Contents of the Supporting Document Dialog Box in Transaction Center

Use these fields to upload, delete, and manage the supporting documents that you associate with your transactions.

Details Section

This section displays on the dialog box when you click or in the Document field. It includes information specific to the transaction line item.

Field Description
Date This field displays the transaction date for the transaction line item.
Description This field displays the additional description entered for the transaction line item.
Project This field displays the project to which the transaction line item was charged.
Phase This field displays the phase to which the transaction line item was charged.
Task This field displays the task to which the transaction line item was charged.
Account This field displays the general ledger expense account for the transaction line item.
Amount This field displays the monetary amount that was entered for the transaction line item.

Associated Documents Grid

When you access the Supporting Document dialog box by clicking or in the Document field, this grid displays the supporting documents for the specific transaction.

You can upload a document to this grid by either dragging and dropping the file onto the grid, or by clicking the +Select files for upload option.

Associated Documents Grid: Actions Bar

Field Description
Show All Documents Click Show All Documents to view all supporting document in the grid and not just those attached to the transaction line.

Associated Documents Grid: Fields

Field Description
Filename This field displays the filename of the supporting document. Click the filename to open and view the document.
Description This field displays the description that was entered for the supporting document when it was uploaded and associated with the transaction line item. You can enter a different description of the file.
Attach to All Future Lines When you select this option for a document, the document is automatically associated with any new transaction line items that you enter on the grid.
Attached to This Line Select this check box to attach the selected document to the transaction line item. You can only change this option while the transaction is editable.

Associated Documents Grid: Row Options

These are the icons that display at the end of a row in the grid when you hover over a row.

Field Description
Click this icon to open and view the contents of the selected supporting document PDF.
Row Options

Click this icon, and then select one of the following options for the selected supporting document:

  • View PDF: This opens the selected supporting document PDF for you to view its contents.
  • Attach to All Existing Lines: Select this option to attach the supporting document to all existing line items. When this option is selected, the Attach to All Future Lines option is automatically selected.
  • Detach from All Existing Lines: Select this option to remove the association of the supporting document with all existing line items. When this option is selected, the Attach to All Future Lines option is automatically cleared.
  • Delete Supporting Document: Select this option to immediately delete the selected supporting document from the Associated Documents grid.

Click this item to open a Microsoft Windows browse/open file dialog box and upload one or more files as supporting documents for the selected transaction in the grid. Vantagepoint converts all uploaded documents, regardless of their original format, to PDF format. The uploaded documents are displayed in the Associated Documents grid.
