Purchasing Tab of the Project Review Form

If you have the Purchasing application activated, use the Purchasing tab to review how purchase order and purchase requisition information has been prorated to a project.

Commonly Used Actions

Click the buttons on the Actions Bar to access commonly performed actions.

Field Description
Update % Click this option and select from these two options for displaying a summary of budget information, expected compensation amounts, and job-to-date performance against budget:
  • Show Budget at Billing: Select this option to display a summary at billing rates in the Billing Summary dialog box.
  • Show Budget at Cost: Select this option to display a summary at cost rates in the Cost Summary dialog box.
In those dialog boxes, you can update overall, labor, and expense percent completes. For regular projects, you may also be able to update expected compensation amounts.

Other Actions

Click the Other Actions menu to perform other tasks.

Field Description
Add Proposal Properties Select this option to display the New Proposal dialog box and begin adding a proposal for the project.
Project Settings Select this option to display the Project Settings dialog box. On that dialog box, you can select display options for the project search results list and the project structure.

Purchase Requisitions on File Grid

Field Description
Purchase Requisition to Include Use the drop-down list in this field to filter purchase requisitions. The filter options are:
  • Open
  • Closed
  • All
Purchase Requisition Status Use the drop-down list in this field to select the purchase requisitions to display by processing status. You may select multiple options:
  • Approved
  • In Progress
  • Rejected
  • Submitted
Requisition No. This field displays the requisition order identifier, which is generated automatically by Vantagepoint. If your security role has access to Purchase Requisitions, click the hyperlink to open the purchase requisition record in Purchasing > Purchase Requisitions.
Date This field displays the date on which the requisition was created.
Requested By This field displays the name of the employee who requested the requisition. Click the hyperlink to display key information for the employee. To view the employee record in the Employees hub, click More in the info bubble.
Ship To This field displays the ship-to code that was specified for the requisition.
Status This field displays the status of the requisition order, such as In Progress, Submitted, Approved, or Rejected.
Closed This checkbox is selected if the purchase requisition is closed.

Purchase Orders on File Grid

Field Description
Purchase Orders to Include Use the drop-down list in this field to filter purchase orders. The filter options are:
  • Open
  • Closed
  • All
Purchase Order Status Use the drop-down list in this field to select the purchase orders to display by processing status. You may select multiple options:
  • Approved
  • Cancelled
  • Changed
  • Final
  • In Progress
  • Rejected
  • Released
  • Submitted
P.O. Number This field displays the number that was entered or generated for the purchase order record. If your security role has access to Purchase Orders, click the hyperlink to open the purchase order record in Purchasing > Purchase Orders.

Alternatively, you can click at the end of the row and then select the Open in Purchase Order App option.

Vendor This field displays the vendor for the purchase order. Click the hyperlink to display key information for the vendor. To view the vendor record in the Firms hub, click More in the info bubble.
P.O. Amount This field displays the total net amount of the purchase order. The amount is retrieved from the Line Items tab of the Purchase Orders form.
Received Amount This field displays the monetary value of the quantity received for the purchase order.
Vouchered Amount This field displays the monetary value of the voucher created from the purchase order.
Date This field displays the date on which the order is due to be delivered.
Buyer This field displays the name of the purchase order's buyer. Click the hyperlink to display key information for the buyer. To view the buyer record in the Employees hub, click More in the info bubble.
Ship To This field displays the ship-to code that was specified for the purchase order.
Type This field displays the type of the purchase order, such as Standard, Blanket, or Service. For more information, see Purchase Order Types.
Status This field displays the processing status of the purchase order, such as Approved, Cancelled, Changed, Rejected, In Progress, Final, Released and Submitted. For more information, see Purchase Order Statuses.
Closed This checkbox is selected if the purchase order is closed.
This icon displays at the end of each row if your security role has access to Purchase Orders (specified in Settings > Security > Roles). To open a purchase order record in Purchasing > Purchase Orders, click this icon and then select the Open in Purchase Order App option. You can also click the hyperlink in the P.O. Number field to open the purchase order record.
