Setting up general security

Follow these instructions as part of setting up a role:

  1. On the General tab, enter information as follows:
For Do this

Description

Type a name for the role.

View employee cost

Select it if you want employees in this role to see cost amounts on standard reports and in > Manage > Client Invoices.

For many companies, employee cost information is confidential.

If marked, the cost will be seen on the Manage tab in the Project Command Center.

View my projects only

Select it if you want to allow principals, project managers, and marketing staff the following access:

  • In the Project Command Center, employees in this role can access only projects where they are the principal-in-charge, project manager, or marketing contact on any phase of the project.
  • Employees in this role can access only projects on the Time by Project tab in > Manage > Time & Expense where they are the project manager on the project row.
  • On inquiries, employees in this role who are project managers, principals-in-charge, or marketing contacts see only information pertaining to their own phases, as well as project totals.
Note: This check box does not affect reports. To limit access to a specific report by project manager or principal-in-charge, select a report option in the Limit By field.

Manage custom reports and inquiries

Select this check box to allow employees in this role to do the following:

  • Manage custom reports
  • Access all inquiries, change existing inquiries, and create custom inquiries

For both reports and inquiries, if this check box is cleared, employees in this role can only access a report or inquiry when you allow them access to it (through the Reports or Inquiry tab of this window). Employees cannot change inquiries but can sort or group them.

Manage financial statements

Select this check box to allow employees in this role to do the following:

  • Design, preview, and print statements.
  • Create, preview, and print statement groups.

If this check box is cleared, employees in this role can only access a statement group when you allow them access to it (through the Reports tab of this window). Employees cannot change statement designs or statement groups but can change the reporting periods for statement groups.

Allow journal entries to intercompany accounts

Multi-company only.

Select this check box to allow employees in this role to enter journal entries to intercompany accounts.

Allow financial approval of vendor invoices Select this check box to allow employees to approve vendor invoices.
Allow accounts payable approval for others Select this check box to allow employees to approve vendor invoices for others.
Allow time and expense entry to projects that I am not assigned to

If selected, employee can enter time and expense entries to projects they are not assigned to as a resource.

Note: When selected this option overrides the "Restrict time and expense entry to Resource only" option in the project command center.
Can access all departments

Available when Restrict access to employee department only is selected in > Company > Preferences.

Select this check box to allow employees in this role to access all departments.

Can access all companies

Available when Restrict access to employee company only is selected in > Company > Preferences.

Select this check box to allow employees in this role to access all companies.

  1. On the File tab, enter information as follows:
For Do this

Database backups

Select this check box if you want employees in this role to be able to back up the database.

Import in-house expenses

Select this check box if you want employees in this role to be able to import in-house expenses from an external file into Ajera.

Import time

Select this check box if you want employees in this role to be able to import time from an external file into Ajera.

Import journal entries Select this check box if you want employees in this role to be able to import journal entries from an external file into Ajera.
Import credit cards

Select this check box if you want employees in this role to be able to import credit card information from an external file into Ajera.

Select this checkbox if you want employee to import credit card transaction for others.
