AR Aged Report Options Tab

The Options tab gives you additional control over the data displayed on the AR Aged report.

Detail Options

Field Description
Billing Client

To display report content for a specific billing client, select a billing client name in this field. Or, use the search option in this field to enter criteria for selecting one or more billing clients to display on the report. The report includes invoices that are based on the billing client that an invoice was posted with.

Billing Group Billing groups are used to combine projects together for the purpose of billing a client. To have the report show content only for specific billing groups, enter the name of a main project for a billing group, or use the Project lookup to select one or more main projects.

If you use multiple companies and you bill a client for a set of projects worked on by multiple companies within your enterprise, the company that owns the main project in the billing group is the company that generates the invoice for the entire billing group. Use the Billing Group List to review a billing group's settings, its main project, and a list of its sub-projects.

Aging Date

Select the date as of which you want to age invoice amounts:

  • Today: Age invoice amounts as of the date the report is run.
  • Period End Date: Age invoice amounts as of the last day of the active accounting period in which the report is run.
  • Specific Date: Age invoice amounts as of a date that you specify.

For example, if you select Today in this field and set the Aging Based On option to Invoice Date, the age of an invoice amount is the number of days between its invoice date and the current date.

Aging Based On

Select the type of date from which you want to age invoice amounts:

  • Invoice Date: This calculates the age of invoices as the difference between the invoice date and the date you select in Aging Date section.
  • Due Date: This calculates the age of invoice amounts as the difference between the invoice due date and the date that you select in the Aging Date section on this tab. If you select this option and the report includes invoices that do not have due dates, the invoices without due dates are aged using the invoice date. When you age invoices by due date, Vantagepoint ages an invoice using the oldest due date among the outstanding (unpaid) invoiced amounts of all work breakdown structure (WBS) levels for which the invoice was posted.
Exclude Unassigned Receipts An unassigned receipt is a cash receipt posted to an invoice for which there is no record in Vantagepoint. Select this check box to exclude unassigned receipts from this report.
Age Unassigned Receipts An unassigned receipt is a cash receipt posted to an invoice for which there is no record in Vantagepoint. Select this check box if you want Vantagepoint to include unassigned receipts in the calculation of amounts in the aging columns. Vantagepoint reduces the outstanding balance by the amount of the unassigned receipt. The column affected depends on the date of the receipt.
Age Interest Select this check box if you want the amounts in the aging columns to include any unpaid interest on past due amounts.
Only Include
Select the appropriate checkbox to include details from the following options:
  • Invoices Over: Select this check box to include only those invoices with an outstanding balance that is past due over a specified number of days. Enter the number of days in the related field.
  • Invoices Through: Select this check box to include only those invoices posted in or before a specified accounting period. Select the accounting period in the related field. The report also includes all receipts for the selected invoices, even receipts that were posted in a later accounting period.
  • Clients with Balances Over: Select this check box to include only projects for billing clients with an outstanding balance that is greater than a specified amount. Enter the amount in the related field. Vantagepoint calculates the total outstanding balance for each client for all of the client's projects. Vantagepoint then compares the total client balance amount to the amount entered in this field. If the balance is greater than the amount you specify, the report includes that client's projects.
  • Invoices with Balances Over: Select this check box to include only invoices with an outstanding balance that is greater than a specified amount. Enter the amount in the related field.
Include Invoice Detail Select this check box to display the invoice number, date, and amount of the invoice for each transaction posted during the period.
Include Pre-Invoices

This check box only displays if you select the Use Pre-Invoices option on the Billing Options form (Settings > Billing > Options).

Select this check box to include pre-invoices on the AR Aged report. The report will include unpaid pre-invoices that are not canceled, in addition to regular invoices.

Because pre-invoices have no due date, the Aging Date option (Current Date, Period End Date, or Specific Date) is compared to a pre-invoice's invoice date, regardless of whether you select the Invoice Date or Due Date option. Pre-invoices are included on the AR Aged report based on whether or not the date of the pre-invoice is within the time frame that you select.

When you sort and group the AR Aged report by invoice, the pre-invoice number displays in the Invoice column of the report.

If you use multiple currencies: The Report In field changes automatically to Billing Currency. You can only run the report with the billing currency when pre-invoices are included on the report.

