Synchronize Calendar Items from Gmail to Vantagepoint

You can synchronize calendar items that were entered in Gmail into the Vantagepoint calendar.

Pre-requisites:
  • Your system administrator must set up an activity type as Calendar in Settings > Labels and Lists > Lists.
  • Each calendar item must have a contact associated to it for the item to synchronize between the applications.
  • Create a Connect user.
  • Set up synchronization.

To synchronize calendar items from Gmail to Vantagepoint:

  1. Open Gmail in Chrome and locate the calendar item that you want to synchronize.
    The Edit dialog box displays.
  2. To synchronize the item to Vantagepoint, set the Event Details fields to one of the following:
    • Select the Vantagepoint Events calendar item designation
    • Or, leave the item in your primary calendar and select the color blueberry for the calendar item
    Vantagepoint will synchronize calendar items with either of those designations.
  3. The synchronization process is bi-directional and automatically occurs every 30 minutes. The next time synchronization occurs, each Gmail calendar item record with the appropriate designation will be added to the Vantagepoint Activities hub if:
    • You are associated as an attendee.
    • The End Date of the activity is 2 weeks ago or later (activities older than 2 weeks are not synced).
    • There is at least one contact associated to the meeting.
    • The meeting is not recurring.
    Vantagepoint also sends an invitation to that contact using the Gmail functionality.
