Request for Price Quote

Use the Request for Price Quote feature to select the best price and terms for an order.

You can create request for price quote forms to send to more than one vendor. You can also keep and manage data on vendors' bids and price quotations, or create a purchase order from an approved request for price quote.

You can also create a request for price quote from a requisition. To do this, enter data for the vendors on the Vendor tab of the Purchase Requisition Line Detail dialog box.

If you use multiple currencies, you can create a purchase order from more than one request for price quote. They must all have the same transaction currency.

If you use multiple companies, each request for price quote is owned by a specific company. When you search for a request for price quote, the search results list displays the price quote requests that belong to the active company. The vendors available are those that have accounting set up for the active company.

Approvals and Purchasing

You can choose whether or not purchase requisitions, request for price quotes, and purchase orders (including change orders and release orders) must go through an approval process. See Approval Process for Purchasing Applications Overview for more information, including the procedures for reassigning an approval step and assigning a delegate to complete approvals in your absence.

Create Request for Price Quote (RFQ) Only Records in the Purchase Requisitions in the Browser Application (Opt-In Available)

You can create standalone RFQ-only records in the Purchase Requisitions application.

You can choose to opt in to this feature for the Vantagepoint 7.0 release. The ability to opt in is temporary and will be removed when the feature becomes automatically enabled for all Vantagepoint users in a future release. For more information, see Opt-In Feature Overview.

To create standalone RFQ records within Purchase Requisitions in the browser application, navigate to Settings > General > Opt-In and enable Create Request for Quote Only. When you enable this feature, your database is permanently converted to support the feature and that action cannot be undone. Before you move RFQ records to the browser application, make sure that you have approved all pending requests before the records are carried over to the browser application as legacy price quote records.

For more information, see the Opting In to the Create RFQ Only Feature topic.

When you opt in to use this feature and can create Request for Price Quote records in Purchasing > Purchase Requisitions in the browser application, the Purchasing > Request for Price Quote is no longer available in the desktop application. You can access and reference data associated with legacy requisitions in Reporting.

With the removal of the Request for Price Quote application from the desktop application, in Settings > Purchasing & Inventory > Company, the following related settings that control elements in that application have also been removed:
  • Required Data section: Cost Distribution in P.O./R.F.Q. checkbox and Requisition/RFQ Number in P.O./R.F.Q. checkbox
  • Approval section: Use Approval Workflow for RFQs checkbox and drop-down menu
  • Next Numbers section: Price Quote Request Number text box
