Project Inquiry

What can I do in this screen?

Use this screen to review project costs and revenue without printing a report. The amount of information is limited compared to the project reports because of space and speed considerations. If you want additional data on a project, use the reports to print out this information. The initial screens contain summary information that was created by the Update Other Project Report Tables screen (Projects\Process\Project) for the revenue summary data.

In the main screen, use Lookup to select a specific project or organization with which you want to work. You can view your inquiry using either the home organization (Owning Org) or the contributing organization (Performing Org), and you can conduct either of these inquiries using either target or actual rates. You can perform inquiries on specific project, organization, and account levels without including the lower levels. You can use the Project Inquiry by Level screen for inquiries in which you can specify the project, organization, and account levels which will include all information at and below that level.

Use the Selection Criteria group box on the main screen to limit the records that will display in the table window when the process is executed.

Note:  All the fields in this screen, and all inquiry screens, are non-editable.

This screen is made up of a table window and a selection criteria block in the main screen, four subtasks, and six auxiliary subtasks. Use them as follows:

When should I use this screen?

You must have posted the journals and executed the Compute Burden Cost, Compute Revenue, Update Project Status Report Table, and Update Other Project Report Tables screens for the fiscal year, period, and subperiod for which you want to inquire. These are the same steps you take to print reports for the same time period. The only available fiscal year information is that which currently exists in the report tables.

If you want to produce an inquiry for a period other than those currently available, follow the steps above to create the report table. Keep in mind that some of the steps might have already been run, such as the Compute Burden Cost and Compute Revenue screen processes. If you have already run the Compute Burden Cost and Compute Revenue screens, there is no need to rerun them. Normally, for previous periods, you will need to create only the report tables in order to inquire against them. The amount of time you keep report tables determines how many subperiods worth of information are available simultaneously. Normally, you will want to run the processes for the latest subperiod to have the most up-to-date information.

Field Descriptions

Selection Criteria

Use the fields in this block to limit the range of transactions that display in the table window.  You can limit your selection by fiscal year/period/subperiod, project, and organization.

You can enter values in the Fiscal Year, Period, Subperiod, Project, and Organization fields and then select the Execute button on the toolbar.  This will limit the transactions that display in the table window to the rows that contain the values entered in these fields. If you do not populate any of the fields in this block, all the data in the report tables will display.  

Fiscal Year

Enter, or use Lookup to select , the fiscal year you wish to review before executing the inquiry.

Keep in mind that the only fiscal years shown are those that have activity in the report tables. If you do not select a fiscal year, all fiscal years with rows in the report table will be shown. Normally only one fiscal year will be available at a time unless the report tables have been created for a previous fiscal year. If your data is purged on a weekly basis, you do not need to select a fiscal year because only one will still exist in the report table.

Period

Enter, or use Lookup to select , the period you wish to review before executing the inquiry.

Keep in mind that the only periods shown are those that have activity in the report tables. If you do not select a period, all periods with rows in the report table will be shown. If your data is purged on a weekly basis, you do not need to select a period because only one will still exist in the report table.

Subperiod

Enter, or use Lookup to select , the subperiod you wish to review before executing the inquiry.

If your data is purged on a weekly basis, you do not need to select a subperiod because only one will still exist in the report table.

Project

Enter, or use Lookup to select, the project you want to review.  If you select a single project, its description will display next to the project ID.

Organization

Enter, or use Lookup to select, a specific organization to review. If you select a single organization, its description will display next to the organization ID.

Rate Type

Use the fields in this group box to select the rate type you want to use for your inquiry.

Target

Select this radio button to display indirect costs calculated using target rates in the burden amount columns of the inquiry.

Actual

Use this radio button to display indirect costs calculated using actual rates in the burden cost columns of the inquiry.  

You must be certain that actual rates have been calculated for the periods that you want to display in the inquiry. If you select this radio button and the rates have not been calculated for the accounting period, the costs will not reflect any indirect burden. This may cause the cost and revenue values to be incorrect.