Include All Invoices with Retainage Select this check box to include all invoices for projects with retainage amounts and information in the report.
Intercompany Subledger Transactions

If your enterprise uses Intercompany Billing with detailed subledgers enabled, use this option to specify whether or not intercompany transactions created by Intercompany Billing are included on the report.

Select one of the following:

  • Exclude: Select this option to exclude all intercompany billing transactions.
  • Include: Select this option to include all intercompany billing transactions.
  • Include Only: Select this option to include selected intercompany billing transactions. Then select the projects in the Due From Project field.

If you use Intercompany Billing with detailed subledgers enabled, intercompany invoices are created using a default project number that is specified in Intercompany Billing Setup (Settings > Accounting > Intercompany Billing, in the desktop application).

Display Options

Field Description
Client Detail to Display

Use this field to select additional client information to display on the report.

If you select None, no additional client information is added to the report.

If you select an option other than None, the effect of that option depends on your selections on the Columns & Groups tab.
If you sort and group by the following in the Grouping and Sorting section on the Columns & Groups tab... And you select the following option in the Client Detail to Display field... The report displays this additional client information...
Billing Client Number or Billing Client Name

The report sorts projects and invoices based on the billing client number or name that an invoice is posted with.

Number and Name

The billing client number or name that an invoice is posted with.

Billing Client Number or Billing Client Name

The report sorts projects and invoices based on the billing client number or name that an invoice is posted with.

Contact and Telephone The billing contact and telephone details from the posted invoice's billing client.
  • If the billing client for an invoice on the report is the same billing client that is currently entered for the project on the Accounting tab in the Projects hub, the billing contact on the Accounting tab in the Projects hub displays on the report.
  • If the billing client for an invoice on the report is not the same billing client that is currently entered for the project on the Accounting tab in the Projects hub, no billing client displays on the report.
Billing Client Number or Billing Client Name

The report sorts projects and invoices based on the billing client number or name that an invoice is posted with.

Full Address
  • The billing address from the Firms hub for the billing client that an invoice is posted with displays on the report.
  • The billing contact displayed on the report is based on the billing client that an invoice is posted with.
  • If the billing client for an invoice on the report is the same billing client that is currently entered for the project on the Accounting tab in the Projects hub, the billing contact entered for the project on the Accounting tab of the Projects hub displays on the report.

    If the billing client for an invoice on the report is not the same billing client that is currently entered for the project on the Accounting tab in the Projects hub, no billing client displays on the report.

Display AR Comments

Select this check box to display accounts receivable comments that were entered for the invoices in Invoices (Projects hub) or AR Review (Firms hub). In Start Date and End Date, specify the date range for the comments that you want to see.

To include AR comments, you must also sort and group the report by Billing Client Number, Project Number, or both. If an AR comment has no project associated with it, the comment prints under the client group header. If the AR comment has a project associated with it, the AR comment prints under the project group header.

To display AR Comments for a specific billing client of a selected project record, select the Display AR Comments check box in the Display Options section, and select a billing client in the Billing Client field in the Detail Options section.

The Accounts Receivable comment review access option on the Accounting tab of the Roles form (Settings > Security > Roles) controls whether or not you can view invoice comments.

Last Receipt

This check box applies if you do either of the following:

  • Sort the report by billing client or by project (in the Grouping and Sorting section of the report's Columns & Groups tab).
  • Select a billing client in the Billing Client field on the report's Options tab.

To display the last receipt for a billing client on the report, you must sort the report by billing client or select the billing client or clients to include on the report. If you want the last receipt for a project to display on the report, you must sort the report by project.

The Last Receipt information displayed on the report is based on the sorting options:

  • To display the last receipt for a project, sort the report by project criteria. When the report is sorted only by project criteria, the report displays the most recent receipt for each project.
  • When the report is sorted only by billing client criteria, the report displays the most recent receipt for each billing client.
  • When the report is sorted by project and then by billing client criteria, the report displays the most recent receipt for each billing client for a project.
  • When the report is sorted by billing client criteria and then by project, the report displays the most recent receipt for a billing client and the last receipt is displayed by each project.
Final Average Age Select this check box if you want the final totals section to display the average of the number of days between the date selected in Aging Based On and the date selected in Aging Date for all receivables included on the report.
Final Receipt Date

Select this check box if you want the final totals section of the report to display the most recent date for all receivables included on the report.

