Schedule Policy

The Schedule Policy form is used to define how certain scenarios within a schedule should be handled. For example, this policy determines whether a warning will display if a person clocks in late.

This policy can be assigned to a single Employee/Person via the Employee Setting form, to an Employee Group with type POLICY_GROUP or FACILITY via the Employee Group Setting form, or to all users via the System Settings form. An Employee setting overrides an Employee Group setting, which overrides a System Setting. See Settings Precedence for more details.

The Schedule Policy determines what will happen when a person:

For each of these scenarios, the Schedule Policy determines whether to Warn, Forbid, Confirm, or Ignore the action.

Warn

A warning message is displayed, but the action is allowed.

Note: A warning message will not display if you use Add Punch Pair to post the event.

Forbid

The action is not allowed. A message is displayed.

Confirm

A warning is displayed. The user is asked to proceed or cancel.

Note: When selecting Confirm in any of the Schedule Policy settings, you must add Margin Violation Prompts and Validations to the event to which you want the setting to apply. See Adding Prompts and Validations to an Event When Using CONFIRM in Schedule Policy for detailed steps.

Ignore

 The action is allowed. No warning is displayed.

Schedule Group

Name of the Schedule Policy.

Start Date, End Date

Effective dates of the Schedule Policy.

Clock In Early

Determines how the system will respond when a person clocks in early.

If your Message Policy includes the EARLY_CLOCK_IN message trigger, set Clock In Early to Confirm, Ignore, or Warn. If you select Forbid, the message trigger will not activate.

Setting

Description

Warn

A warning message is displayed, but the early Clock In is allowed.

Note: A warning message will not display if you use Add Punch Pair to post the event.

Forbid

The early Clock In is not allowed. A message is displayed.

Confirm

A warning is displayed. The user is asked to proceed or cancel.

Ignore

No action. The early Clock In is allowed.

 

Clock In Late

Determines how the system will respond when a person clocks in late.

If your Message Policy includes the LATE_CLOCK_IN message trigger, set Clock In Late to Confirm, Ignore, or Warn. If you select Forbid, the message trigger will not activate.

Determines how the system will respond when a person clocks out early.

Determines how the system will respond when a person leaves for break early.

Determines how the system will respond when a person returns from break early.

Confirm

Determines how the system will respond when a person returns from break late.

The person is not allowed to return late from break. A message is displayed.

Confirm

A warning is displayed. The user is asked to proceed or cancel.

Outside All Sch

Determines how the system will respond when a person attempts to post an event outside any schedule.

Setting

Description

Warn

A warning message is displayed, but the event posts.

Note: A warning message will not display if you use Add Punch Pair to post the event.

Forbid

The event posting is not allowed. A message is displayed.

Confirm

A warning is displayed. The user is asked to proceed or cancel.

Ignore

The event posting is allowed.

 

Inside Exclusion Sch

Determines how the system will respond when a person attempts to post an event inside an Exclusion schedule.

Setting

Description

Warn

A warning message is displayed, but the event posts.

Note: A warning message will not display if you use Add Punch Pair to post the event.

Forbid

The event posting is not allowed. A message is displayed.

Confirm

A warning is displayed. The user is asked to proceed or cancel.

Ignore

The event posting is allowed.

 

Prohibited Event

Determines how the system will respond when a person attempts to post a prohibited event.

Setting

Description

Warn

A warning message is displayed, but the event posts.

Note: A warning message will not display if you use Add Punch Pair to post the event.

Forbid

The event posting is not allowed. A message is displayed.

Confirm

A warning is displayed. The user is asked to proceed or cancel.

Ignore

The event posting is allowed.

 

Override Event Alg

This setting determines how a scheduled event will post when its Auto Event setting is OVERRIDE.

This setting currently has one option, Auto Post and Then Remove if Necessary. This setting indicates that the event will post automatically if it has not yet been punched, and if the same event is punched after the start time of the automatic event, the automatic event will be removed.

The Auto Event setting can be found in an Ad Hoc Schedule with an Event Template. It is also on the Event tab of the Schedule Cycle and Person Schedule forms, which are used to add events to a schedule.

Update Date, Updated By

These fields display when the record was created or updated, and the person who created or updated the record.

 

View a Schedule Policy

  1. Click Main Menu > Configuration > Policies > Schedule Policy.

  2. If necessary, click the Filter button to display the Schedule Group filter field.

  3. You can also click the Clear button to remove all records from the form and empty the Schedule Group filter field.

  4. To select a specific Schedule Policy, select it from the Schedule Group field. Otherwise, leave this field blank.

  5. Click Find.

 

Add a Schedule Policy

  1. Click Main Menu > Configuration > Policies > Schedule Policy.

  2. Click Add.

  3. Enter a name for the Schedule Policy in the Schedule Group field.

  4. Select the values for the rest of the fields. For details, see Schedule Policy Field Descriptions.

  5. Click Save.

 

Modify a Schedule Policy

  1. Click Main Menu > Configuration > Policies > Schedule Policy.

  2. Select the schedule you want to modify.

  3. Click Modify.

  4. Edit the necessary fields. For details, see Schedule Policy Field Descriptions.

  5. Click Save.

 

Copy a Schedule Policy

  1. Click Main Menu > Configuration > Policies > Schedule Policy.

  2. Select the schedule you want to duplicate.

  3. Click Copy.

  4. Edit the necessary fields. For details, see Schedule Policy Field Descriptions.

  5. Click Save.

 

Delete a Schedule Policy

  1. Click Main Menu > Configuration > Policies > Schedule Policy.

  2. Select the schedule you want to delete.

  3. Click Delete.

  4. Click OK to confirm the action.
