Timesheets and Payroll and QuickBooks Integration

When you use the integration between Vantagepoint and QuickBooks Online, you enter and post timesheets in Vantagepoint.

Entering timesheets in Vantagepoint allows you to apply labor costs to projects based on timesheets hours and generate reports in Vantagepoint that show labor costs for projects.

The hours from the posted timesheets are added to QuickBooks Online. You process payroll payments in QuickBooks Online.

Timesheet Entries

  • You can enter timesheets in Vantagepoint only for employees with an Active status. Vantagepoint timesheets are added to QuickBooks online only for employees with an Active status.
  • Only timesheet hours by day from Vantagepoint are added to QuickBooks Online. Labor costs are not shared.
  • Negative timesheet hours entered in Vantagepoint are not added to timesheets in QuickBooks Online.
  • Timesheets that you enter in QuickBooks Online are not added to Vantagepoint.
  • Employees who do not work on projects can enter timesheets in either Vantagepoint or QuickBooks Online.

Deleting Or Undoing Timesheets

Deleting transactions in QuickBooks Online and undoing postings in Vantagepoint are not supported, meaning that the deletion or undoing in one product does not get applied in the other product.

To delete a timesheet in both QuickBooks Online and Vantagepoint:

  • In QuickBooks Online, delete the timesheet. (The matching timesheet in Vantagepoint is not deleted.)
  • In Vantagepoint, reverse the matching timesheet by entering negative timesheet amounts in Transaction Center > Transaction Entry > Timesheets. (The negative-amount timesheet is not added to QuickBooks Online.)

Before Employees Can Enter Timesheets in Vantagepoint

You must complete the following in Vantagepoint:

  • On the Accounting tab in the Employees hub (Hubs > Employee > Employees), enter job cost rates for employees in the Cost Rate field. These rates are required if you want projects in Vantagepoint to be updated with labor costs based on timesheet hours. For more information, see Employees Accounting Tab.
  • In the Projects hub Hubs > Projects > Project,set up projects. For more information, see Projects Hub.

Enter Timesheets and Run Payroll

The following table identifies where you enter timesheets and process payroll checks.

In Vantagepoint, enter timesheets in either of the following locations:
  • My Stuff > Timesheet
  • Transaction Center > Transaction Entry > Timesheets

Approve timesheets in Vantagepoint if you set up an approval process for timesheets

In Vantagepoint, approve timesheets in My Stuff > Approval Center. The timesheets must be approved before you can post them.

You set up an approval workflow for timesheets and assign approvers in Settings > Workflow > Approval Workflows in the desktop application. Then you turn on the approval workflow in Settings > Time > Time Approvals.

Post timesheets in Vantagepoint

In Vantagepoint, post the timesheets that you entered in either My Stuff or Transaction Center in Transaction Center > Time and Expense Posting.

Posted timesheet hours are added to QuickBooks Online for processing payroll.

In QuickBooks Online, run payroll in Workers > Employees.

The payroll payments are based on the hours that were added to QuickBooks Online from the posted Vantagepoint timesheets.

In QuickBooks Online, you can view the Time Activities by Employee Detail report in Reports > All Reports > Manage Payroll to verify that the hours came over correctly from Vantagepoint.
