Importing Users

In addition to manually adding new users, PPM Administrator allows you to create user records and define user profiles by importing users from other sources.

To speed up the process of adding users through PPM Administrator, you can perform any of the following actions:

  • Import users from a Comma-Separated Values (.csv) file.
  • Import users from Windows Active Directory.

Importing Users from a Comma-Separated Values (.csv) File

When importing users from a .csv file, you have the option to include the header row. If the file you are importing is missing a required field for any user record, a corresponding message will be displayed and the import process will not continue.

The table below displays the accepted fields and their corresponding valid values:

Field Description
UserID This is the unique user ID. It accepts up to 40 characters. However, it does not accept any of the following special characters: [ ] " ; : < > ? * / \ , + =

This is a required field.

First Name This is the user's first name. It accepts up to 100 characters.

This is a required field.

Last Name This is the user's last name. It accepts up to 100 characters.

This is a required field.

Email This is the user's valid email address consisting of an email prefix and email domain (for example, test@deltek.com). It accepts up to 120 characters.

This is a required field.

Role This is the user's role ID that exists in the system. It accepts up to 40 characters.

This is a required field.

Auth Type This is the user's mode of authentication when logging on to the application. It can be any of the following values:
  • 0 for Basic (default)
  • 1 for Windows Authentication

This is only a required field when adding new users.

Manager This is the user ID of the assigned manager of the user. It should exists in the system. It accepts up to 40 characters.
Department This is the user's department. It accepts up to 120 characters.
Location This is the user's primary location. It accepts up to 120 characters.
Address 1 This is the first line of the user's address. It accepts up to 120 characters.
Address 2 This is the second line of the user's address. It accepts up to 120 characters.
City This is the city where the user is located. It accepts up to 80 characters.
State This is the state where the user is located. It accepts up to 80 characters.
Country This is the country where the user is located. It accepts up to 80 characters.
Postal Code This is the zip code of the user's address. It accepts up to 40 characters.
Phone This is the user's phone number. It accepts up to 40 characters using any of the following formats only.
  • +12345678901
  • 123-456-7890
  • +1 23 456 7890
Fax This is the user's fax number. It accepts up to 40 characters using any of the following formats only:
  • +12345678901
  • 123-456-7890
  • +1 23 456 7890
Notes This is the notes about the user. It accepts up to 510 characters.
Domain This is the user's Windows domain. It accepts up to 160 characters.

You can import up to 10,000 users at a time, and the file size must not exceed 10,240 bytes. Additionally, the columns in the file must be in a specific order.

Importing Users from Windows Active Directory

You can easily import users from Active Directory Services groups in PPM Administrator using the Import from Active Directory functionality. In the From Active Directory dialog box, start by selecting a domain that manages Active Directory Services. Once the domain is selected, PPM Administrator populates the Groups grid in the dialog box with groups configured on the ADSI server, initially with no group selected. Selecting a group will display all users belonging to that group in the Users grid, where you can choose users individually using check boxes or select all users at once using the header check box.

Note: Active Directory Service Interfaces (ADSI) is a set of directory service interfaces used for managing network resources. Using ADSI, you can automate common tasks, such as adding users and groups, managing printers, and setting permissions on network resources. It allows you to import both users and groups from a server in their host company.

Import Information

  • The sAMAccountname AD attribute is assigned as the User ID.
  • First name and last name are imported. The password is not imported or updated for any user.
  • The Manager name is imported if the Manager ID is also a user in PPM Administrator; otherwise, the Manager field remains blank.
  • The Authentication Type is set to Windows Authentication.
  • The Domain is set to the domain from which it was imported.
  • The Role is set to DEFAULT.
  • The email address is imported for the users.
  • After importing users from Active Directory, PPM Administrator automatically creates a new group if it does not yet exists. The Group ID uses the AD group name and the Group Description uses the AD group description in PPM Administrator. In addition, the group uses the PPM Administrator default settings for groups.

    If the group already exists, however, PPM Administrator automatically assigns the new users to the existing group.

    if the group exists and the Group Authorized Control Country is specified, PPM Administrator does not automatically assign the imported users from Active Directory to the group record after import. If any of the authorized countries in the user records do not match the Group Authorized Control Country, the Authorized Control Countries of the user records is blank.

Clicking Import will import the selected users into the User grid within PPM Administrator, logging all imported data and notifying you of any information, warnings, or errors during the process. Importing a user or group from the Active Directory will not update existing records in PPM Administration.

Sync with Active Directory

To ensure that users in PPM Administrator are still valid within Active Directory Services, you can use the Sync with Active Directory option, which you can access by clicking Other Options on the Users List View.
