View and Sign Timecard on Terminals and Web Time Clock

Overview

         

This feature allows shop floor employees to use a data collection terminal to view and sign their timecards. Employees can view their timecards for a single day, a week, or the entire pay period. They will also be able to sign and unsign the day, week, or pay period depending on their Sign Policy setting.

The default Timecard View will show the current day, week, or pay period. However, the employee can display a different date using the Next and Previous buttons on the form.

The View Timecard options will be available from the main terminal menu; the employee does not have to clock in to view and sign the timecard. These options will not be available when the terminal is offline. The Timecard View options are subject to the same Event Filtration setting as the other events on the terminal.

Daily Timecard View

The Daily Timecard option displays the employee’s timecard for the current day.

The employee can select Prev Day or Next Day to view a different day. The Posting Date that is being shown appears at the top of the form.

Icons appear at the top of the form if the day is employee signed (), supervisor signed (), or payroll locked (). If the employee’s Sign Policy includes the Day Sign Option, the Sign Day/Unsign Day button will appear at the bottom of the form.

For split days in 9-80 schedules, the sign and payroll lock icons may have half indicators (a red diagonal line through the icon, with part of the icon grayed out). This icon indicates only the first or second half of the day was signed or payroll locked. For example, indicates a supervisor signature is only on the first half of a split day. The icon indicates an employee signature is only on the second half of a split day. The icon indicates only the second half of a split day is payroll locked.

The Totals column shows the total number of hours for a particular event and for the entire day. The Classified Hour(s) column shows these hours with their classifications (Regular, Overtime, etc.).

Weekly Timecard View

The Weekly Timecard option displays the employee’s timecard for the current week.

The employee can select Prev Week or Next Week to view a different week. The Start Date and End Date of the week appears at the top of the form.

The Total number of hours for the week also appears at the top of the Weekly Timecard form. The hours with their individual classifications appears in parentheses next to the Total.

If the employee’s Sign Policy includes the Week Sign Option, the Sign Week/Unsign Week button will appear at the bottom of the form.

Each individual Day indicates whether it has been Employee/Supervisor Signed or Unsigned and whether it is Payroll Locked or Unlocked.

The Totals column shows the total number of hours for a particular event. The Classified Hour(s) column shows these hours with their classifications (Regular, Overtime, etc.). The daily total appears as the last row for the day.

You can also display the Grand Total row at the bottom of the form. This row shows the total for each duration column (total hours, classified hours, auxiliary durations, etc.). To display the Grand Total row, enable the show_grand_total Form Setting.

Period Timecard View

The Period Timecard option displays the employee’s timecard for the current pay period.

The employee can select Prev Period or Next Period to view a different pay period. The Start Date and End Date of the pay period appears at the top of the form.

The Total number of hours for the pay period also appears at the top of the Period Timecard form. The hours with their individual classifications appears in parentheses next to the Total.

If the employee’s Sign Policy includes the Period Sign Option, the Sign Period/Unsign Period button will appear at the bottom of the form.

Sign and Unsign the Timecard

If the employee’s Sign Policy includes the Day, Week, or Period Sign Option, the Sign/Unsign button will appear at the bottom of the form.

Click the Sign button to sign the day, week, or period. The button will change to Unsign. Click Unsign to remove your employee signature from the day, week, or period.

Note: If the employee’s Sign Policy has the Sign Mode set to Automatic, the system will sign the employee’s timecard. Therefore, the Sign/Unsign buttons will not appear on the Timecard View forms.

 

Add the Timecard Options to the Menu Tree

By default, the Daily, Weekly, and Period Timecard events are included in the Menu Tree of the TERMINAL_DEFAULT Menu Group. These events allow the corresponding buttons (Daily Timecard, Weekly Timecard, Period Timecard) to appear on a terminal.

If these events have been removed from the Menu Tree of your Menu Group, you must add them back. To do so, use the following steps:

  1. Click Main Menu > Configuration > Form Configuration > Menu Tree.

  2. Select a Menu Group from the Menu Group Name field.

    You cannot add items to the TERMINAL_DEFAULT Menu Group. If you need to create a new Menu Group, click the button next to the Menu Group Name field and select Maintain from the pop-up menu.

    The Menu Group’s folder will appear.

  3. Click the arrow on the left side of the folder to expand it and view the events and folders in the menu.

  4. Select a folder and click Add Event.

  5. On the Add Menu Tree pop-up form, select one or more of the following:

    Daily Timecard (TIMECARDDAILYVIEW)

    Period Timecard (TIMECARDPERIODVIEW)

    Weekly Timecard (TIMECARDWEEKLYVIEW)

  6. Click Save.

  7. Click Update Server to update all active terminals with the latest Menu Tree configurations.

 

Modify the Time Record View Fields in a Form Profile

You can change the number and order of the fields that appear in the terminal’s daily, weekly, and period timecards.

To modify the fields on the form, you have to modify a custom Form Profile (see below), or create a new form profile with unique Timecard View settings (see Form Profile).

  1. Click Main Menu > Configuration > Form Configuration > Form Profile.

  2. Select the Form Profile Name you want to modify.

  3. Click the button next to the Terminal Forms item and select Daily Timecard, Weekly Timecard, or Period Timecard.

  4. In the Resultset Fields section, the items in the Selected box will appear on the terminal. The items in the Available box will not appear on the terminal. Move the items from the Available box to the Selected box or vice versa.

    Note: If you want to select more than one item, hold down the CTRL key, select the items and click the REMOVE ALL button to the left of the box.

  5. Click Save after you have finished your selection.
