AR Statement Report

The AR Statement is designed to be sent to a client as a statement of their unpaid balance.

The AR Statement shows unpaid (outstanding) invoices based on the billing client that invoices are posted with. If you change a project's billing client after an invoice is posted, any unpaid invoices posted previously to the project's prior billing client will display as outstanding for the billing client the invoice was posted with.

Record Selection

Use the projects search in the Records field for the AR Statement report to search on an invoice number or on unpaid invoices. These searches help you locate projects that have at least one invoice that matches your criteria. However, they do not filter the invoices. The report still includes all of the invoices for each project that you select.

The Records field is located in two places for the report:

  • In the AR Statement report row in the reports grid on the Reporting tab of the Reporting form (where you select the Invoice Register report).
  • At the top of the AR Statement report form that displays the Columns & Grouping, Options, and other tabs for the report setup.

Credit Memos

Credit memos are not listed separately on the AR Statement report. Credit memos posted against an invoice are reflected in the invoice balance listed on the report.

Emailing an AR Statement Using the Project Role » Billing Contact

The information in this section applies in the following scenario:

  • A project has had different billing clients over the life of the project and has outstanding invoices for both a past billing client and the current billing client.
  • You set the Statement Type option to either Project or Client on the AR Statement Options tab.
  • You want to email AR Statements to the past and current billing client contacts. To do this, you use Other Actions > Email on the AR Statement report form. On the Email Report dialog box, you set the Select Attendees From option to Project Role and set the Project Role option to Billing Contact.

AR Statements are emailed as follows:

  • A statement with the invoices that are posted to the current billing client is emailed to the billing contact entered for billing client that is currently entered for the project on the Accounting tab in the Projects hub.
  • A statement with the invoices that are posted to the past billing client is emailed to the Vantagepoint user who processed the email. This person can forward the email with the statement to the correct past billing client.
