application.

    If your new password does not meet the requirements in your Password Profile, a Change Password Failed message will appear.

    If the new password has any of the following characters, a Change Password Failed message will also appear:

    #  %  \  '  ?   =  +  &

    You cannot use the above characters in your password.

 

Change Your Password After Login

When you are logged into the application, you can change your password using the Change Password form. Use this form to change your existing password, such as when your password is about to expire.

Note: A person can also change his or her password using the client terminal.

  1. Click Main Menu > Self Service > Change Password.

  2. Enter your current password in the Old Password field.

  3. Enter your new password in the New Password field.

  4. Re-enter the new password in the Confirm Password field.

  5. Click Save.

If your new password does not meet the requirements in your Password Profile, an error message will appear to let you know why the password is incorrect (e.g., Must have at least 6 characters).

Note that the Max Pwd Tries setting in the Password Profile (the number of times you can enter an incorrect value for your current password before being locked out) does not apply when using the Self Service Change Password form.

If the new password has any of the following characters, an 'Invalid Password' error will appear:

You cannot use the above characters in your password.
