AR Statement Options Tab

The Options tab gives you additional control over the data displayed on the AR Statement report.

Detail Options

This section applies to specific information about the selected report.

Field Description
Statement Type

Select one of the following options to determine how AR statements are generated:

If you use the Billing application, you can select either Project or Client. If you don't use the Billing application, you must select Client.

  • Project: Select this option to send individual AR statements for projects or billing groups.

    Projects With Different Billing Clients Over the Life of the Project

    If a project has had more than one billing client over the life of the project and has unpaid invoices for different billing clients, separate AR statements are generated for each billing client. The statement for each billing client lists only the project's unpaid invoices for that billing client.

    Example: Project 1 has some unpaid invoices posted for Billing Client A and unpaid invoiced posted for Billing Client B. Two AR statements for the project are generated:

    • One statement for Billing Client A: It includes only the unpaid invoices for Project 1 that were posted for Billing Client A.
    • One statement for Billing Client B: It includes only the unpaid invoices for Project 1 that were posted for Billing Client B.

    Billing Address on the AR Statement

    The billing address used on a project-type AR statement is as follows:

    • For AR statements with invoices for the current billing client of the project that is entered on the Accounting tab of the Projects hub: The statement displays the address entered in the Address Description field for the current billing client in the Billing Client field on the Accounting tab of the Projects hub.
    • For AR Statements with invoices for a previous billing client of the project (no longer entered on the Accounting tab of the Projects hub): The statement displays the address for the previous billing client in the Addresses grid on the Overview tab of the Firms hub that has the Billing check box selected. If no address is specified as a billing address, no address is displayed on the AR Statement.

    Billing Contact on the AR Statement

    The billing contact for a billing client is included on an AR statement based on the following:

    • If the billing client for an invoice on the AR statement is the same billing client that is currently entered for the project on the Accounting tab in the Projects hub, the billing contact from the Accounting tab in the Projects hub displays on the AR statement.
    • If the billing client for an invoice on the AR statement is not the same billing client that is currently entered for the project on the Accounting tab in the Projects hub, no contact displays for the billing client on the AR Statement.

    Addressee on the AR Statement

    The option that you select in the Statement Addressee field in the Display Options section on the Options tab defines the first line to print above the client's billing address on statements. Options in this field are Name of Billing Client, Name of Billing Contact, and so on. The results returned by these options are based on the billing client that invoices were posted with and the billing address that is currently entered in the Firms hub for the invoice's billing client.

  • Client: You must select Client if you do not use the Billing application. Select this option to generate a single AR statement for a billing client that includes all the unpaid, posted invoices for the billing client. If a billing client has unpaid invoices for multiple projects, all of these invoices are included on the AR statement.

    Address on the AR Statement

    • If you do not use the Billing application: The address used for the AR statement is the primary address entered for the billing client on the Overview tab of the Firms hub.
    • If you use Billing application: The address used for the AR statement is the billing address entered for the billing client on the Overview tab in the Firms hub. If the billing client has no billing address entered on the Overview tab, no address displays on the AR statement.

    Billing Contact on the AR Statement

    The billing contact from the Accounting tab in the Projects hub for the first project included in the AR statement under the Billing Client group displays on the statement if the project's current billing client is the same as the Billing Client group on the statement.

    If the project's current billing client entered on the Accounting tab in the Projects hub is different from the billing client that an unpaid invoice is posted with or the project has no billing contact, no billing contact displays on the report.

Billing Client

To display report content for a specific billing client, select a billing client name in this field. Or, use the search option in this field to enter criteria for selecting one or more billing clients to display on the report. The report includes invoices that are based on the billing client that an invoice was posted with.

Billing Group Billing groups are used to combine projects together for the purpose of billing a client. To have the report show content only for specific billing groups, enter the name of a main project for a billing group, or use the Project lookup to select one or more main projects.

If you use multiple companies and you bill a client for a set of projects worked on by multiple companies within your enterprise, the company that owns the main project in the billing group is the company that generates the invoice for the entire billing group. Use the Billing Group List to review a billing group's settings, its main project, and a list of its sub-projects.

Only Include Past Due Invoices Select this check box to display only invoices with a past due amount as of the statement date. The due date for invoices that are not assigned a due date based on billing terms is determined based on the invoice date and the number of days in Grace Period When No Due Date in the Display Options section of this tab.
Only Include Invoices Posted Through Select this check box to restrict the report to invoices dated in or before the accounting period that you specify in the unlabeled field that displays when you select this option. The report displays all receipts for the invoices, regardless of receipt date. For example, you generate the report for invoices posted as of 09/2020. If you received payments for those invoices in 10/2020 and 11/2020, the report also displays those receipts.

Use this option to get an accurate picture of your accounts receivable for invoices generated before a specific date.

Exclude Unassigned Receipts An unassigned receipt is a cash receipt posted to an invoice for which there is no record in Vantagepoint. Select this check box to exclude unassigned receipts from this report.

