AUDIT INQUIRY

Use this screen to view all the workflow case statuses without running a single report. Use this information to determine where bottlenecks are occurring in workflows, to monitor user activity, and to track event trends. This screen contains summary information about workflows and additional detail information.

The main screen displays summary information that can be selected for any workflow, case status, subsystem, filter, and value. Once you have populated the main screen with the desired workflow status, subsystem, filter, and value, you can "drill-down" into more detailed information. If you want the full detail without "drilling down" into more and more detail, you can view some of the same information in the Monitor Status screen in the Monitor menu. Both the Print Workflow Status Report and Print Audit Report screens also provide audit detail.

Note: The average times displayed in the subtasks of this Inquiry represent "total elapsed time," which includes evenings, weekends, and business holidays.

Use this screen whenever you need to check user productivity and efficiency, system usage, event trends, and bottlenecks in workflows. Information is available in this screen only after you have started a workflow case, either from the Initiate Case screen, Maintain Case screen, Initiate Case subtask of the Monitor Status screen, or the Workflow menu in every Costpoint function.

Information in some of the subtasks of this screen may not be available until you start and/or complete activities in a workflow case.

Workflow

To narrow the rows shown in the table window to a specific workflow, enter that workflow before executing the inquiry. If you do not select a workflow, all workflows will be shown. If you are interested in a range of workflows, use Subquery to select the desired range. You can use Lookup to review the available workflows.

Subsystem

To limit the rows shown in the table window to a specific subsystem, select a subsystem from this drop-down box before executing the inquiry. If you do not select a subsystem, all subsystems will be shown. If you are interested in a range of subsystems, use Subquery to select the desired range.

Status

To limit the rows that display in the table window to either "In-Progress" or "Complete" workflows, select one of those statuses before executing the inquiry. If you do not select a status, "In-Progress" and "Complete" workflows will be shown.

Filter

To limit the rows that display in the table window for a specific filter, select that filter before executing the inquiry. Filters are not shown in the table window. However, if you do enter a filter, but not a value, the table will show the different values for the filter. If you do not enter a filter, the rows that display in the child table will be for all filters. Filter is not available in Subquery.

Value

To limit the rows that display in the table window for a specific filter value, select that value before executing the inquiry. If you do not select a value, all filter values will be shown. If you entered a filter, Value is active; otherwise, it is inactive. Use Lookup to select from a list of values for the selected filter.

Table Window

At this summary level, the subsystem, workflow, status, and number of workflow cases are displayed. This provides you with a summary of workflow cases that are in progress or complete, depending on your selection criteria. Detailed information is available in the Completed Activities, Current Activities, and Case subtasks as well as other subtasks you can "drill down" to from those screens. To inquire at a more detailed level, select the line for which you want additional information. Select the appropriate pushbutton to expand the inquiry accordingly. You can also double-click on a specific line to go straight to the Completed Activities subtask.

Note: All subtask information is related to a specific workflow, subsystem, status, filter, and value from the table window.

Completed Activities

Select this pushbutton to open the Completed Activities subtask for the selected workflow, subsystem, status, filter, and value. From there, you can "drill down" into the User Productivity subtask, and then into the User Case subtask.

Current Activities

Select this pushbutton to open the Current Activities subtask for the selected workflow, subsystem, status, filter, and value. From there you can "drill down" into the Activity Case subtask, and then into the Activity Routing subtask.

Case

Select this pushbutton to open the Case subtask for the selected workflow, subsystem, status, filter, and value. From there you can "drill down" into the Activities subtask, and then into the Activity Routing subtask.