Retainer's Balance Select this check box to show retainer amounts. This option is available only if Use Retainers is selected in Settings > Billing > Options
Display Interest on Drill Down Report Select the column in the AR Aging Amount Drill Down report to include interest amounts. For example, if you select Interest and you drill down on an outstanding balance in the AR Aged report that includes interest, Vantagepoint displays the interest amount in the Interest column of the AR Aging Amount Drill Down report.

Time Frame Options

Time Frame
Use these options to specify the time frame for data included on the report.
  • Current Period: The report shows data for the active accounting period.
  • Year-to-Date: The report shows data for the current fiscal year through the active accounting period.
  • Job-to-Date: The report shows data from the beginning of the project through the active accounting period.
  • Date Range: The report shows data for a date range that you specify. Vantagepoint examines transactions within the specified date range, regardless of the period in which the transactions were posted or the dates of the current active period. Enter the start and end dates, or click the calendar icons to select the dates.
  • Period Range: The report shows data for a range of accounting periods that you specify.
Starting and Ending This field displays when date range or period range related option is selected in a time frame related field.

If a date range option is selected, use the Starting and Ending date fields to identify the start and end date range that will be used to generate the report.

If a period range option is selected, specify both a starting and ending accounting period in the Starting and Ending fields to generate the report for selected accounting period.

Reporting Amounts

Report In

If you use multiple currencies, select the currency in which to display amounts on the report:

  • Project Currency: Select this setting to use the currency specified in Project Currency on the Overview tab of the Projects form in the Projects hub.
  • Billing Currency: Select this setting to use the currency specified in Billing Currency on the Overview tab of the Projects form in the Projects hub.
  • Functional Currency: Select this setting to display the amounts in the functional currency of the active company.

Rollup Options

Field Description
Project Number Rollup Options Use this option to summarize information for projects that use a standard numbering system. For example, if the first five characters of your project number represent a master contract, you can summarize (roll up) information for all projects that have a common master contract number. The Project Base Rollup slider box displays the number of characters in your project numbers. For example, if you use a 10-digit project number, the slider box displays 1234567890. A project number can also include up to two delimiters (for example, 12-345.67890).
  • A phase total is the total of all occurrences of that phase across the base project.
  • A task total is the total of all occurrences of that task across the base project.

To roll up project numbers, drag a slider to cover the characters that you want rolled up. You can drag a slider from the left side of the slider box, the right side, or both sides.

Display Data As If you set a project base rollup, use this field to select how you want Vantagepoint to display the project data from the following:
  • Subtotal on Base Number: Select this option to display a group header at the beginning of each group of projects that matches the base rollup and then list each project in full detail. After the last project in the group, the report displays a group total.
  • Summary on Base Number: Select this option to display totals for each group but no project detail.
Phase Base Rollup Use this option to summarize report information for phases that use a standard numbering system. The Phase Base Rollup slider box displays the number of characters in your firm’s phase numbers. For example, if you use a 7-digit phase number, the slider box displays 1234567. A phase number can also include one delimiter (for example, 12345.12).

You can roll up the base phase and still display information by task. When you do, a task total is the total of all occurrences of that task across the base project. For example, the total for Task 00001 is the total of all Task 00001s in the base project.

To display only phases and tasks, use the Project Base Rollup slider to cover the project number completely.

To roll up phase numbers, drag a slider to cover the characters that you want rolled up. You can drag a slider from the left side of the slider box, the right side, or both sides.

Task Base Rollup Use this option to summarize information at the task level for tasks that use a standard numbering system. This option is only available if you use tasks. The Task Base Rollup slider box displays the number of characters in your firm’s task numbers. For example, if you use a 3-digit task number, the slider box displays 123.

This option works in the same way as the project and phase rollup options. For example, if the first two characters of your task number represent a department, you can roll up information for all tasks that have the same department number.

To show only tasks, use the Project Base Rollup and Phase Base Rollup sliders to cover the project number and phase number completely.

To roll up task numbers, drag a slider to cover the characters that you want rolled up. You can drag a slider from the left side of the slider box, the right side, or both sides.
