Automatically Create the Approve Change Workflow

Use these steps to set PM Compass to automatically create an Approve Change workflow when the Request Change workflow is completed. This copies any standard and custom fields to the new change request, including the change number and the Proposed Change if it is a custom field.

You can also insert a new step 1 on the Approve Change type that is assigned to the PCA with an in-progress status of New. This allows the PCA to update the Budget Details grid and select the correct cost set before submitting the change request to the CAM for approval.

To modify the Request Change to automatically create an Approve Change:

  1. On the Navigation menu, click Administration » Workflow Type Configuration.

  2. Select the Request Change workflow type by either using the navigation buttons at the top of the form or using the Workflow Type Search dialog box.

  3. On the Workflow Steps tab, in the Step 1 Actions grid, click Insert » Create Workflow.

  4. On the Create Workflow Configuration dialog box, in the Workflow Type drop-down list, select Approve Change.

  5. Enter a default title and verify that the Assigned To field is set to Currently Assigned.

  6. Click OK.

To modify the Approve Change workflow:

  1. In Workflow Type Configuration, select the Approve Change workflow type by either using the navigation buttons at the top of the form or using the Workflow Type Search dialog box.

  2. On the Workflow Steps tab, in the Steps grid, select Step 1 then click Insert » Insert New Row Above.

  3. In the Description column, enter a description.

  4. In the In-Progress Step Status column, select New.

  5. In the Assigned To column, select the Project Controls Analyst (PCA) or whomever is to select the correct cost set.

  6. In the Completed Step Status column, select Approved so that the PCA displays in the Approvals grid on the Progress tab.

  7. Create a step action to notify the PCA if needed.

When the Request Change is completed, PM Compass creates the Approve Change automatically. The newly created Approve Change workflow is assigned to the PCA. The PCA must display the change request, click the Refresh button to populate the Budget Details value, and select the cost set before approving the change request.
