Manage Access to Record Functions and Features

Use the Entity Function Configuration page to grant users with access to functions for selected record types, such as projects, contacts, and organizations. You can also grant access to a number of features, such as the Smart View mode in the Information Zone, and mobile live browsing in the Mobile Working app.

To manage access to record functions and features:

  1. Navigate to the Activity Zone.
  2. In the Search Activity Zone field at the top, enter Entity Function Config.
  3. Click the Entity Function Config link that displays.
  4. In the Manage Entity Function page, click one of the following tabs:
    Tab Description
    Entity Function Roles

    Use this tab to grant user roles with access to selected functions and features.

    For example, to allow all internal users to use the Smart View mode in the Information Zone, you assign the Dms.Search function to the F02 - All Internal Users user role.

    Entity Function Users

    Use this tab to grant users with access to selected functions and features.

    For example, to allow User A to access live browsing on their Mobile Working app, you assign the Mobile.LiveBrowse function to User A.

    Entity Function Class Roles

    Use this tab to grant user roles with access to functions for selected record types.

    For example, to allow all internal users to add internal contacts, you assign the AddInternal function against the Contact class to the F02 - All Internal Users user role.

    Entity Function Class Roles

    Use this tab to grant users with access to functions for selected record types.

    For example, to allow User A to edit projects, you assign the Edit function against the Project class to User A.

  5. On the relevant tab, do one of the following:
    • Click to add a new access right for a user or user role.
    • Click to remove an access right for a user or user role.
  6. Click Save.

Currently, only a limited number of functions and features are available in the Entity Function Configuration page. To assign additional access rights to users at the user role level, see Manage Access to Record Field Sets.
