Attendance Calendar

The Attendance Calendar form displays the following attendance data in a calendar format:

You can view this data for all the people you supervise or you can use the Employee, Facility, and other filter fields to view only specific people you supervise.

You can display the data for an entire month or one week in the month.

An ellipsis (…) will display in a field if all the text cannot be displayed. You can drag the horizontal bars of the calendar to make the columns wider and view all the text inside the cells.

You can also view and print Attendance Calendar data in the Attendance Calendar Report. This report displays the data for one person only.

Attendance Calendar Field Descriptions

Period, Effective Date

These fields determine the range of days that will display in the Attendance Calendar.

Select Month or Week from the Period field. In the Effective Date field, select a date in the month or week that you want to view.

If you select Week, the week from Sunday to Saturday that contains the Effective Date will be shown.

If you select Month, the month containing the Effective Date will be shown.

For example, select October 31, 2014 as the Effective Date. If Period is set to Week, the calendar will show the week from Sunday, October 26 to Saturday, November 1. If Period is set to Month, the entire month of October will be shown.

Event Group

If you want to display the events in an Event Group that your employees have posted, select the Event Group from this field.

The calendar will display the employee number, employee name, and the event name on the event’s post date.

Show Comment/Reason

If you selected an Event Group, select Show Comment/Reason to display any comments or reason codes that were entered for these events in the timecard.

The reason code and comment will display in parenthesis after the event name.

Show Discipline

If you are using the Discipline Balance feature, you can select this box to show any discipline balance transactions the person had that increased the person’s discipline balance.

The ID number of the discipline balance transaction (Disc. ID number) will display next to the employee number and employee name in the calendar.

Show Holiday

Select this box to show the holidays defined in the Holiday Calendar of the persons selected to display in the calendar.

The Attendance Calendar will display the holidays from the Holiday Calendars that are in effect during the specified date range. If a person has a Holiday Calendar Override setting, that calendar will take precedence over the Holiday Calendar defined in the person’s Attendance Policy.

The name of the Holiday Calendar will display in parenthesis ( ) after the holiday name.

Show Inactive

Check this box if you want to show the days when the persons are inactive. Inactive status is defined in a person’s Employment Profile.

The calendar entry for an Inactive person will be preceded by an asterisk (*).

Show Point Reduction

If you are using the Discipline Balance feature, you can check this box to show any discipline balance reductions the person had.

The number of points reduced will display next to the employee number and employee name in the calendar.

Employee

Use the Employee field to search for employees by their First Name, Last Name, Employee Number, or Login Name. For example, to find Employee Number 1101 named Jane Doe who has Login Name JDOE001, you can enter 1101, Jane, Doe, or JDOE001 in the Employee field.

You can also use the * or % wildcard symbol in this field to search using partial values. The wildcard symbol can be placed anywhere in your search value to represent unknown characters. For example, to find employees whose First Name, Last Name, Login Name, or Employee Number starts with the letter b, enter b* in the Employee field. To find employees whose First Name, Last Name, Login Name, or Employee Number includes 007, enter *007* in the Employee field.

Facility, Supervision Type, Include Direct

Use these fields to specify the persons whose data will be shown in the Attendance Calendar.

If you do not enter a Employee, Facility, or Supervision Type, then the Attendance Calendar will display data for all the persons you supervise.

 

Use the Attendance Calendar

  1. Click Main Menu > Manage > Attendance Calendar.

  2. Use the filter fields at the top of the form to specify the type of data you want to view and the persons whose data you want to view. See Attendance Calendar Field Descriptions for information on these fields.

  3. Click Find.
