Electronic Files Page of the Employee Payments Form

After you prepare and post the employee payment run, use the Electronic Files page to process the ACH payment distribution files.

Accessing the Electronic Files Page

If your bank is configured for ACH and has ACH payments, the Electronic Files page opens automatically when you do either of the following:

  • On the Printing and Numbering page, click Post Payments.
  • In the header of the Employee Payments form, select an existing employee payment run from the search field that displays Posted after the run number and date.

When you are done processing the ACH files, click Close Payment Run to return to the New Payment Run page of the Employee Payments form.

Field Description
Effective Entry Date Select the date to send the files to the bank.

Electronic Files Grid Toolbar Options

Field Description
Click this icon to select the columns to include in the grid. The columns available for the grid include both standard fields and user-defined fields that are used in the corresponding application area. For more information see Select Columns for a Grid.
Click this icon to export all the data from the grid into a comma-separated values (.csv) file that you save in Microsoft Excel or another spreadsheet application that supports .csv files. For more information see Exporting Data to a .csv File.
Click this icon to turn the filter row on or off in the grid. The filter row is used to quickly search for a report. For information about how the filter works, see Filter the Grid Results.

Electronic Files Grid

Field Description
Process Transfer Click this grid toolbar option to open the Download Electronic Funds Transfer Files dialog box to generate the text (.txt) file in ACH format.
Print Click this option to open and print the Employee Expense Direct Deposit Report for the selected row.
Run Type This field displays Expense.
Sequence This field displays the posting sequence for the employee payment processing run.
Name This field displays the name of the employee who created the posting run, unless the selected user ID is not mapped to an employee, in which case only the user ID displays.
Posted This field displays the date and time when the payment run was posted to the server.
Payment Date This field displays the payment date specified on the Payment Run Settings dialog box.
Post Comment This field displays a summary of the posting run results.
Status This field displays the processing status of the payment run. The options are:
  • Processed: The payment run's .txt file has been generated for the bank.
  • Unprocessed: The payment run's .txt file has not been generated.
Exclude Runs Already Processed Select this option before you click the Process Transfer option to prevent Vantagepoint from regenerating a payment run's .txt file. Having more than one .txt file for the same payment run can cause duplicate payment to the vendors in that run.
Exclude Carriage Return at End of Each Record Select this option to delete the carriage return after each record. This ensures that the ACH file has a continuous line of characters.
Add Carriage Return at End of File Select this option to add a carriage return after each record. This ensures that the ACH file has a return at the end of each record.
