Use this screen to approve requisitions that can later be generated into purchase orders. Only requisitions requiring approval from a specified user will display. You can access this screen only when you have selected the Requisition radio button in the Approval Level group box in the Requisition Settings screen. Otherwise, you must approve purchase requisition lines in the Approve Purchase Requisition Lines screen.
The user ID approving the requisition has been assigned to an approval title in the Requisition Approval Titles screen. You can assign many user IDs to one approval title. Each of these user IDs can approve the requisition, as long as the user's minimum and maximum dollar limits are met. Then you assign the approval titles to an approval process code in the Requisition Approval Processes screen. You can assign many approval titles to one approval process. Therefore, one approval process may require approval by many users.
You can also use this screen to reject a requisition. This can occur for various reasons and will cause the approval process for that requisition to be suspended. The requisitioner must then change the requisition and resubmit it for approval.
Use this screen whenever there are requisitions requiring approval, if approvals are done at the requisition level.
This field displays the requisition ID selected to be approved.
This field displays a revision, if applicable, for the selected requisition ID.
This field displays the employee ID of the requisitioner for the selected requisition. The requisitioner's name displays in the field directly to the right.
This field displays the date the requisition was created.
The approval process code assigned to this requisition is displayed in this field.
These fields display the approval title for the approval sequence number assigned for this requisition.
This field displays the transaction currency code that is specified for the requisition in the Exchange Rates subtask. All amounts on this screen will be in terms of this currency.
These fields display the organization ID, phone number, and extension of the person who made this requisition.
This field displays the total amount of the selected requisition.
This checkbox will be selected if the person who opens this screen (as indicated by the user ID) is the preferred approver for this requisition.
Select the status to continue processing this requisition. Valid options are Pending, Approved, or Rejected.
This requisition is pending approval and cannot be turned into a PO.
This requisition has been approved for this approval title. It can be turned into a purchase order once all required approval titles have given their approval.
This status means that the requisition has been rejected during the approval process and can be corrected and submitted again.
This field displays the default date that the approval status was changed for this approval title, but can be changed.
If you have selected the Approval Status of Rejected, you must enter, or use Lookup to select, a rejection reason for this requisition. Enter rejection reasons in the Requisition Rejection Reasons screen.
Enter, or use Lookup to select, the employee ID that has been assigned to the approval title for this requisition. The employee's name will display to the right.
This field displays the over budget status.
A "Yes" displays if you selected the Over Budget Validation checkbox in the Requisition Settings screen. Before the requisition can be approved, you must run the Calculate Over Budget Transactions screen in Costpoint Budgeting and ETC.
A "No" displays if you did not select the Over Budget Validation checkbox in the Requisition Settings screen. If the requisition is not over budget, it can be approved.
A "Released" will display to indicate that the Calculate Over Budget Transactions screen in Costpoint Budgeting and ETC has been run and the requisition can be approved.
Enter up to 254 characters of free-form text to associate with this requisition's approval or rejection.
This column displays the line number from the requisition line.
The line type from the requisition line is displayed in this column.
This column displays the item ID from the requisition line.
The item revision from the requisition line is displayed in this column.
This column displays the item description from the requisition line.
This column displays the miscellaneous line charge type code from the requisition line.
This column displays the requisition line notes from the requisition.
This column displays notes that were entered by the requisitioner on this requisition line.
The unit of measure from the requisition line is displayed in this column.
This column displays the requisitioned quantity from the requisition line.
The estimated unit cost from the requisition line is displayed in this column.
This column displays the estimated cost type code from the requisition line.
The estimated extended amount from the requisition line is displayed in this column.
This column displays the estimated line charges from the requisition line.
The estimated sales tax/VAT amount from the requisition line is displayed in this column.
This column displays the total estimated amount from the requisition line.
This column displays the requested date from the requisition line.
This column displays the inventory abbreviation code from the requisition line.
This column displays the warehouse ID for the requisition line.
The Deliver To information for the requisition line is displayed in this column.
This column displays the order reference information for the requisition line.
The overship value from the requisition line is displayed in this column.
This column displays the receipt tolerance value from the requisition line.
This column displays the QC inspection required value from the requisition line.
This column displays the source inspection required value from the requisition line.
This column displays the certificate of conformance required value from the requisition line.
This column displays the preferred vendor part assigned to this requisition line, if applicable.
The ship ID for the requisition line is displayed in this column.
This column displays the ID of the preferred source vendor for this requisitioned item, if applicable.
This field displays the name of the Preferred Vendor.
This field displays the sales tax/VAT rate for the sales tax/VAT code that is assigned to the ship ID.
Select this pushbutton to open the Approval Process subtask, where you can view or maintain the approval process for this requisition/requisition line.
Select this pushbutton to view transaction currency, rate groups, and exchange rates for the requisition. This pushbutton will be disabled if you do not have access to Costpoint Multicurrency.
Select this pushbutton to assign documents to the approve purchase requisition header. These documents may be pre-established within the Product Definition module, or added on-the-fly by purchase requisition. Use this subtask at any time to assign documents to the purchase requisition.
Select this pushbutton to view the header notes assigned to the requisition in the Header/Defaults subtask of the Enter Requisitions screen.
Select this pushbutton to view requisition total amounts.
Select this pushbutton to access the Display Line Detail subtask, where you can view detailed requisition line data.
Click this button to assign documents to the approve purchase requisition line. These documents may be pre-established within the Product Definition module, or added on-the-fly by purchase requisition. Use this subtask at any time to assign documents to the purchase requisition.
Use this pushbutton to access the QC Line Text subtask, where you can view or maintain quality control data for this requisition line.
Use this pushbutton to access the Account Distribution subtask, where you can view or assign project, account, and organization IDs to the selected requisition line.
Select this pushbutton to view requisition line amounts in both transaction and functional currencies. This pushbutton is enabled if the transaction and functional currencies are different in the Exchange Rates subtask. This pushbutton will be disabled if you do not have access to Costpoint Multicurrency.
