Office Master Import Rules and Mechanics

Importing Rules

When you upload or import office master content, the following rules apply:
  • Specpoint imports content at the firm level. To make external content available only in select projects, use project-level import.
  • You can import content as either a replacement or an addition to the families and product types in the MasterSpec library.
  • You can upload files only in DOC or DOCX format.
  • You can import multiple files for a given family. You can either replace an uploaded family, or import a duplicate of a family as a new office master version.

    Specpoint detects duplicates in case you select a group of files that contains duplicates.

  • The file must follow the approved MasterSpec template. This includes, but is not limited to, families having a three-part structure and a maximum of five paragraph levels.

Conversion Rules and Mechanics

For your imported office master content, the following rules and mechanics apply to the platform's converter:
  • The converter detects the following items in an imported family as product types:
    • A paragraph/property one outline level above a paragraph that has one of the following property titles:
      • Manufacturers
      • Products
      • Basis-of-Design Product
      • Basis of Design
    • A paragraph/property one outline level above a paragraph that has a hyperlink with a SpecAgent ID.
  • The converter removes hyperlinks in the uploaded document on import. The platform uses hyperlinks to detect product types.
  • The converter ignores tables on import and creates a caution item for the user.
  • The converter ignores highlighted text on import.

Publishing Rules

For publishing office master content, the following rules apply:
  • When you publish an office master family, the family becomes available in all of your firm's projects, as version of an unadded family.
  • When you publish an office master family for a MasterSpec family, the office master family becomes an available version of the family.

    From the MasterSpec version and the published office master versions, you can select a version that you firm will use as the primary version which all your projects will use by default. For each project, you can select any of the available versions to use.

  • When you publish an office master family, the office master family does not replace or override any added family in any project.

    Specpoint maintains the version of the added family from the time it was added. The added family retains all user and automated modifications.

  • When a user removes an added family of an earlier version from a project after you deleted that version or published an overriding office master version of the family, the project updates the now unadded family to the primary version of family.

Deletion Rules

For deleting published office master content, the following rules apply:
  • When you delete a published office master version of a family, all projects that have it as an added family retain it.
  • When a user removes an added family based on a deleted office master version of a family, the project reverts the family to the selected primary version of the family.