Statement Sort/Group

You can select up to five sort values:
  • Billing Group: Select this option to sort by billing group in ascending numerical order by main project. The report displays both billing groups and individual projects that are not members of billing groups. (An individual project is treated as a billing group consisting of one project.) Generally, if you sort by billing group, you do not need to sort by project. However, a statement sorted by billing group only displays the details for the main project. To see details for all projects in a billing group, sort by both billing group and by project.
  • Project: Select this option to sort by project number in ascending numerical order.
  • Phase: Select this option to sort by phase number in ascending numerical order.
  • Task: Select this option to sort by task number in ascending numerical order.
  • Invoice: Select this option to sort by invoice number in ascending numerical order.

Display Options

Use these options to set the display options for the report.

Field Description
Statement Addressee This field prefills with the default option that is set up in the Invoice Addressee field in Settings > Billing > Invoice Format. You can change the prefilled option as needed. The format option that you select will be the default addressee for session options in Interactive Billing and in Batch Billing.

Select the line of text that you want to use for the first line of the client's billing address on statements. The options include:

  • Address 1 of Billing Client's Billing Address: The text that is entered in the Address 1 field of the address specified as the project's billing address prints above the billing client's billing address. You save client address information in the Firms hub. You specify which saved address to use as a project's billing address in the Projects hub.
  • Name of Billing Client: The client name prints above the billing client's billing address.
  • Name of Billing Contact: The contact name prints above the billing contact's billing address.
  • Name of Billing Contact/Client: The name of the billing contact and then the name of the billing client prints above the billing contacts's billing address.
  • Name of Billing Client/Contact: The name of the billing client and then the name of the billing contact prints above the billing client's billing address.

When you select a billing contact option in the Statement Addressee list, additional print options for contact details are displayed. Select the check box for each contact addressee component that you want printed on the statement.

If there is no default billing address, Vantagepoint does not display an address on the statement.

Statement Date Select the date for the statement: Today, Period End Date, or Specific Date.

If you select Specific Date, use the calendar field that displays to choose the specific date.

Grace Period When No Due Date Enter the number of days after the invoice date that an unpaid invoice first becomes overdue. (This only applies to invoices that are not assigned a due date based on their billing terms.)

If an invoice is not assigned a due date based on billing terms, Vantagepoint calculates a due date by adding the number of days in this field to the invoice date. If that due date is earlier than the statement date, Vantagepoint displays the receivable amount in the Past Due Amount column on the statement and you must select that column on the Columns tab.)

Statement Summary Select this check box to include a summary (current amount, past due amount, and balance due amount) on the right side of the AR Statement.
Average Days Outstanding Select this check box to display the average number of days that payment is outstanding for the invoices included on the statement.
Include Aging Summary Select this check box to include a breakdown of the balance due into aging categories.
Print When you select the Name of Billing Contact, Name of Billing Contact/Client, or Name of Billing Client/Contact option in the Statement Addressee field, additional print options (such as, Contact Prefix, Preferred Name, Contact Title, and others) are displayed. Select the check box for each contact addressee component you want printed on the AR Statement report.

Our Firm Block

Use these check boxes and options to specify the firm information that displays on the report.

Field Description
Include Name Select this check box to display your company name on the report. By default, the associated field displays the company name from Settings > General > Options, but you can enter a different organization name for the report.
Include Byline Select this option to include your company byline. By default, this field displays the byline from Settings > General > Options, but you can enter a different one.
Include Address Select this option to include your company address. By default, this field displays the address from the General tab in Settings > General > Options, but you can enter a different address for the report.
Alignment Select the type of alignment you want for the firm block information: Left, Center, or Right.

Header & Footer Options

Use the Heading tab to specify the information to display in the heading portion of AR statements. You can also use the Margins and Images grid to insert new images that will display on the report. The images display for all projects and clients that are included on the report selection. To filter the image that is received by each project and client group, you must create and save individual reports that are tailored with the correct image for each group.

Field Description
Statement Header Enter any text that you want to display above the list of invoices on each statement.
Include Select one or more of these options to specify the information to include on the report.
Project Name Select this check box to display the project name near the top of the statement.
Project Long Name Select this check box to display the project long name near the top of the statement.
Footer Select this option to include the text that you enter in the Statement Footer field. The footer text is displayed at the bottom of each statement page.
Statement Footer Select this option to include the text that you enter in the Statement Footer field. Vantagepoint displays the footer text at the bottom of each page of the statements.
Billing Terms Description Select this check box to display the project description near the top of the statement
Project Number Below Date Select this checkbox to print the project number below the date.
Leading Zeros on Invoice Number Select this check box to display leading zeros in invoice numbers. If you clear this check box, leading zeros are removed from invoice numbers on the statements.
Country Select this check box to include the country in the client's address. You may want to clear this check box if the clients to receive the statements are located in the same country as your enterprise.
