Create an Expense Justification Template

Create expense justification templates to configure fields for various expense types that are associated with different activity types.

You must be a System Administrator or an Advanced User with access to Settings to perform this procedure.

To create an expense justification template:

  1. Navigate to Settings > Price Lists & Activities > Expense Justification.
  2. Click Create New Template on the Expense Justification page toolbar.
    WorkBook prompts you for a name for the new template.
  3. Enter a name and press Enter.
    The new template is displayed with the default structure:
    • 5 possible date fields
    • 5 possible numeric fields
    • 5 possible text fields; the first one has the default label Description
    • 1 Instructions field
  4. Create the date, numeric, and text fields that you need, up to the maximum number of 5 of each type. You can enter appropriate names for fields in the Label column for each field.
    You can also:
    • Select the Mandatory check box to make entry in the field required.
    • Select the Enabled check box to make the field appear in the template. You cannot enable a field unless you have assigned a label to it in the Label column. You cannot disable a field that has a label; you must delete the label first.
  5. In the Instructions field, enter any information that you want to be displayed at the top of the Expense Justification Dialog page.
  6. Click Preview on the Expense Justification page toolbar to preview the new template.
  7. Click Actions next to the name of the template in the left pane of the Expense Justification page to do any of the following:
    • Rename – Displays the Rename Template dialog box. Enter a new name over the existing name and click OK.
    • Duplicate – Immediately creates a duplicate of the template with the same name.
    • Delete – Prompts you to confirm that you want to delete the template. You cannot delete a template that is in use.
    • Disable – Immediately disables the template. A disabled template is indicated by red shading of the template name, which is also surrounded by parentheses. Return to the Actions menu and select Enable to re-enable the template.
