Designing an itemized profit and loss statement (account groups)

The Profit and Loss Statement - Account Groups template is set up to summarize the Amounts rows preceding each totals row in the statement design.

If you want the details of each Amounts row to print on the statement, you will need to change the template design so that each account group is itemized, and preceded by its own heading row and followed by its own totals row.


To change the template design

  1. From the > Reports menu, click Manage Financial Statements > Designs. A blank worksheet appears.
  2. Click the Open button, and double-click Template - Profit and Loss Statement - Account groups in the Financial Statement Design window. The Profit and Loss Statement - Account Groups template design appears.
  • The design contains the following sections: Income, Costs, and Expenses.
  • The Amounts row in each section is based on an account group.
  1. Click an Amounts row in the statement design. The account group appears below, in the properties area.
  2. Click the Itemized button.
  3. To set up the heading row, do one of the following:
  • If the Amounts row has a heading above it, double-click it and enter the correct description of the account group.
  • If the Amounts row has no heading above it, right-click the row and click Insert. A blank row appears above the current row. In the blank row, double-click the cell where you want the heading to appear and enter the correct description of the account group.
  1. To set up the totals row, right-click the row below the Amounts row and click Insert. A blank row appears above the current row. Click the blank row, and click the Total button.
  2. Verify that each account group that you want to print on the statement consists of these three rows: heading row, itemized Amounts row, and totals row.

If needed:

  1. Insert three blank rows where you want the account group to print. To insert a row, right-click a row and click Insert.
  2. Copy the heading row, Amounts row, and totals row from a correctly set-up account group and paste them into the blank rows.
  3. In the pasted rows, select the correct account group and enter the correct description.
