Create or Update Employee Creation Default Settings

Use the Employee Creation Defaults page to provide custom default settings for WorkBook to use when you create an employee by copying settings from another employee. These settings are applied at the Company level. You can also designate fields as mandatory and manage access.

  • You must be a System Administrator to use this page to set or update the values of employee creation default settings.
  • The LDAP functionality is affected by:
    • System Variable 844, Allow the Usage of Lightweight Directory Access Protocol Authentication for Users. Enable System Variable 844 so that when you are copying settings from an LDAP user, the related fields are displayed on the Employee Creation Defaults page.
    • System Variable 1181, Third-Party Identification Provider. When this System Variable is set to its default value (0 – Manually Enable Users to Third-Party Identification Provider), System Administrators can enable or disable the use of LDAP manually on Basic and Advanced User types.

To copy settings from an employee and customize settings:

  1. Navigate to Settings > Employee Settings > Employee Creation Defaults.
    The Employee Creation Defaults page is displayed
  2. Use the search function in the Copy Settings from this Employee field to select the employee whose settings you want to copy.
    The Default Value column displays the current values for the selected employee, which are read-only. If a previously selected and previously valid value is no longer valid, it is highlighted in red. This validation is used for fields such as Department, Primary Activity, Timesheet Approver, and Nearest Supervisor. In some cases when a value is invalid, the icon is displayed next to it. When you hover your cursor on that icon, a tooltip explains why the value is invalid.
  3. In the Override Value column, enter or select the value for any field for which you want to set a different default value. Only valid options are available to you in drop-down lists.
    WorkBook does not let you change any values on the Employee Creation Defaults page if any value in the Override Value column is invalid. You must ensure that all values are valid.
  4. In the Mandatory column, select the checkbox for any field that you want to be a required field. Note that you cannot deselect some fields because WorkBook requires that they have values.
    If Lightweight Directory Access Protocol (LDAP) is enabled, and the selected employee is an LDAP user, the LDAP checkbox is selected. Use of LDAP is only valid for System Administrators and Basic and Advanced User types.
  5. For LDAP users:
    1. Select Enabled from the drop-down list next to the LDAP checkbox.
    2. Enter the domain login name in the Domain Login field.
