Archived Reports Overview

Archived Reports are a snapshot summary of the data at the time the report was archived. This is useful to allow you to quickly regenerate the report without going back to the original data. It is also very useful to allow you to take a snapshot of the month end data and review this information at any time during the week.

The month end snap shot is useful when analyzing variances because you know that when the archive was created, all of the actual costs and earned value for the month had already been calculated. Gathering data from the live project at any time could provide a false data if, for example, the earned value had been calculated but actual costs were not loaded.

Displaying Archived Reports

An archived report is available, for a specified period of time, on the Archived Reports tab in the <Report Category> Reporting Form. If you do not see your report, it may have failed. For more information, see Troubleshooting SQL Server Reporting Services (SSRS) Reports.

You can only create archived reports for reports whose options you have already configured; otherwise, when you click Create Report Archive for a report before configuring its options, the <Report> Options dialog box will open.

If you have a condition on the report like the CAM Is Me, it archives all of the data and then filters based on the logged in user. The only way you can tell if you are seeing the archive report is to actually change the data.

Example

Evelyn sets a report filter of CAM is Me and creates an archive report. She uses the archived report dialog box to set the number of hours that PM Compass should keep the report and uses Access Control to give John access to the report. She adds it to the dashboard as an archived report dashpart and to the Navigation menu.

When Evelyn views the archived report, it is blank as she is not a CAM on any project. When John logs in and views the archived report, he sees one account since he is a CAM on project 1.

John becomes a CAM on a second project. He accesses the archived report but still only sees one account (project 1) because the archived report only uses data that was current at the time it was created. Since John became a CAM on the second project after the archived report was created, he will need to create a new archived report in order to see both projects listed.

Benefit of Implementation

You do not need to make multiple archived reports for every CAM and you can schedule the creation of the archive to occur when you know the data is good. In other words, after you load actuals, status, calc EV, calc Forecast, etc. you achieve the report. At any point in the week, the dashpart displays the data at the time the archive was created.

The availability to create an archived report also depends on your user role. If it is unavailable to you, ask your System Administrator to grant you access in EPM SA.
