Annotate Toolbar on the Draft Preview Tab of Draft Invoice Approvals

Use this toolbar to mark up a draft invoice with annotations, such as underlining, highlighting, and striking through text, and with comments.

This toolbar applies if you use the Invoice Approvals and Markup on Draft Invoices features. The toolbar opens when you click Annotate on the main toolbar of the Draft Preview tab in Draft Invoice Approvals. This is one of several markup toolbars. For general instructions that apply for all these tools, see the "Toolbar Options for Marking Up the Draft Invoice" section in the Draft Preview Tab of Draft Invoice Approvals topic.

When you use the annotate tools to highlight, underline, and strike through text, you can also add a comment to markup that will display when someone hovers over the markup. For example if you struck out some text, you may want to identify replacement text or a note of explanation. To do this, you highlight, underline, or strike through the text, and then click the text. This opens the markup panel to the right of the draft invoice on which you see a box that displays the information for the text you just marked up. In that box, click and then click Edit. The field in the box that displays the text you marked up is now editable. You can delete the text and type a comment about your markup. Click Save in the box. Note that this does not delete the text that you marked up on the draft invoice. The original text remains in the draft invoice, and when someone hovers over it, they see the comment or text that you entered in the field on the markup panel.

Field Description
Use this icon to highlight text in the draft invoice.
Use this icon to underline text in the draft invoice.
Use this icon to strike out text (apply a line through existing text) in the draft invoice.
Use this icon to underline text with a wavy line in the draft invoice.

Use this icon to add a comment bubble in a specific location on the draft invoice, and then enter a comment in the bubble.

Settings for the preset options that you can choose for this tool are: the background color for the comment bubble and its opacity (transparency).

Click anywhere on the draft invoice to place the comment bubble. A markup panel displays to the right of the draft invoice. In the comments field on the panel, enter the text to display in the comments bubble and click Save. This markup panel is the same panel that opens when you click on the main toolbar of this tab. The panel contains a listing and information for all the markup added to a draft invoice. Use this icon to enter text directly on the draft invoice, with or without a background color or border around the text.

Settings for the preset options that you can choose for this tool are:

  • Text color, opacity, and size (point size).
  • Stroke (border around the text): color, opacity, and point size. The stroke point default size is zero, so you must increase this setting to add a border around the text.
  • Fill color and opacity for the text.

Click anywhere on the draft invoice and start typing the text.

Use this icon to place a rectangular or square shape (box) anywhere on the draft invoice. Then enter a comment to display in the box when someone hovers over it.

Settings for the preset options that you can choose for this tool are:

  • Stroke (border): color, opacity (transparency), point size (thickness), and style (Solid line or Cloudy (wavy) line for the border)
  • Fill color and opacity

If you use a preset with no fill, or a fill color with a low opacity percentage, you can outline an item on the draft invoice (keeping it visible), and then enter a comment that displays when someone hovers over the outlined box.

Click and drag your mouse anywhere on the draft invoice to place the box. Click in the box, and a markup panel displays to the right of the draft invoice. In the comments field on the panel, enter the text to display in the shape and click Save. This markup panel is the same panel that opens when you click on the main toolbar of this tab. The panel contains a listing and information for all the markup added to a draft invoice. Use this icon to draw or write (free hand) on the draft invoice with your mouse.

Settings for the preset options that you can choose for this tool are: color, opacity of the color, and stroke point size (line thickness).

Click and drag your mouse anywhere on the draft invoice to start drawing.

Presets field

This field is located to the left of the Undo icon. It displays preset options for the tool that you selected on the Annotate toolbar. The preset options include settings, such as stroke (border) and fill color and color opacity (transparency). Select or modify a preset to use before you start using the tool.

Click this icon to undo your most recent markup action.
After you use the undo icon to undo an action, you can click this icon to redo the action.
Click this icon to use your mouse to sweep over an annotation or comment to delete it from the draft invoice.
