Use this procedure to schedule the workflow action, identified in the My Action Required column of the List View, for a single workflow or for multiple workflows.
The benefit of scheduling a process is that you can continue with other tasks. That is, PM Compass isn't held up while the process is running.
The workflow is not updated until the process is complete. You can check the Process Queue Manager to see when the process completes or select the Send Process Status Email Alert to Submitter option on the Main tab of the Schedule dialog box if you would like PM Compass to send an email alert when the process completes.
If a Comments dialog box displays due to any of the actions performed, the comment you enter applies to all the rows where the same action is performed.
To schedule a workflow action, complete the following steps:
On the Navigation menu, click Workflows » <Workflow Category> to view workflows for a specific category or click Workflows » All Workflows to view all workflow records.
Select one or more workflows:
To select multiple contiguous rows, drag the mouse from the first to the last row you want to select.
To select multiple non-contiguous rows, click the first row, then, while holding CTRL, click the other rows you wish to select.
Select Workflow Actions » Do Required Action.
Use the process server Schedule dialog box fields to schedule the process.
Note the name of the process queue that you select in the Schedule dialog box because you will need it if you look for your scheduled process in the Process Queue Manager.
If the workflow is a change request, and the change class is a budget class, PM Compass performs checks for negative undistributed budget, negative management reserve, and negative BAC for the work package. If there are errors during the process, the system skips those workflows and continues to process the rest. See System Checks When a Change Request is Approved for more information.
After the process is complete:
Change Management change requests:
If any change requests fail, an email listing each failed change request, and the reason for the error, is sent to the submitter, regardless of whether or not the Send Process Status Email Alert to Submitter option is set. You can override these warnings by approving each change request individually from the Form View. See Manually Process a Workflow Action for more information.
The grid is updated to reflect the completed process; however, any filter that you are currently using is not automatically reapplied.
You will need to reload the change request by switching to a different view (for example, Form View » List View » Form View) to see the workflow options in the menu change.