Use

Select the organization type that you want to use for your inquiry.

Owning Org

Select this radio button to display the revenue by owning organization.

Performing Org

Select this radio button to display revenue by performing organization.

Table Window

Information in the table window comes from the Revenue Report table (RPT_REV_SUM). The number of rows or projects shown in the table window is based on your selection criteria. You can change the size and order of the columns and save them to meet your requirements. The columns contains cost, revenue, and net inventory information for the subperiod, period, YTD, and inception-to-date for the project(s) selected, as well as the ITD billed, open receivable, retainage amount, and the project manager's name. If you did not narrow your inquiry to a specific fiscal year, period, subperiod, project, and organization, columns will also display for each item for which you did not select a specific value before executing your inquiry.

Fiscal Year

This non-editable field displays the fiscal year associated with the data on this row of the table.

Period

This non-editable field displays the period associated with the data on this row in the table window.

Subperiod

This non-editable field displays the subperiod associated with the data on this row of the table window.

Project

This non-editable field displays the project associated with the data on this row of the table window.

Proj Name

This non-editable field displays the project name.

Organization

This non-editable field displays the organization associated with the data on this row of the table window.

Org Name

This non-editable field displays the organization name.

Prior Year Net Inventory

This non-editable field displays the prior year net inventory for the project on this row of the table window.

Target Subperiod Cost

This non-editable field displays the target subperiod cost for the project and subperiod on this row of the table window.

Target Subperiod Revenue

This non-editable field displays the target subperiod revenue for the project and subperiod on this row of the table window.

Target Subperiod Net Inventory

This non-editable field displays the target subperiod net inventory for the project and subperiod on this row of the table window.

Target Period Cost

This non-editable field displays the target period cost for the project and period on this row of the table window.

Target Period Revenue

This non-editable field displays the target period revenue for the project and period on this row of the table window.

Target Period Net Inventory

This non-editable field displays the target period net inventory for the project and period on this row of the table window.

Target YTD Cost

This non-editable field displays the target year-to-date cost for the project and fiscal year displayed on this row of the table window.

Target YTD Revenue

This non-editable field displays the target year-to-date revenue for the project and fiscal year displayed on this row of the table window.

Target YTD Net Inventory

This non-editable field displays the target year-to-date net inventory for the project and fiscal year displayed on this row of the table window.

Target ITD Cost

This non-editable field displays the target inception-to-date cost for the project and fiscal year displayed on this row of the table window.

Target ITD Revenue

This non-editable field displays the target inception-to-date revenue for the project and fiscal year displayed on this row of the table window.

Target ITD Net Inventory

This non-editable field displays the target inception-to-date net inventory for the project and fiscal year displayed on this row of the table window.

ITD Billed Amount

This non-editable field displays the inception-to-date amount billed for this project.

Open Receivable Amount

This non-editable field displays the open receivable amount for the project.

Retainage Amount

This non-editable field displays the retainage amount for this project.

Project Manager

This non-editable field displays the project manager for this project.

Project Status

Select this link to open the Project Status subtask, which contains a table window that displays subperiod, period, year-to-date, and inception-to-date amounts, budgets, and variance for a project.  In the header of the subtask, you can view the customer name, period of performance, contract value, total units, and total hours.

GLC Labor Summary

Select this link to open the GLC Labor Summary subtask, which contains a table window that displays subperiod, period, year-to-date, and inception-to-date hours and amounts.  You can also view the total hours and amounts in the header of this subtask. The rows in the table window are displayed by GLC.

PLC Labor Summary

Select this link to open the PLC Labor Summary subtask, which contains a table window that displays subperiod, period, year-to-date, and inception-to-date hours and amounts.  You can also view the total hours and amounts in the header of this subtask. The rows in the table window are displayed by PLC.

Employee Labor Summary

Select this link to open the Employee Labor Summary subtask, which contains a table window that displays amounts and hours by employee, GLC, and PLC.
