AR Ledger Report

Use the AR Ledger report to review billing history. For each project, phase, or task, the report displays invoices generated and payments received. The report also displays the average collection period for all paid invoices.

Records Search

Use the project search in the Records field for the AR Ledger report to search on an invoice number or on unpaid invoices. These searches help you locate projects that have at least one invoice that matches your criteria. However, these searches do not filter the invoices. The report still includes all of the invoices for each project that you select.

When you use projects-billing client criteria in the project search in the Records field, the report results are based on the billing client that is currently entered for a project on the Accounting tab in the Projects hub.

The Records field for the report is located in two places:

  • In the AR Ledger report row in the reports grid on the Reporting tab of the Reporting form where you select the AR Ledger report.
  • At the top of the AR Ledger report form that displays the Columns & Grouping, Options, and other tabs for the report setup.

Settings for Headings and Invoice Mappings

You specify the headings for the AR Ledger, and map invoice accounts, in Settings > Billing > Accounts Receivable.

Leading Zeros in Invoice Numbers

If your enterprise uses leading zeros in invoice numbers but you do not want to display the zeros on the report, set the Display Invoice Leading Zeros option to No on the Options tab of the Accounts Payable form (Settings > Cash Management > Accounts Payable).

Credit Memos

Credit memos are listed separately on the AR Ledger report, below the invoice to which they apply. The Mod/Receipt Description column for a credit memo displays the words Credit Memo to help distinguish it from a row that represents an invoice, a receipt, retainage, or retainer.

If the Include Modification Detail check box is selected on the Options tab, then a credit memo’s posting period and posting sequence number display in the Mod/Receipt Description column instead of the words Credit Memo.

Multiple Companies

If you use multiple companies, the column headings and account mappings are based on the mappings set up for the company that owns each project.
