Download an Invoice to Edit in a Third-Party Application

In Interactive Billing, you can download and save a billing invoice to your local drive or a network drive to edit it in third-party software.

Prerequisite: Your security role must have the Allow Edit/Upload check box selected on the Accounting tab in Settings > Security > Roles.

To save an invoice for editing in a third-party application:

  1. In the Navigation pane, select Billing > Interactive Billing.
  2. On the Billing Session Options dialog box, select options and click OK.
  3. On the Interactive Billing form, open the appropriate project.
  4. If you want to reserve an invoice number for the edited invoice, before you download the invoice to edit in third-party software click Other Actions > Assign Invoice Number on the Actions bar in Interactive Billing.
    If you do not reserve the invoice number now, do it before you accept the final invoice. If you do not reserve an invoice number, Vantagepoint automatically assigns the next available invoice number when you accept the invoice.

    If you set the Print Invoice Number on Draft Invoice option to Yes in Settings > Billing > Options, the invoice number that you reserved using the Assign Invoice Number action is added in the upper right of the edited invoice when you open the invoice in the third-party software. If you did not select this option in Billing Settings, you must manually enter the reserved invoice number that you selected using the Assign Invoice Number action.

  5. On the Actions bar, click Other Actions > Download for Editing.
  6. On the Edit Invoice dialog box, select the format (software) in which you want to save and edit the file in the Edit Invoice As field.
    Options are:
    OptionDescription
    Adobe PDF This option saves the file in PDF format to be viewed in Adobe Reader. If you own a full copy of the Adobe Acrobat product, you can make minor edits to the PDF file.
    Rich Text Format (RTF) This option saves the file in RTF format. You can open and edit the file in any Word Processing program, such as WordPad.
    Microsoft Word Document This option saves the file in DOC format. You can open and edit the file in Microsoft Word.
    Microsoft Excel Spreadsheet This option saves the file in XLS format, for display and editing in Microsoft Excel. This option does not show cell borders. This is the recommended format if you plan to edit the invoice after exporting it.
  7. Click Edit and then use the Save As option in the bar at the bottom of the screen to save the invoice file to your workstation or a network location.

After you save the file, open it in the appropriate software and edit the invoice as needed. After you edit the invoice and save the file, upload it to Interactive Billing using Other Actions > Upload Invoice on the Actions bar on the Interactive Billing form.
