You must have the Signing module included in your license file.
The Signing module must be enabled.
To check if the module is included in your license and enabled:
Click Main Menu > Configuration > System > Licensing.
Find the Signing record.
The following boxes must be checked: Licensed and Module Enabled.
The following default settings apply:
The system prompts supervisors to sign employee timecards.
The employee is responsible for signing the timecard only when changes have been made in the timecard by anyone other than the employee.
The password field prompt is not enabled.
To configure a new sign policy or prompt the signee for a password, see Configure Sign Policy Rules and Configure a Password Prompt (Authentication on Sign).
The Sign Policy determines if and when employees and their supervisors may or may not sign the employee's timecard. When a supervisor views an employee's timecard, the signing permissions will be based on the employee's Sign Policy.
Create a Sign Policy on the Sign Policy form and assign the Sign Policy to the appropriate employees. You can assign the Sign Policy to a single Person via the Employee Setting form, to an Employee Group with type POLICY_GROUP or FACILITY via the Employee Group Setting form, or to all users via the System Settings form. An Employee setting overrides an Employee Group setting, which overrides a System Setting.
You can configure the system to display a pop-up form when a person attempts to sign a timecard. The configuration is made using the Employee Authentication on Sign and Supervisor Authentication on Sign settings.
Prompting Employees:
To prompt a person for a password when they sign their own timecard, you must assign the Employee Authentication on Sign setting to the person. When this setting is Enabled and the employee presses the Sign or Unsign button on the timecard, the system will display a pop-up form and prompt the employee for their application login password. The employee will enter their password and click OK to sign or unsign the timecard. If this setting is Disabled, the system will not prompt the employee for a password.
The Employee Authentication on Sign setting can be assigned to all employees via System Settings, to an employee group via Employee Group Setting, or to a single person via Employee Setting.
Note: If the person is logged in as a Supervisor the Supervisor Authentication on Sign setting would apply.
Prompting Supervisors:
To prompt a person for a password when they sign their employees' timecards, you must assign the Supervisor Authentication on Sign setting to the person. When this setting is Enabled and the supervisor presses the Sign or Unsign button on the timecard, the system will display a pop-up form and prompt the supervisor for their application login password. The supervisor will enter their password and click OK to sign or unsign the timecard. If this setting is Disabled, the system will not prompt the supervisor for a password.
The Supervisor Authentication on Sign setting can be assigned to all employees via System Settings, to an employee group via Employee Group Setting, or to a single person via Employee Setting.
Note: If the supervisor views his/her own timecard, the Employee Authentication on Sign setting would apply.
The Timecard Check feature stops a timecard from being signed by an employee or supervisor when the timecard has hours exceptions, such as underreported hours, overreported hours, or hours on an unscheduled day.
The hours exceptions are defined in a Timecard Check Ruleset, which is added to a Sign Policy. The Timecard Check Ruleset is executed when the employee or supervisor signs the timecard. If any hours exceptions are found, a pop-up form will display listing these exceptions. The exceptions must be corrected before the employee or supervisor can sign the timecard.
See Timecard Check for more information.
